ADMINISTRATIVE FACULTY JOB DESCRIPTION APPROVED POSITION INFORMATION (to be completed by HR) Effective: 5/1/2015 Title Range JCC 2 67661 Coordinator, Civic Engagement and Special Events Essential Function: Light Work Description: Light Work - Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. Light work requires walking or standing to a significant degree and pushing and/or pulling. 1. The Coordinator for Civic Engagement and Special Events is a key part of the Associated Students of University of Nevada (ASUN) Center for Student Engagement (CSE). The Coordinator is the primary contact person who promotes, designs, develops, oversees, and implements civic engagement opportunities for the CSE. The Coordinator analyzes data assessment and reflection for civic engagement participants. The Coordinator assists community partners, student services faculty, and students to develop civic engagement partnerships, collaborates with departments, clubs, and organizations to promote civic engagement opportunities both on campus and in the greater Nevada Community. The Coordinator educates and advises students on special events, coordinates event management, planning and logistics for campus-wide events/programs sponsored by students. The Coordinator is directly responsible for supervision and execution of successful event production, paying attention to details, fiscal management, and assessment of learning outcomes. The individual works closely with various campus departments and community agencies collaborating on programs and assesses and provides recommendations on risk/liability issues and vendor negotiations within the framework of University of Nevada, Reno policies and procedures. * Attach an organizational chart with positions, ranges, and names for the division. 2. If line of progression, define for each range as above. 40% - Programming and Civic Engagement Development and Management Identify, develop and sustain volunteer opportunities Identify appropriate community partners for civic engagement opportunities Facilitate the development of sustainable relationships among community organizations and ASUN Serve as liaison between community partners and ASUN Collaborate with civic-oriented, volunteer, and non-profit organizations both on- and offcampus to increase volunteer opportunities for ASUN 1 Coordinator, Civic Engagement and Special Events Prepare and orient student facilitators for civic engagement experiences Conduct and verify site visits with community organizations, partner orientations, safety assurances, risk reduction, etc. Supervise, provide planning advice, and manage risks and liability for campus-wide events/programs sponsored by the ASUN Oversee vendor negotiations and monitor negotiation of talent agent programming contracts for ASUN Manage the budgets of the ASUN Programming Boards Administer and implement strategic plan in relation to division and University goals Consult with the staff and ASUN regarding activities, especially in situations of potential liability of loss of money, risk management, or policy infringement Ensure that all precautions are taken to minimize liability at ASUN events Determine security needs for ASUN events with appropriate campus and external agencies Work closely with student programmers and various University departments to develop and implement successful programs Represent Student Engagement, Student Life, and/or the Division of Student Services in meetings, on committees and in workgroups both on- and off-campus 20% - Advising and Guidance Provide guidance and advise volunteers and civic engagement facilitators Provide guidance and information on best practices for civic engagement Provide planning advice to the programming boards comprised of appointed officers of the ASUN Assist the programming boards in developing, scheduling, implementing, and evaluating campus programming Ensure relationship with non-profits and community partners is maximized and beneficial to the students volunteering Ensure good neighbor policies are executed by ASUN in creation of student programming Ensure compliance with various university, state and NSHE officials regarding use of state resources 20% - Supervision and Training Supervise and train student officers and student volunteers/facilitators Monitor and direct decision-making of various campus and city programming initiatives including voter registration drives, homecoming and community volunteering Implement important Student Life policy including, but not limited to the Amplified Sound Policy and ASUN and University posting and publicity policies Ensure accountability of ASUN programming boards for food protocol as specified by State and Washoe County Health Department standards Work closely with the Associate Director in developing student programmer and civic engagement leadership programs Work closely with the Associate Director to develop strategic plans and research assessment of all civic engagement and programming efforts and resources 20% - Assessment Develop and implement student learning objectives and assessment for civic engagement and programming activities 2 Coordinator, Civic Engagement and Special Events Assess civic engagement and programming efforts and resources and provide the appropriate reports Assess data/statistics to support programming and volunteering funding and resources Implement regular assessment of quality of service delivery and make relevant changes based on assessment results 3. The Coordinator works under the direction of the supervisor and directly with student leadership, staff, and upper level Student Services administration. The Coordinator has considerable autonomy on day-to-day decision-making of ASUN programming. The position works closely with faculty and students to provide outreach to clubs, individuals, and organizations regarding civic engagement opportunities and acts as point of contact to help resolve issues that arise. The position uses independent decision making to oversee the development, execution, and analysis of civic engagement opportunities. The position has oversight responsibility of vendor negotiations and monitors negotiation of talent agent contracts. The Coordinator utilizes Nevada System of Higher Education (NSHE) and University policies and procedures and city, state and federal law in discussions and decision-making. The Coordinator must be able to respond immediately to risk management and liability issues related to campus programming and volunteer opportunities. The individual assists the Programming Boards in adhering to the Constitution of ASUN and its codified processes. Failure to do so could result in violation of student rights and student leadership integrity and potential misappropriation of student funds. Successful execution of civic engagement opportunities will result in more engaged and responsible student citizens, and will enhance the University’s reputation in the community and nation-wide. 4. If a line of progression, describe the supervisory consultation at the highest level. The Coordinator must use independent judgment in determining the appropriate measures to pursue when problems arise. Situations outside of precedent, policies, and procedures can escalate quickly and must be brought to the immediate attention of the supervisor. Failure to address issues may place the University in an adverse legal standing and could put students in harm’s way. If the incumbent is unsuccessful in performing the duties of the position, then students will lose valuable opportunities outside the traditional campus setting, jeopardizing the student persistence, graduation, and civic development. 5.
