The position of Coordinator, Financial Aid, Assessment, and Compliance: Manages a strategic financial aid and enrollment management system and program that analyze the impact of scholarships and financial aid on the enrollment of new undergraduates and the retention of continuing students Designs and conducts assessments and research, including analyses and reports. Ensures proprietary systems and electronic services to students comply with federal and state financial aid regulations. Oversees the electronic data exchange system with the U.S. Department of Education and other such systems with lenders. Prepares documents for annual audits-internal and external, reports for the U.S. Department of Education, NSHE, national organizations, and data for University surveys and campus and public information requests concerning financial aid and scholarships for students. Provides staff training on new and enhanced systems that support aid delivery and services to students. 2. List the major responsibilities, including percentage of time devoted to each. Provide enough detail to enable a person outside the department to understand the job. 55% - Financial Aid & Scholarship Management: 25% - Directs the Enrollment Management Program in partnership with other contracted vendors to analyze how financial aid and scholarships impact the enrollment of targeted entering undergraduates and the retention of continuing, undergraduate students through the use of data-driven analyses and reporting. Collects and analyzes data for goal-setting strategies and historical enrollment comparisons using a data analysis research tool, a database that contains demographic and academic information on admitted students and the financial aid and scholarships they were offered. 15% - Leads the enrollment management team- representatives from housing, admissions and records, financial aid, scholarships, prospective students, and the AVP for Enrollment Management to design proactive, intervention and action plans; monitors on a bi-weekly basis the results of such strategies with updated reports; identifies targeted student populations where the impact of financial aid and scholarships may influence enrollment decisions and are congruent with University priorities. 15% - Implements the scholarship award process that creates entering freshmen an academic index level, offers them an automatic award based the level as they are admitted to the University and monitors progress toward enrollment goals. Serves as a liaison to Office for Prospective Students to analyze enrollment patterns and yields. 40% - Data Management and Assessment: 10% - Creates and maintains internal data management, analysis and compliance for federal and state reporting requirements-NSHE; U.S. Department of Education; institutional requests for information; office operations and workflow; and audits. 10% - Identifies federal requirements that can be met through the design and implementation of an electronic service. Works with staff to design and implement award notifications, forms, and other electronic services to students that reduce paper and create a self-service system. Conducts QA assessments and reports to identify the error-prone filers and set parameters for documentation. 10% - Oversees the electronic data system interfaces with the U.S. Department of Education and ensures compliance for those and other federal electronic initiatives and systems, including reporting, file and data reconciliation, and retention and archiving of student and financial records. Ensures priority systems are secure and in compliance with all federal requirements. 5% - Supervision: 5% - Supervises two classified employees. Is Liaison with Enrollment Services division staff on recruitment services. 3. The enrollment and retention management program for which the position is responsible supports the diversity and enrollment goals of the University and also the priority for retaining students. The data generated and analyses impact the strategic decisions the financial aid office and the enrollment management team make on how funds should be targeted and spent. The historical comparisons and goal-setting are critical underpinnings to what the University expects to accomplish. Contacts with other middle managers who are also decisionmakers ensure coordination and consistency. The oversight for the U.S. Department of Education systems for the delivery of applicant data is critical for the University to ensure compliance and accuracy in operations. The lack thereof could mean loss of participation and therefore federal financial aid for students. 4. Describe the knowledge, skills and abilities essential to successful performance of this job.
