RSCVA Production Credit Model (Ref #1) – Kate Kirkpatrick and John Leinen Representatives from RSCVA presented a Credit Model where the RSCVA would provide the support, i.e. sales process, lodging, transportation, food, local expertise, etc. should assist with leads for professional conferences with them and in return, TMCC would earn incentives based upon the number of booked hotel room nights. Please see the attached Ref #1 presentation for detailed information. 2. Application Enrollment Process (Ref #2) – Sharon Wurm and Estela Gutierrez The application and enrollment process has been revamped and streamlined. The new process will be “live” on February 13, 2015. Student Services has presented to a number of groups on campus and their last presentation is today, February 9. Sharon went through the old process for applying and enrolling and then showed the Council the new streamlined process. Most of the process steps have been reduced from six steps to 3 steps. Some special student population groups (i.e. Military Veterans and International students) have more steps as there are more Federal requirements for them to enroll. Classified staff and Student Government Association provided positive feedback for the new process. Please see attached Ref #1 for detailed information. 3. Enrollment Update – Dr. Kyle Dalpe The Enrollment Management Committee is working with Student Services on the new enrollment steps. Currently, spring enrollment stands at 0.6% down in FTE and Headcount is flat. The Enrollment Management Committee continues to look at strategies to raise enrollment, including scheduling times. 4. Winter Break Discussion (Ref #4) – All There are a number of concerns with closing the Dandini Campus for the four (4) days between Christmas and New Year’s Day and preventing student access to services during that time. The college will determine what services are needed during this time and what type of staffing will be needed. The work group will be Dr. Nichols, Michele Meador (chair), Estela Gutierrez, and Dr. Rachel Solemsaas and will provide an update at the next meeting. Please see the attached Ref #4 for additional information. 5. Governor’s Budget Proposal Update – Dr. Rachel Solemsaas The Governor proposes restoration of the pay cut and no furloughs. Classified staff would receive step increases; however, there would be no longevity no merit for professionals. For FY16, the college will experience a $1.5M cut to its budget. NSHE is proposing a $5 WSCH fee for all institutions. The Budget Reduction Committee will reconvene at least 3 meetings this semester with a charge to look at current budget and long-term strategies. 6. X25 Scheduling Software Update (Ref #6) – Dr. Jane Nichols This new software with its Optimizer will be fully implemented fall 2015. Room Scheduling will work with Faculty to fill the large classrooms. This new software may not provide Faculty with the times and classrooms they have had in the past. 7. If no email, letter is sent via post office Payment by deadline Attend classes BRIEF UPDATE TO CABINET ON X25 GRAPHICAL ANALYTICS AND REPORTING SOFTWARE February 2, 2015 The FMP consultant recommended the following: As part of the Facilities Master Plan Update, TMCC hired an architectural consultant with an educational specialty to review TMCC’s utilization and make recommendations for improvements. As a result of the utilization review the following recommendations were given: o The college should utilize an “Optimizer” compatible with the current scheduling program. o Room assignments should be determined by the “actual registered headcount” two weeks prior to the beginning of the semester. o TMCC should capture and report utilization of WDCE, TMCC High School and ABE/ESL classes. These recommendations were implemented and utilization has improved from 2012. Utilization Reports comparing 2011/FY2012 versus 2013/FY2014 – Classrooms 79% vs. 93% and Labs 58% vs. 85%. Plans for greater utilization of this powerful software are underway involving Enrollment Management Committee and Deans. Jane will address Faculty Senate in February on potential changes expected for Fall 2015. TMCC has purchased X25 Graphical Analytics and Reporting Software. This software will now provide: o The hard data for supporting space management decisions and developing sound policies. o Efficiency of space utilization. o Temporal utilization efficiency and by whom. o Effectiveness of room inventory meeting faculty needs. o Over-scheduling at specific times. o Availability for classes to be added. o Ability to address course demand.
