Planning Guidelines for Use of the Auditorium and Classrooms

THE FOLLOWING INFORMATION IS TO ANSWER QUESTIONS YOU MIGHT HAVE IN
PLANNING YOUR CONFERENCE, CLASS OR MEETING:
ROOM Contact the Facilities Coordinator, McLeod Hall, extension 4-0133,
RESERVATIONS: Monday-Friday, 8am-4pm.
McLEOD HALL: Location: 15th Street & Lane Road, University of Virginia, Health Systems
Equipped with the following: a. Two patios-one at the front of the building and one at the back of the building. b. Auditorium - Fenwick Auditorium has a seating capacity of 476 including the balcony. There is a microphone and public address system available in the auditorium. NO EATING, DRINKING OR
SMOKING IS ALLOWED IN THE AUDITORIUM.
c. Classrooms-There are 7 classrooms available and the seating capacity for each varies. NO SMOKING ALLOWED IN THE BUILDING
OR CLASSROOMS.
HOURS: McLeod Hall is officially open for business from 8am-10pm, Monday -
Friday, 9am - 2pm Saturdays and CLOSED on Sundays. Note: evening and weekend hours are dependent on whether a night watchman is available.
Individuals requesting use of the building will assume responsibility for the security and safety of the building and for himself/herself and any person(s) accompanying him/her. Any room clean up will be done by the person reserving the room(s) and if chairs and/or tables are moved, they must be returned to the original position. If it is necessary to schedule an activity on a Saturday or a time other than during the normal building hours, arrangements should be made to employ a nightwatchman. Contact the
Facilities Coordinator at least three weeks in advance of the event in order to make arrangements. The School of Nursing will employ the nightwatchman.
The individual requesting use of the building will be responsible for providing billing information/account numbers to be charged for the cost of this service. If any of the above conditions are not met, the building will not be available for your use.
IT IS SUGGESTED THAT YOU MAKE A PRE-VISIT TO MCLEOD HALL TO
ACQUAINT YOURSELF TO THE BUILDING LAYOUT AND FACILITIES.
LOBBY FLOOR: Due to the type of flooring in the McLeod Hall lobby,
“NO”
tables, chairs, trashcans, etc. should ever be “dragged” across the floor. It is the responsibility of the sponsoring group to insure that the lobby floor is not damaged during your visit. Any costs associated with repairing or cleaning the floor will be billed to the sponsoring group or department.

FOOD: McLeod Hall is not equipped to prepare and/or serve meals. These arrangements should be made through University Dining Services or a catering service of your choice. If you plan to have refreshments, you should schedule the use of a classroom to be set up as a reception area.
The lobby area is restricted for use as a reception/serving area at all times. The School cannot assume the costs of floor maintenance and must ask that this policy be adhered to. THERE IS TO BE NO
ALCOHOLIC BEVEREAGES IN MCLEOD HALL.
REGISTRATION: Should it be necessary to register participants, the lobby of McLeod Hall can be utilized. However, the table(s) and line(s) must be managed in a way as to not block the flow of traffic in the lobby and/or either entrance exit. THE HALLS CANNOT BE UTILIZED FOR REGISTRATION.
HOUSEKEEPING: Housekeeping personnel hours are 2pm to 10pm, Monday through
Friday. If you have a particular cleaning need, please submit a Request for Service to the Department of Facilities Management two weeks in advance. There is no housekeeping service after 10pm or before 2pm; therefore, the person reserving the space has responsibility for its cleanliness. In the event the building is used on Friday night, Saturday and/or Sunday, it is assumed that the rooms will be returned to its original state. Trash, i.e., boxes; food, etc. are to be disposed of in the trash dumpster located on the upper parking deck of the McLeod Hall parking garage. If it is necessary for the School to pay to have trash removed, the cost of the trash removal will be billed/charged to the user.
EQUIPMENT: As a convenience some audio-visual equipment is available, however, the School of Nursing does not supply personnel to operate the equipment. Equipment requests must be submitted to the Facilities
Coordinator no later than two weeks before the intended date of use.
If you have questions regarding available equipment and arrangements for equipment, please contact the Facilities Coordinator.
ELEVATORS: The elevators in McLeod Hall are accessible between the hours of
7:30am and 5pm from all floors Monday through Friday (including upper and lower parking levels). After 5pm or on Saturday/Sunday, the elevators are not accessible from the upper or lower parking levels so please enter the building through the main front door entrance.
RECEPTIONIST: The School of Nursing Receptionist is not responsible for taking telephone calls, distributing details or information for a scheduled event.
It is the responsibility of the Conference Coordinator to insure that someone is available within McLeod Hall while the conference is in session to answer questions or handle problems related to the event. A telephone is available by the front entrance doors of McLeod Hall for local calls only and one is available in Room 2004 for local, long distance and calling card calls.

FURNITURE: Tables and chairs are available for use, however, the School of Nursing does not supply maintenance personnel to move tables and chairs for other than School of Nursing activities. To request that tables and/or chairs be moved in the classrooms, you must submit a Request for
Service through the Department of Facilities Management. If tables are needed in the lobby area, please review the attached floor plan and designate where the tables are to be placed and provide a PTAO number so that a work order can be initiated. Once table locations are agreed upon by all parties, the tables can not be moved without first consulting the Facilities Coordinator. School of Nursing personnel should submit a written request to the Facilities Coordinator for these services. If it is necessary for the School to pay to have tables and/or chairs returned to their original state, the cost will be billed/charged to the department or group.
PARKING: There are two pay-parking garages across from the University Hospital.
Please instruct your patrons not to park in the reserved spaces under
McLeod Hall during normal business hours as they are reserved and the garage is a tow-away zone. Parking is only available under McLeod Hall after 6pm and on weekends.

Classrooms that are scheduled in McLeod Hall for the fall, spring and summer sessions and are listed in the Course Offering
Directory cannot be changed without first consulting the University
Registrar. This also applies to class lab space.
