The following presentation contains important guidelines and procedures in relation to the student employee positions with the Facilities Services department at Valley City State University. We expect our student employees to provide goo dpublic service and be considerate and helpful. If you don’t know the answer or are not sure, find someone who can help. Remember, you are representing the Facilities Services department and Valley City State University. Our employee should always be polite and respect co-workers, faculty, staff, and other campus guests. Your Supervisor Each student employee reports to their direct supervisor. This assignment is given based on job availability and need. The Facilities Services Office Manager serves as a secondary supervisor and oversees all hiring/firing and payroll. Any questions or complaints you have concerning your job should be directed to your direct supervisor. Training You will be trained in the specific aspects of your work by your direct supervisor. If at any time you need further assistance, please don’t hesitate to ask! As a student employee, you are a very important part of the Facilities Services department. Your work performance is vital to the successful operation of our department. Remember: Training is a cooperative effort. Nobody knows everything Don’t be afraid to ask questions Be ready to help others Policies Job Attire Personal Conduct Your appearance should reflect the fact that you are working in a visible role in a professional setting. Professionalism should be applied to you conduct within the department. Your clothes should be clean and presentable. Jeans and t-shirts are acceptable attire. Some positions require Personal Protective Equipment for certain responsibilities. Your direct supervisor will discuss these situations on an individual basis. Speak politely and be as helpful as possible when interacting with others on campus. If you feel someone is being rude to you, please direct that person to a staff member. Policies Personal Phone Calls Illness There may be times you need to make a personal phone call while at work. If you need to make a personal call at work please find a private area and keep the call brief. Please do not feel it is necessary to come to work when you are ill. You are expected to let your direct supervisor know through email or text before your shift begins. Policies Lateness/Absence School Related Lateness/Absence If something unexpected keeps you from arriving to work on time, please notify the office and/or your direct supervisor as soon as possible. There may be times when school responsibilities will take your time away from work. In these instances, discuss with your direct supervisor. If you need to take time off of work, please discuss this with your direct supervisor. **Remember that school is your top priority and we will work with you on making your hours work with your school obligations. Timesheets Timesheets Your direct supervisor will have copies of the Student Employee Timesheet or it can be found here: http://www.vcsu.edu/employeeservices/vp.htm?p=688 Beginning and ending dates must be correct. Fill in your name, employment type, and department: Facilities Services. You must show total hours worked rounded off to the nearest quarter hour (.25, .5, .75). Remember to sign your timesheet before turning it in. More About Timesheets Timesheets must be signed and dated by the direct supervisor and student. Timesheets are due in the Facilities Services Office by 11am on the day following the end of a pay period. There will be consequences for falsifying records. A time sheet that is not filled out correctly or is not turned in on time will be returned to the direct supervisor and your check could be delayed. Payroll Payroll at VCSU is processed timely and accurately on a bi-monthly payment schedule to all faculty, staff, and student employees. Payroll is automatically deposited into your bank accounts. Pay periods end the 15th and last days of the month. Breaks Student employees receive a 15 minute break for every 4 consecutive hours worked. If you work over 5 consecutive hours, you must take at least a 30 minute meal break. **You will not be paid for the meal breaks. Break times can be discussed with your direct supervisor. Disciplinary/Terminations If a student employee’s performance/behavior does not meet the requirements of the position, meetings/documentation will take place to protect the student and direct supervisor. The direct supervisor will talk to the student and document the conversation. If performance/behavior does not improve, the student will have a meeting with the Facilities Services Office Manager. If performance/behavior still does not improve, the Director of Career Services will be notified and the decision will be made on whether or not to terminate the student employee. Evaluations From time to time, Career Services requires each department to evaluate their student employees. Your direct supervisor will be responsible for setting up a meeting to discuss your performance. Safety Familiarize yourself with the safe operating procedures included in your student employee handbook. Each position has a different safety handbook based on their job responsibilities. If you have questions about safety, discuss with your supervisor or the campus Safety Coordinator. Closing Statement We are a laid back and fun department, but it is still important to remember that you are working in a professional environment and you must do your part in maintaining this atmosphere. Follow directions from your direct supervisor and ask questions when you are unsure of a procedure. We look forward to having you as part of our team!
