Web Advisory Committee
M E E T I N G M I N U T E S - 3 / 2 / 2 0 11
Meeting called to order at: 11 a.m.
In attendance: Cal Anderson, Manuel Becerra, Chris Winslow, Echo Lynch, Brandy Scarnati, John Fitzsimmons, Anne
Flesher, Fini Dobyns, David Jones, SGA Rep, Steve Zideck, Barbie Wright.
Current Business
Policy /Procedure for Online PDF Docs and Forms
Cal sent out a draft of the Web Services PDF Documents and Forms Policy. Feedback was provided as to why the
committee decided to move forward and create this policy. Minutes and agendas previously submitted without using
templates provided by Web services will not be rebranded. All documents/forms submitted from this point forward will be
required to use the templates. Cal provided the link to the Web page were templates can be accessed. The director of PIO
decides the publishing of files. The policy will state that documents or updates submitted to be posted on the Web may be
delayed if they are not sent in the most recently updated and branded versions.
Next step is to submit the policy draft to Chris Winslow to be reviewed by the tech committee and then it will go to Pat
Slavin. Web services will provide on-going training on how to use the templates.
Project/Website Update
Homepage Social Media Icons
Social media icons were placed at the bottom of the main TMCC home page.
PHP Migration
The website move to the new PHP is approximately 98% done.
Web Server and FTP Process Change for all Faculty Websites
Faculty Web pages are moving to the new server. Faculty, have until May 27, 2011 to move their Web pages to the new
server. About 30 - 40 have migrated forward.
iTunes U Password Protected Pages
Cal informed that iTunesU password protective pages went live. Login with network credentials is required to view
password protected pages. The college is working on moving all videos to iTunesU. Timothy Ill in PIO is the person that can
help the most to put the videos on iTunesU as well as Web Services. Announcements about iTunesU were sent out to
students in the electronic monthly newsletters. SGA representatives informed the committee that not all students use their
TMCC e-mail. Echo suggested we look at other ways to inform students besides their student e-mail accounts. Cal will ask
Kyle to send out another announcement about iTunesU.

New Business
SGA Elections
SGA elections will be online. Votes will take effect April 11-15. It was discussed if more e-mails should be sent to students
informing them of the elections. Cal explained that when e-mails are sent day after day they are not effective. Students
end up deleting or ignoring the information when receiving the same thing over and over. It is best to send out one well
written e-mail and avoid spamming.
PTK Teacher of the Year
The ballot will be done online again this year and will start in a week or two.
MCO Dashboard Project
The foundation is in place for an electronic Master Course Outline. This is something similar to the course catalog outcomes
that we have now but will provide more information that will tie into programs. The information will be more effective for
students than what we have now. Lee Bale and Lance (last name?) are populating the database with course information we
have in the books. The process: review by the dean, review by the curriculum committee and request for software. This
will be important for accreditation.
TMCC This Week
The TMCC This Week newsletter put out by PIO each week will no longer be going out. PIO does not have the staff to keep
doing this. A lot of effort was going into the newsletter and people were not reading it.
Other Business
Meeting Schedule for 2011
Web advisory will meet the first Wednesday of the month of May and July.
Updates
AEI Committee
Manny informed that an Accessible Electronic Information Policy is in review right now with the President’s Advisory
Council.
WebCollege
Brandy informed that a request for proposal is in process for an LMS system with CSN. They are hoping to form a
committee by April and know what the system will be by fall 2012.

Fini thanked Web services for all the hard work they put into the elections for SGA.
