1. Summary Statement: State the major function(s) of the position and its role in the university. Attach an organizational chart with positions, ranges, and names for the division which reflects the position in it as well as those supervised in the department. (This section is

The Specialist, Chemical Inventory works closely with and reports to the Chemical Inventory
Coordinator (CIC) within the Laboratory Safety Program of the Environmental Health and Safety
(EH&S) Department. The Specialist is a senior member of the team that maintains the University’s chemical inventory database. The Specialist is responsible for coordinating chemical receiving and delivery inventory activities; the scheduling of the physical chemical inventory of buildings, laboratories, and workspaces that house chemicals in the University’s facilities; and the maintaining the chemical inventory software and database. The incumbent will perform inventory duties as needed. The Specialist also coordinates the logistics for the safe packaging and delivery of chemicals to laboratories.

40 % Chemical Inventory Coordination
Calculate staffing demand and coordinate schedules to ensure adequate staffing is available daily for Central Services and in-building inventory activities
Coordinate logistics for the chemical reciept and delivery inventory with Central Services
Personnel and the Chemical Inventory Technicans
Coordinate and schedule the physical chemical inventory of buildings, laboratories, and workspaces with the occupants of those spaces and the technicians
Establish and monitor procedures that ensure the safe handling, re-packaging, and transportation of chemical containers for all inventory processes
Manage incidents involving damaged containers or unsafe storage conditions
Perform inventory activities as needed
40% - Chemical Inventory Data Acquisition and Management
Coordinate all chemical inventory data acquisition activities in campus laboratories and at
Central Receiving
Maintain accurrate database including contact information, chemical storage locations and associated responsible persons
Perform quality assurance checks on inventory data entry to ensure data quality meets regulatory and internal standards
Work with faculty and/or staff to resolve concerns regarding chemical inventory processes
Communicate issues or enhancements regarding inventory electronic databases and devices
Review data entry by technicians to ensure consistency and accuracy
20% - Software and Database Support
Communicate software outages or issues affecting daily operations directly with external software providers
Make recommendations on possible software enhancements
Assist CIC with: identification of unassigned chemicals listed in inventory database; collect chemical hazard information needed for GDN assignments; communicate unassigned chemicals and associated hazard information to CIC
Generate reports needed for regulatory compliance permits and activities, workplace evaluations, and special requests

3. Describe the level of freedom to take action and make decisions with or without supervision and how the results of the work performed impact the department, division and/or
the university as a whole.
Level of Freedom:
The Chemical Inventory Specialist works under the under general supervision and guidance of the
Chemical Inventory Coordinator (CIC). The Specialist must exercise independent judgment when prioritizing, planning, and scheduling chemical inventory activities to ensure their timely completion by the deadlines established. The incumbent must exercise independent judgment when conducting chemical inventory in laboratories and other workplace areas to ensure that chemical information in collected in a manner that minimizes disruption to the occupants’ work and prevents damage to sensitive chemicals. The incumbent must also exercise independent and professional judgment when resolving issues with chemicals (e.g., damaged chemicals/containers, spilled chemicals, unsafe storage, special inventory procedures, etc.) .
Impact:
If the duties are not performed, chemical receiving, delivery and inventory could be disrupted causing an inconvenience to faculty and staff and interrupting a critical data source for one of EH &S’s regulatory permits, which could produce erroneous results on the permit report. The long-term failure to meet to objectives of the inventory program could result in regulatory fines, loss of required environmental permits, delay of research activitie s, and damage to the department’s and university’s reputation with regulators, the community, and funding agencies. The Specialist can also create inconveniences or disruptions for faculty, staff and/or students if failing to communicate scheduled building inventory activity and when gaining access to laboratories and other areas. Failure to safely handle chemical containers during inventory may result in damage to research materials/property and or persons. Failure to identify and communicate damaged containers delivered to Central Receiving may put the driver at risk for chemical exposure.

Basic knowledge of chemistry and chemcial nomenclature, chemical and biochemical reagents and products, household chemicals
