HR and Position Control Since Peralta Community College District’s adoption of the PeopleSoft HRMS in 2005, there has been a glaring omission in the structure of the database. Although this is an educational institution and we have regular, contract faculty in various forms of tenure status, no fields were established in the HRMS to track this information. To this date, the only way HR has to track this information is through manual processes. A subset of the needed information is in the Student Administration module where the following information is tracked for each instructor: CTT C-Contract, On Tenure Track RRWP R-Contract Fac on Reduced Wkld RTEN R-Contract, Regular, Tenured TCAT T-Categorical, no tenure track TCLS T-Classified teaching a class TLTS T-LTS, Lont Term Substitute TRET T-Retired Faculty TTMP T-Temporary/Adjunct The information in the Student Administration module is good, but incomplete for HR purposes. For example, the “CTT” field still requires manual confirmation of which tenure track faculty are in the 1st, 2nd, 3rd or 4th year. The Legacy system had fields for coding 1st and 2nd year tenure track faculty, but even that system was incomplete, because there were no fields for identifying tenure-track faculty in their 3rd or final year. HR should be able to query on this information in order to assist us in our research. The HRMS should provide reports that HR and Ed Services can readily access to quickly determine where faculty members are on the tenure track. The fields to track this information in the Student Administration module don’t perfectly align with HR’s needs. In HR, we would track this information only in the job records of faculty who are in the P10, P11 or P12 paygroups. Any other job records would have this field populated as “Not Applicable.” The fields would be defined as follows: - 1st year Tenure Track 2nd year Tenure Track 3rd year Tenure Track 4th year Tenure Track Tenured Non-Tenure Track (Categorical/Grant) Long-Term Substitute Not Applicable The next question might be where this field would reside. On the Job Data page, Job Labor tab, there are three unused fields, Employee Category, Employee Subcategory, and Employee Subcategory 2. Why can’t one of these fields be used for this purpose? They are existing fields and are not in use. If this suggested resolution is not possible, please explain. Please add this to the PRT list of issues.
