Student Affairs Communications Group Minutes August 6, 2014 Attendance: Brianna McNall, Kent Sumner, Michele Ribeiro, Majeed Badizadegan, Jen Still, Wendy Little, Nancy Raskauskas, Jay Schonoor, Chloe Pasquet Next meeting of the Student Affairs Communications Group will be Wednesday, October 1, 9 a.m. -10:30 a.m., MU Council Room. Topic: Meet with the new Director of Marketing and Communications for Student Affairs and show a favorite video or other marketing piece from your department. Today We discussed ways to welcome and orient Carolyn Boyd, the new Student Affairs Marketing & Communications Director. We decided on the following recommendations: - - Have Carolyn meet with Student Affairs Alignment Groups / Clusters and then follow-up with individual departments as she see’s fit. (Kent sending a list to Jodi so meetings can start to be placed on Carolyn’s calendar) o Community: Dean of Student Life, Disability Access Services, Student Conduct, Career Services, NSPFO, ASOSU / Contact: Debbie Widony or Maureen ?? o Diversity (ISS): CASA Latina/o, LGBT Outreach, Project Social Justice, Women’s Center, Cultural Centers, Pride Center / Contact: Allison Davis-White Eyes o Health & Wellness: Counseling & Psychological Services, Student Health Services, Recreational Sports, Healthy Campus Initiatives? / Contact: Wendy Little o Housing & Dining / Contact: Jennifer Vina o Leadership: Memorial Union, Student Leadership & Involvement, Student Media / Contact: Kent Sumner o International Programs / Contact Lauren Dodd It was recommended we have some common questions to guide that conversation. These meetings are not about assigning or delegating work. What are the biggest challenges your department faces? What are the biggest priorities for your group? What is the untold story of your work? It was also recommended that we put together a directory of the groups prior to her meeting with them including their objective, challenges, names and positions of people that would be at the meeting, etc. Provide a list of resources, things to look into when she arrives. (Wendy and Majeed working on a draft of this to have reviewed by the group) - Fill Carolyn’s office with some welcome items (Nancy & Michele are coordinating this effort and sent out an e-mail requesting items). Next we discussed changes or points of interest from departments. UHDS: Hiring a Brand Manager, Online Marketing Specialist/New Media Coordinator (Nancy moved to an Associate Director position), and a student videographer (10hrs/wk, filming around diversity and social justice) Career Services: Jennifer Edwards is moving to the Alumni Association and will be taking Kim Hutto’s place. CAPS: They are needing a more consistent solution for design work and are looking at options there. There is a lot of new staff and changes at CAPS. Marcey Bamba is the interim director. Mariette Brouwers will be retiring. RecSports: Majeed got feedback from the group on how to launch social media photo contests. INTO: Their main goal is to increase the diversity of the international students coming to OSU. The have a 25% increase in diversity. Saudi Arabia, China, Gulf States, Central Asia, SE Asia are where the largest numbers of students are coming from currently. They have had a pretty good response in applications from South America this year. They got a $400,000 increase in scholarship funds which should really help the diversification efforts. Disability Access Services: Alex Axelsson is now extending an invitation to departments to do trainings with students or other staff on captioning video. The group discussed how you could do it on YouTube, but it doesn’t meet all of the requirements and is not to the standard we would like it to be. We may invite Alex to a fall meeting. Lastly, we discussed the schedule and topics for fall meetings: Tentative Fall Schedule (please provide feedback) Oct. 1 – Welcome Carolyn Boyd / Video or marketing material show & tell from Depts. / Share fall or annual calendars of what is going on in departments Oct. 15 – Revisit Guidebook: What is working, what’s not, and where to go with it next. Oct. 29 – Alex Axwlsson from Disability Access Services, Captioning Video Nov. 12 – Chloe Pasquet with INTO OSU will talk about cultural sensitivity and communication around holidays. Nov. 26 – Susie Brubaker-Cole or Healthy Campus Initiative / Be Well Dec. 10 – Majeed Badizadegan, Lightroom, Flickr, and file storage (managing photos and files, including media release form) Nancy mentioned that David Baker has started a Mobile Use Group to explore web and mobile applications and use. The group has only met once or twice so far and Nancy thought they would be open to others joining if they are interested. Nancy mentioned that Texas A&M has a good mobile strategy. The Mobile Use Group may be a good one to connect with for a presentation in the winter or spring.
