It is applicable to both goods and passenger services. People credited with this unit standard are able to: describe record and document keeping requirements of a road transport operation; describe procedures to record the progress, and problems in progress, of a transport consignment; review organisational procedures to manage staff worksheets and/or timesheets, and driver logbooks; and review organisational procedures for recording complaints and incident reports in a road transport operation. Elements and performance criteria Element 1 Describe record and document keeping requirements of a road transport operation. Performance criteria 1.1 Records and documents that must be maintained in compliance with the law are described in terms of the periods for which they must be held. Range financial, personnel records, training records, road transport documents. 1.2 The description includes systems for maintaining paper and electronic records in terms of confidentiality of data, security of systems, and back-up of electronic records. 1.3 The description identifies systems for filing historical records to meet organisational requirements. 1.4 The description outlines processes for recording invoices and financial transactions. Performance criteria 2.1 The description includes the processes for recording the receipt of the order, the allocation of task to vehicle and driver, collection and/or receipt of load, proof of delivery, and the management of any problems and/or complaints. 2.2 The description includes the processes for managing problems in, and/or complaints about, the progress of a transport consignment. Element 3 Review organisational procedures to manage staff worksheets and/or timesheets, and driver logbooks. Performance criteria 3.1 Organisational procedures for the storage of worksheets and/or timesheets, and driving hour and logbook records are reviewed for compliance with legal requirements and any remedial action is identified. Element 4 Review organisational procedures for recording complaints and incident reports in a road transport operation. Performance criteria 4.1 Organisational procedures for recording complaints are reviewed for compliance with organisational requirements and any remedial action is identified. 4.2 Organisational procedures for recording incidents are reviewed for fitness for purpose and for compliance with organisational and legal requirements and any remedial action is identified. Please note Providers must be accredited by NZQA, or an inter-institutional body with delegated authority for quality assurance, before they can report credits from assessment against unit standards or deliver courses of study leading to that assessment. Industry Training Organisations must be accredited by NZQA before they can register credits from assessment against unit standards. Accredited providers and Industry Training Organisations assessing against unit standards must engage with the moderation system that applies to those standards.
