1. Summary Statement: State the major function(s) of the position and its role in the
university. Attach an organizational chart with positions, ranges, and names for the division
which reflects the position in it as well as those supervised in the department. (This section is
used for advertisement of the position.)
The Data Analyst, Police Services, is the key position to ensure the university’s compliance with the
Cleary Act. The Analyst is responsible for the collection, analysis and reporting of crime statistics for
the institution. The annual Cleary Report is drafted, assembled and published by the incumbent.
Dissemination of the report as well as public access and handling inquiries are responsibilities of this
job. The position reports to the Director, University Police Services.
2. List the major responsibilities, including percentage of time devoted to each. Provide

40% Annual Security Report
 Prepare the Annual Security Report as mandated by the Jeanne Cleary Act
 Propose the scope, parameter and specific data elements to be included in the report by
researching the Cleary Act and reviewing peer institutions’ annual reports for enhancements
and compliance
 Ensure compliance to all aspects of Cleary Act reporting
 Establish methodologies and standards for data collection, data extraction and data transfer
 Author final report for submission to the Department of Education
 Ensure compliance with the Cleary Act by making the report available to current and
prospective students, the public and constituents
20% Collection and Organization of Crime Statistics
 Identify data collection needs and develop collection methods
 Create and maintain electronic methods of data collection (database, spreadsheet) for efficient
retrieval for reporting
 Classify and input crime data into FBI, Department of Education and Nevada Highway Patrol
databases
 Collaborate with university administrators, staff and external agencies to coordinate data
collection and compliance with the Cleary act
 Organize data by major categories, sub-categories, crime type and crime-location as
stipulated in the Cleary Act
 Maintain records for public inspection
 Create reports as requested
15% Training
 Provide annual training to University sworn officers on reporting requirements of the Cleary Act
 Administer annual mandated training to campus officials
15% Office Administration
 Serves as primary support in implementing the Director’s initiatives
10% Supervision
 Supervise front office civilian personnel
 Supervise the Terminal Agency Coordinator process and overall program
 Ensure compliance with required Terminal Agency Coordinator regulations

3. Describe the level of freedom to take action and make decisions with or without
supervision and how the results of the work performed impact the department, division and/or
the university as a whole.
Level of Freedom:
The Data Analyst must work with limited supervision making decisions and taking independent
actions; ensuring that federal and state mandated requirements are adhered to; ensuring that the
Director and others are aware of emerging guidelines and requirements as they become available;
review budget documents and ensure that funding is tracked and ensure appropriate identification of
crime trends; make public crime notifications on behalf of the Director; primary contact and
spokesperson related to CLEARY Act data and information; respond to public and media CLEARY
queries and direct questions to appropriate staff. Ensures Police Services complies with procedures
and rules set forth by Department of Public Safety.
The Data Analyst has the freedom to make changes to data collection methodologies and enhance
systems for more accurate data collection. The incumbent identifies the appropriate data sources and
uses discretion regarding the data and its accuracy and usefulness. Quality control measures are
developed and implemented by the incumbent and routinely reported to Director, Police Services.
Organization and formatting of the annual report is within the purview of this position.
Impact:
This position is critical to the university’s ability to conform to the provisions of the Cleary Act. Failure
to conform to the act may result in fines and withholding of federal student aid. Failure to perform
affects the overall public perception of the safety of the institution and can discourage visitors and
students from coming on-campus.
