This document identifies information we wish to give you as the parent/guardian of a young person who will be under 18 at the time of taking up residence. The Tenancy
Agreement and the residences handbook are enclosed with this information sheet. As the parent/guardian of a young person under 18 we require you to sign and return a copy of this document to acknowledge receipt, and to confirm that you are aware of what steps we will take regarding a resident under the age of 18.
Students under the age of 18 will be allocated accommodation in accordance with the
University housing allocation policy. We will, however, only place the young person in accommodation that we directly own and manage. We will make every effort to ensure that the student is placed on the campus but this cannot be guaranteed. As the parent or guardian of a student under the age of 18, you should be aware that such students may be housed with other students who are over eighteen years of age.
To create a safe environment within University residences we will ensure that the accommodation meets the following standards:
weathertight, dry and clean
adequately heated in winter
reasonable levels of privacy afforded to individuals
not overcrowded
sufficient toilet and bathroom facilities
furniture and fittings are sufficient in number and well maintained
security meets suitable standards
affordable by typical students
The University of Sussex does not, however, accept a supervisory role over student residents in University managed accommodation. We are therefore not able to carry out the following:-
request residents to sign in or out of the accommodation
checking of late night/overnight visitors
placing of students in single sex accommodation (unless specifically requested and available)
checking on activities off premises
monitoring students health or eating habits.
Each of our residential areas are staffed during standard working hours by a team headed by a Building Manager, who is a member of the Residential Services management team. In addition, there is 24 hour cover provided at York House and
Stanmer Court Receptions on campus and also via the University’s Security Team
(also based in York House).
In addition to the above, the Residential Student Support Welfare Officer is resident on the campus and is able to respond to emergencies and provide welfare support where needed.
Members of staff will give prior notification of their intention to enter a student room and all maintenance personnel will carry identity cards which will be available for inspection by the student, if requested.
All residence staff are available to assist students with any reasonable request they may have. If we cannot immediately resolve the issue, we will either indicate when we will do so, or we may refer the request to someone who will be able to assist. At all times the student will be kept fully informed of what is happening.
If, at any time, the student infringes the conditions of occupation as set out in the tenancy agreement, such that the continuation of the accommodation agreement may be affected, we will contact you to discuss the incident before any formal action is commenced.
The University has a number of licensed bars on campus, one of which is in the residential area. This bar is run by the Student’s Union. Please note that it is not our practice to notify the Bars’ Manager of residents that are under 18 years of age. Such students should however be reminded that that they may not purchase or consume alcoholic drinks from the University bars.
The University is not prepared to tolerate any criminal or other unlawful act in its halls of residence and will report any such incidents to the police. Specifically the
University will not tolerate drunkenness or substance misuse and all incidents of drug abuse will be reported to the police
