Summary Statement: State the major function(s) of the position and its role in the university. The Senior Planner, Space Management, in Planning, Budget and Analysis (PBA), maintains the official campus facilities space inventory, directs the development, and management of data related to facilities assignments, usage and utilization for department space allocation, capital project planning, and campus master planning. The Senior Planner is responsible for developing and maintaining data to support the facilities and administrative (F&A) and recharge cost allocations. The position reports to the Associate Vice President, PBA, and provides relevant data and analytical planning support to the Facilities Resource Committee, Vice Provost, Vice President Administration and Finance, PBA, and numerous campus committees and workgroups on matters related to space allocation, capital planning, campus master planning, F&A costs, lease agreements and facilities management policies. 2. Provide enough detail to enable a person outside the department to understand the job (percentage first with heading and then bulleted information). 35% - Campus Computer Aided Facilities Management Systems Development and Management Plan, develop, integrate and maintain Computer Aided Facilities Management data system (CAFM; an add-on to PeopleSoft) which houses detailed space statistics on university rooms, buildings, square footage, inventory, etc. Plan, design, collect, assimilate and maintain F&A data component of CAFM Assemble and analyze data; prepare reports, tables, charts, etc., for the biennial renegotiation of university F&A cost calculation; collaborate with consultant to develop recommendations Plan, design and implement integrated systems between CAFM resource and college/departments (e.g., TLT classroom renovations; EH&S GIS system) Conduct and/or manage space allocation surveys and provide consultation, analysis and recommendations for academic and administrative space allocations and relocations based on supporting metrics 25% - Administration Support Make recommendations to and coordinate the activities of the Facilities Resource Committee, department chairs, deans, vice provosts, and associate vice presidents in the preparation of resourced materials and justification data for campus master plans, capital projects, space allocation requests and lease agreements Recommend new and/or modifications to existing policy regarding space allocation Provide data for university recharge cost allocation calculations 20% - Staff Supervision and Evaluation Direct and supervise the daily activities of Facilities Technicians in the office of PBA Conduct annual evaluations on direct staff 10% - NSHE Space Utilization Study Prepare space utilization study data for in-house use each semester, and biennially for Nevada System of Higher Education (NSHE) and state offices Position Description – Senior Planner, Space Management Page 3 10% - Facilities Data Requests Response Respond to requests for facilities data about the campus from outside organizations including other educational institutions, emergency relocation data for Scheduling Services and city, county, state and federal agencies 3. Level of Freedom: The Senior Planner prepares complete and accurate space data for capital development, campus master planning, space utilization and allocation issues. The individual works closely, but with considerable independence, with the Associate Vice President, PBA on decisions and judgments associated with the position. Incumbent makes decisions by applying broad policies to problems and situations not falling clearly within precedents. The position adapts or modifies methods to meet changing conditions. Impact: Preparation of complete and accurate space data must be rigorously exact in order for sound decisions to be made on F&A rate calculation, space utilization and allocation, capital development, and campus master planning. Poor performance in this position will result in less than optimal space utilization by university units and departments and could potentially result in the development of new facilities that do not align with institutional needs. 4.
