Savannah State University Position Description – Executive Assistant to the President POSITION DESCRIPTION: Position Title: Executive Assistant to the President Reports To: FLSA Status: Exempt President Department: Office of the President Date Prepared: February, 2015 BASIC FUNCTION The Executive Assistant (EA) is a senior administrative position that is responsible for the effective and efficient operation of the Office of the President, working closely with the Chief of Staff and members of the President’s cabinet. The EA is the supervisor of office staff and coordinates with the administrative support staff of the Executive leadership team and others across campus to ensure the President is prepared for all projects, meetings and visitors to the office. NATURE & SCOPE Reporting to the President, the Executive Assistant will oversee the office operations; manage the President’s calendar and coordination of all correspondence, appointments, assignments, meetings and office visitors. The EA coordinates and monitors information flow, oversees projects and assures timely completion; advises the President on critical matters and manages a wide range of affairs of importance. The EA is counted on to keep the President’s office running efficiently with an authoritative, yet calm and friendly demeanor, accompanying the President to events which may include evenings and weekends. PRINCIPAL ACCOUNTABILITIES Coordination of the efficient operation of the Office of the President Supervision of office staff Work closely with the Chief of Staff and members of the President’s Cabinet Coordination with Executive Leadership team administrative support staff and others to ensure the President is prepared for all projects, meetings, speaking engagements, and special events Coordination of all correspondence, appointments, assignments, meetings and visitors to the office Coordination and monitoring of information flow; monitoring of projects to ensure timely completion Management of the office budget, P-card, travel and other fiscal responsibilities Effective liaise with the executive staff at the University System of Georgia and other external partners including donors, alumni, elected officials and the community at large Effective handling of day-to-day and unexpected dilemmas SPECIALIZED KNOWLEDGE, EDUCATION AND EXPERIENCE REQUIRED Four year degree in related field required; Master’s degree desired. Minimum of five or more years of executive level administrative experience required, preferably in higher education. Outstanding communication skills; written, oral, listening and public speaking. Advanced computer literacy and internet skills a must with extensive knowledge of Microsoft Suite; broad base knowledge of formal protocol and office etiquette required. A proven track record of managing an executive office; highly developed human relations skills leading to the ability to work well in a fast paced environment with individuals at all levels. Strong planning and organizational skills; advanced leadership and team building skills; task oriented. Possession of strong personal code of ethics, and ability to maintain confidentiality.
