STUDENT SUPPORT SERVICES DIVISION COUNCIL MEETING DATE: SEPTEMBER 11, 2015 Chairperson: William Garcia Members Present: Muhammad Ans, Alexis Estwick, Lorena Garcia, Ngoc Tran, Carla Velasquez, Claudia Velazquez, Breanna von Stein Recorder: William Garcia The meeting began at 9:03 a.m. All members introduced themselves to Claudia Velazquez, the alternate member from the EOPS, CARE, and CalWORKs programs who attended today’s meeting. Review August 14, 2015 Meeting Minutes The meeting minutes were approved with no changes. Updates/Follow-up 1. William acknowledged the hard work and dedication of the entities that make up the division by sharing what accomplishments, activities, and events had taken place from spring 2015 through the present. a. Assessment/Testing Center – Testing additional students this summer compared to last summer and initiating the pilot of the “Just in Time” math tutoring from midApril 2015 through the beginning of September 2015. b. EOPS/CalWORKs/CARE Programs – Surviving administrative changes that began in mid-spring 2015 and significant changes to outreach, applications, contracts, awarding, etc. c. Financial Aid Office – Disbursing over $5 million dollars one day earlier than anticipated during the first week of the fall semester. d. Office of Outreach & School Relations – Initiating the One-Stop Shop from late July 2015 through mid-August 2015, reinstating the New Student Welcome Day with more than 500 student participants, and hosting Week of Welcome during the first week of the fall semester. e. Student Development Office – Hosting a two day retreat for the Associated Student Organization (ASO) and Inter-Club Council (ICC) and hosting Club Rush. 2. William shared that the plans for the new Student Services building have been filed with the Division of the State Architect (DSA) and a report is expected to arrive on-campus in late fall 2015. The new building will be built on the footprint of the former Shops Building off of Manhattan Beach Boulevard. A four story parking structure will be built on the footprint of the former Industry & Technology Building also off of Manhattan Beach Boulevard. Both are expected to be completed by fall 2017. Issues/Concerns 1. Breanna mentioned the fact that keeping an accurate inventory of tables and chairs in the East Lounge of the Student Activities Center has been problematic since the tables and chairs are left out in the open and colleagues tend to help themselves when hosting events. Equipment is often left out in public overnight and sometimes out during weekends. Dr. Greg Toya will be working with the Facilities Office to secure the equipment once storage space is cleared in the East Lounge. Reserving sufficient tables and chairs have been problematic for the Office of Outreach & School Relations, too. 2. Carla reported that there was a spike in student incidents during the first two weeks of the fall semester, specifically in the Financial Aid Computer Lab and at the Information Desk. Carla shared that the code words used with colleagues to alert of eminent danger is “SD File” in which the “SD” stands for “Stranger Danger.” William encouraged the council division members to ask their managers to add this topic of conversation to their next staff meeting agenda for discussion. William also reminded the division council members that all employees and students need to complete the Incident Report/Referral Form available online http://www.elcamino.edu/administration/vpas/aims/aims_docs/ECC_student_conduct_AIMS _reporting_form.pdf to report students of having violated the student code of conduct and/or make referrals to the Assessment, Intervention, and Management for Safety (AIMS) Team. 3. Alexis recommended that the Information Desk personnel should call departments, offices, or programs prior to referring students to ensure their hours of operation. Many students are being referred to offices that are closed due to lack of personnel or other work related commitments. Carla will share this information with Information Desk personnel.
