Guide for students
Introduction:
As part of the Work-Study Programme of the First-Generation Scholars Scheme, the Careers
and Employability Centre (CEC) has introduced a new Work Shadowing Experience
opportunity for first-year students. These are intended to support your career development
by giving you an insight into an area of work which interests you.
Location:
Opportunities are generally available in and around Brighton, with a small number
elsewhere in England.
Dates:
The 2015 Work Experience Scheme is scheduled to take place in Summer 2015. Actual dates
are a matter for negotiation by you with the work experience provider and will vary for each
opportunity. You must be available to attend on all the dates you agree with the provider.
Costs:
Reasonable expenses will be refunded by the Careers and Employability Centre (CEC) after
completion of the opportunity.
Travel:
Travel costs will be reimbursed by CEC, in accordance with the following points:
 Travel by train should be by standard class, and make use of railcard discounts where
available.
 Participants should purchase the cheapest available tickets for their journey(s). For
journeys to and from North-west England you should plan ahead and purchase
advance tickets, not walk-up tickets on the day of travel.
 Receipts should be obtained for all tickets. If tickets are purchased online, the
confirmation email will suffice. If train tickets are purchased at a station, you must
collect a payment receipt. A credit/debit card receipt, or the ticket itself, is NOT
sufficient.
Accommodation:
Accommodation costs will be reimbursed by CEC, in accordance with the following points:
 Work experience opportunities within 1.5 hours’ travel of Brighton will not have
accommodation refunded. You will be expected to travel to the placement each day
(this is normally for placements in London). You are more than welcome to pay for
your own accommodation or stay with friends.

CEC will not pay for food, refreshments or any other incidental costs.

For work experience opportunities beyond 1.5 hours’ travel of Brighton, (usually
beyond London), hotel accommodation will be refunded up to £100 per night
(including hotel breakfast).
Detailed VAT receipts should be obtained for all accommodation. A simple
confirmation email will not suffice. Without a full receipt CEC will be unable to
refund your accommodation costs.

Submitting Expenses:
Claims should be submitted to CEC using the ‘Expense Form’ which can be found on the
following page: http://www.sussex.ac.uk/finance/forms Completed forms should be signed
and handed into the Information Desk in the Careers and Employability Centre.
Original receipts should be attached and the form submitted to CEC for processing and
payment. Assuming accurate completion of the form you will be paid direct to your bank
account within two weeks.
Sickness:
In case of sickness you must contact us at the earliest available opportunity. Please call
01273 678429 or 01273 877528 so that we are able to update the work experience
provider. Depending on the conditions, you may be able to apply for a refund on unused
tickets or accommodation which you should do so before submitting an expense claim.
Successful applicants:
Upon successful application to the First-Generation Scholars’ Work Shadowing Programme
you will be provided with further information by the Careers and Employability Centre.
Completion:
After completion of the work experience opportunity you will be asked to submit a short
report detailing your experience.
