Constitution and By-laws
Article I: NAME
Section 1. The name of this club shall be: the Clements Network Established for
Recreationally Dedicated Students and may be referred to as Clements Nerds, or
simply Nerds.
Article II: PURPOSE
Section 1. The purpose of the Clements Nerds is to: help kids break out of their shell,
develop needed skills, and build self confidence through the process of making new
friends, networking, and playing fun games.
Subsection 1. focus on after school activities that help to build friendship, self
confidence, and a sense of unity;
Subsection 2. teach students how to play games and learn to manage their free
time;
Article III: SPONSOR
Section 1. The organization shall at all times have at least one designated sponsor.
Section 2. The club’s officers must be kept informed of the current sponsor’s name and
email address.
Article IV: MEMBERSHIP
Section 1. Any currently enrolled student at Clements High School may become a
member upon payment of $10 for the year. This membership will entitle the student to
attend all meanings, play all of the Nerds owned games, have the opportunity to partake
in dungeons and dragons and vote on the Nerds officer for next year.
Section 2. The $10 due is not refundable after a member attends meetings, even if that
member “quits” or is removed from the club.
Section 3. The removal of any member by the membership of Clements Nerds must be
done through vote of the membership and the sponsor must approve the removal once
it is voted on. No vote on the removal of any member can take place with out approval
of the sponsor of Clements Nerds. The sponsor has the right to remove any member of
Clements Nerds with out a vote by the membership. The purpose of this is to promote a
safe and cordial environment for Clements Nerds membership.
Section 4. The term of membership is one school calendar year. Membership for the
previous year expires the day of the first meeting during the next school calendar year.
A meeting will be held during August or September of the new school year to renew and
accept new members. New members may join through-out any school year; but,
membership expires the day of the first meeting the following school year.
Article V: MEETINGS
Section 1. Meetings of Clements Nerds shall be held regularly at Clements High School.
Meeting times and dates shall be determined by the sponsor(s) and will be posted a
minimum of three days in advance of the meeting date and time.
Section 2. The officers may at any time call a special meeting provided that three days
notice is given to members.
Section 3. Officers may hold meetings at their discretion to plan member meetings and
discuss issues pertaining to the every day running of Clements Nerds.
Section 4. Meetings of Clements Nerds are open to any student member or staff of
Clements High School. Clements Nerds meetings take place in an environment that
encourages open discussion and play of games by all members, sponsors,
administrators and staff of Clements High School.
Section 5. All members of Clements Nerds will have a voice. With this in mind, all
members carry an equal voice and vote on the election of officers. The officers
possesses the authority to make decisions for the club, however a member can at any
time request to have a vote on the subject. In such instances, each member shall be
entitled to one vote; all such individual votes carry equal weight.
Article VI: OFFICERS
Section 1. The club shall have the following officers: president, vice-president,
secretary, web master, and game master.
Section 2. All members may run for any of these positions after 1) sending an E-mail to
the president stating that they wish to run for office, and which office. 2) approval by the
club sponsor and current office. 3) been verified to be passing all classes
Section 3. The election of officers shall take place during the final regular meeting.
Section 4. The term of the office is one school year.
Section 5. At any time an officer may be asked to step down or may be removed from
office for the following reasons, at which point the president or a committee will appoint
the new officer based on the prior year’s officer candidates. Reasons for termination are
as follow:
1) An officer is currently failing a class
2) An officer fails to or cannot fulfill their officer duties
3) An officer will not attend meetings
Section 6. An officer may be replaced by a temporary officer if the currently serving
officer (is):
1) Struck ill
2) Out of town
3) Moving
4) Asks to temporarily step down do to personal or school related reasons
with intent to come back
Section 7. If an officer quits or is removed during their term, then the remaining officers
may elect a new officer from the prior year’s officer candidates given that they are
approved by the sponsor and meet all the club requirements previously stated.
Article VII: DUTIES OF OFFICERS
Section 1. The President shall run the member meetings, the officer meetings,
assemble committees, designate committees, and be the club representative.
Section 2. The Vice-President shall perform the duties of the President at times when
the President is absent, and shall also schedule events and meeting activities.
Section 3. The Secretary shall record all of what takes place at the meetings, keep
record of member and officer attendance at meetings, as well as keep record of, not
supervise or control, financial transactions.
Section 4. The Web Master shall recruit members, maintain, update and run the social
media such as the Facebook page and website, and be responsible for informing
members of upcoming events.
Section 5. The Game Master shall maintain all games, and equipment for the club, run
and organize DND, make sure the room is clean when meetings end, and shall be
responsible for organizing the food at any events of which food is served.
Article VIII: ALTERATION OF CONSTITUTION
Section 1: The constitution may be altered by the sponsor, president, or members.
Section 2: Input for alterations of the constitution may be submitted by members to
either the president or the sponsor at regular meetings or officer meetings.
Section 3: Alterations may be done in one or a combination of 3 ways:
1) Directly by the sponsor
2) By the president after receiving approval by the sponsor
3) Or by the members of a regular meeting following approval of the sponsor,
of which must be done so with parliamentary procedure
Article IX: ADOPTION OF CONSTITUTION
Section 1. The constitution has been read, written, and established by members of the
Clements Network Established for Recreationally Dedicated Students and has been
found to uphold the clubs most essential needs as well as the necessary rights of its
members. Thus being this constitution shall be adhered to on the date of submission,
