Academic Council Meeting
September 22, 2004

Present: Mr. David Ray; Dr. Louis James; Dr. Michael Rosato; Dr. Richard Kluender; Dr. John
Annulis; Dr. Kelly Bryant; Dr. Jim Roiger; Ms. Annette Hall; Dr. Larry Eustace; Ms. Sandra
Campbell; Dr. Debbie Bryant; Dr. Erin O’Neill. Reporter: Ms. Catherine Russell
Mr. Ray provided the Council with an ADHE Press Release announcing the enrollment increase
for fall 2004 semester. The Council expressed excitement over UAM’s enrollment increase.
Mr. Ray reminded the Council of UAM Operating Procedure 345.2 which limits travel per
employee per trip to $750.00. The Council requested Mr. Ray to submit a proposal to the
Executive Council that this amount be increased. The Council discussed the fact that travel
funds are discretionary and must come from the individual unit’s M & O account. Mr. Ray
explained that the Executive Council would want to see travel projections included in each unit’s
proposed 05/06 budgets.
Mr. Ray expressed to the Council that Drs. Clayton and Stewart had provided excellent
leadership developing The North Central Resource Room. Mr. Ray noted that items from units
were due to the Academic Affairs Office by Friday, September 24. Mr. Ray also noted that each
unit should include in their materials the last two years Assessment Report and Annual Report.
Mr. Ray also requested unit heads to be available to meet with the North Central Evaluation
Team on short notice during their visit on October 4th-6th.
Mr. Ray reminded the Council of the Curriculum Change Proposals that were sent to them by the
School of Business, School of Social and Behavioral Sciences, and the Division of Music for
their review. Mr. Ray also reminded the Council that the deadline for submission to the C & S
Committee is October 30th. With the ten day circulation requirement, the deadline for getting
proposals circulated is actually October 18th. Ms. Hall requested that procedures be distributed
on how the C & S Committee would like units to submit catalog updates; i.e. hardcopy; wordprocessed file.
Mr. Ray reviewed the excellent job Student Services was doing in the area of student tutoring.
Tutoring requests/participation has increased significantly this semester. Mr. Ray requested the
Council encourage their faculty to help inform students of the tutoring opportunities on campus.
The Council voted to change the pre-registration date listed in the UAM catalog from November
1-19 to November 8-19. The Council discussed registration concerns and procedures. After
considerable discussion, Mr. Ray suggested that the Council should have a session on
registration procedures and advising procedures.
Mr. Ray asked the Council to suggest / devise low budget options to improve morale across
campus and be prepared to discuss ideas at a later date.
Mr. Ray reminded Council members to schedule an appointment with the Chancellor’s office for
their unit to meet with the Chancellor and Vice Chancellor for Academic Affairs.
Mr. Ray provided the Council with inserts from the Faculty Handbook concerning faculty
evaluations and reminded the Council to inform their faculty of the annual evaluation process
and timetable by October 1.
Mr. Ray announced that the Chancellor would meet with the Academic Council on October 13 to
discuss concurrent classes for public school students. The Chancellor provided the Council with
a draft copy of the Proposal for Concurrent Classes for Public School Students for the Council’s
review.
The Council reviewed a minor wording change to the State Minimum Core in the area of Math.
Mr. Ray reviewed the Academic Code Violation Form. Academic Affairs will send the form out
by email.
