1. Summary Statement: State the major function(s) of the position and its role in the
university. Attach an organizational chart with positions, ranges, and names for the division
which reflects the position in it as well as those supervised in the department. (This section is
used for advertisement of the position.)
The Academic Advisors for the College of Engineering (COEN) advise prospective, new, continuing
and transfer undergraduate students in CoEN majors and minors with general academic and specific
curricular requirements. The positions report to the Dean of the College of Engineering.
Range 1 - Advisor:
The Advisor is assigned to provide advising to all level students in all majors in the College of
Engineering. The Advisor assists with student orientation planning and participation. The Advisor
must work closely with the Academic Advisor on all aspects of advising issues.
Range 2 – Academic Advisor:
The Academic Advisor provides advising to all majors in the College of Engineering. The Academic
Advisor is responsible for planning orientations, maintaining the Student Handbook, directing the dayto-day activities of student workers, and completes other projects as assigned. The position trains,
assigns, and monitors work of the Advisor and provides consultation on more complex issues.

Range 1:
80% - Student Academic Advising
 Advise CoEN incoming freshmen, transfers, current, and prospective students and their
parents regarding appropriate class selection for major and professional goals with CoEN
disciplines
 Assess students for needed academic requirements and provide expertise and communicate
academic requirements in core curriculum, CoEN major programs, and university policies and
procedures
 Provide individual and group student advising
 Provide new students with class registration information and support
 Perform the initial evaluation on transfer work for all departments
 Participate in planning and presenting summer orientation for new students
 Declare students in CoEN majors
 Create and maintain individual student records and maintain database of student contacts
 Refer students to other campus offices as appropriate
 Assemble monthly report of advisor contacts within the CoEN
15% - Student Retention
 Chart a path to timely graduation in all majors/minors using curriculum mapping
 Process Academic Requirement Report (ARR) corrections and discrepancies in compliance
with the requirements of the Office of Admissions and Records in consultation with Academic
Advisor
 Work with Registrar’s Office for administration of advising holds
 Participate in assigned CoEN Advisement Center retention activities

 Contribute to the assessment of the Engineering Advisement Center

 Provide day-to-day leadership and direction to student workers in the office including
managing workflow, establishing professional standards and providing training

 Serve as a liaison between the Engineering Advisement Center and other campus entities
3. Describe the level of freedom to take action and make decisions with or without
supervision and how the results of the work performed impact the department, division and/or
the university as a whole.

Range 1:
The Advisor facilitates course waivers, course substitutions, and students’ eligibility to graduate. The
Advisor works in conjunction with the Academic Advisor to request corrections to student’s academic
records. The incumbent is expected to make recommendations and participate in collaborative
decision making with the CoEN advising team. The incumbent provides guidance to students on
campus resources to assist them in successfully meeting their academic and career goals. The
College Dean establishes goals and priorities and sets college policies and procedures.
Range 2:
The Academic Advisor makes decisions related to course waivers, course substitutions, and students’
eligibility to graduate. The Academic Advisor has the authority to request corrections to student’s
academic records within defined parameters. The College Dean establishes goals and priorities and
sets college policies and procedures.

Academic advising impacts the retention and graduation rates of students. The Advisor helps prevent
students from registering for inappropriate and/or unnecessary courses thereby potentially minimizing
time to degree completion and education costs. Decisions and judgments made can have a significant
impact in facilitating the integration of entering students into the university community and student
engagement and in student retention. The position is visible to the public and therefore has a direct
impact on the perception and reputation of CoEN and the university.
