Existing Worker Traineeships – Checklist for Supervisors
Traineeship is planned
The option to set up an existing worker traineeship may be initiated by the supervisor or the staff
member. CSU Training delivers a number of qualifications that have been tailored specifically for
CSU purposes, or another Registered Training Organisation (RTO) can be accessed where a
qualification is not available through CSU Training.
Discuss with the staff member the training program being proposed and reach agreement
on whether/how it can be supported (this should be incorporated into performance
management development objectives).
Explore the options available for the staff member to undertake work based projects that
will support their learning.
Make contact with an Australian Apprenticeship Centre to discuss formal training options,
costs and any incentives for which the employer might be eligible, as well as roles,
responsibilities and obligations.
Traineeship commences
Make an appointment with the Australian Apprenticeship Centre and trainee to sign a
training contract and keep a copy on file.
Meet with the Registered Training Organisation trainer and trainee to discuss training plan
and select elective modules.
Check, sign and return the RTO’s training plan.
Identify a timeline for completion of modules and allocation of study time.
Plan on-the-job activities/projects that will support progress and assessment through the
training modules.
Assist the trainee to identify an appropriate person, either within or outside the work-place,
who can act as a coach or mentor for the duration of the traineeship and to negotiate a
mentoring/coaching agreement.
Incentives assessment information received. Keep on trainee file.
Approval letter from the relevant state training authority received. Keep on trainee file.
Action payment for RTO administration/course fee, once invoice is received. (Note: costs
may be offset by employer incentives, if eligible).
Training incentive (commencement) claim. Check University account details for incoming
funds for traineeships (deposit@csu.edu.au ). Complete claim form, and send to AAC .
Confirmation of Commencement Incentive payment. Provide section account details and
advice on receipt of claim to deposit@csu.edu.au)
Training schedule review
Monitor trainee’s progress on a regular basis and liaise with the RTO to ensure that modules
are being completed and assessed in a timeframe that supports completion by the end of
the training contract.
Adjust the training schedule where necessary and as far as possible align work based
activities/projects with module learning requirements.
If a change to the training contract is required (withdrawal, extension or early completion),
contact the AAC for relevant forms. The state training authority should be advised within
five working days if the training contract has become jeopardised (eg if trainee resigns).
Completion of traineeship
Organise to receive copy of transcript and final certificate from the RTO.
Scan certificate (signed that you have cited original) and email as attachment to HR Service
Centre for inclusion on the employee’s TRIM file and update of qualification record on web
kiosk
Completion sign off reminder received from state training authority. Sign off and forward to
AAC with a copy of the certificate. If the trainee has not yet completed but there is a
reasonable expectation of successful completion with appropriate support in a reasonable
time frame, apply for an extension of the training period. This must be done before the
traineeship’s scheduled completion date. Advise HR Service Centre of extension.
Training incentive (completion) claim received. Complete and send to AAC.
Confirmation of completion incentive payment received. Provide account details and advise
on receipt of claim to deposit@csu.edu.au)
