Community Room Usage Guidelines
The Community Room (CR) is available for use 24 hours per day, seven days a week, and is designated for educational, social,
and recreational pursuits. The following information outlines how the CR and its equipment can be used.
General Usage:
 The individual or group currently occupying the space defines the activity of the space. For example, if an individual is
in the CR studying then a group of residents could not enter the CR and begin to watch TV until such time that the
individual studying has exited the CR. Conversely, if an individual is in the CR watching television then a group of
residents would not be able to enter the CR and deem it a study area and ask that the TV be shut off.
 The TV may be viewed at any time while occupying the CR, but the AV equipment must be reserved for usage (see
Reserving the Audio Visual Equipment in the Community Room below).
 CR furniture shall not be removed from the room.
 Residents are responsible for any damage or cleanliness issues in the CR resulting from their use of that space.
 While all policies regarding behavior are in effect with respect to the CR, residents should be mindful of the Housing
Services polices regarding Guests, Noise, and Alcohol. Please review these policies in full at

 Residents should properly dispose of all trash and refrain from storing personal items in the CR. Please ONLY use the
designated trash can or dumpsters for the appropriate disposal of event trash.
 Residents found to be in violation of the CR Guidelines will be asked to leave the room and may be subject to further
disciplinary action.
 Fees for damage and/or cleaning may be applied to the account of a Resident if that Resident, or their guest(s), are
found to be responsible for damage or, in the opinion of Housing Services, have left the CR in such a condition to
warrant cleaning above the level provided by the University cleaning staff.
Reserving the Community Room:
The CR may be reserved for functions including, but not limited to: study groups, social events, or recreational interests. If you
are interested in utilizing the CR for an activity of this nature then you are encouraged to make a reservation for the CR. To
check availability of the CR, please contact our office at housingservices@cgu.edu. A reservation is the best way to ensure a
level of privacy for your event. Including the guidelines listed for general usage, the following guidelines also pertain to every
reservation:
 In order to reserve the CR, there must be a minimum of five (5) people. If for any reason during the time of your event,
the number of persons is below five then your reservation will be cancelled immediately and the CR
 All reservation requests must be submitted AND approved a minimum of 48 hours before the start of the event.
 No reservation can extend beyond 10:00 p.m. or start before 7:00 a.m. unless approved prior by the Housing Services
office.
 All guests must park in the stalls along College Ave. (adjacent to the Claremont School of Theology).
 Any materials advertising an event in the CR must be shown to and approved by the Housing Services office prior to be
posted within the CGU Apartments complex.
An email will be sent to you within two (2) business days after receipt of the form which will inform you of the status of your
request. Be advised that your request is NOT considered approved until email confirmation is received.
Reserving the Audio Visual Equipment in the Community Room:
 Whether an individual or group, a Community Room Event Registration form must be submitted in order to utilize the
DVD/VCR, HDMI, Computer, and Video functions of the AV system.
 Any content played via the AV system must have ‘G’, ‘PG’, ‘R’, or ‘NC17’ rating. If such a rating is not available then
any content transmitted via the AV system must not contain any visual or auditory content deemed by Housing Services
to be of a graphic nature (profane, sexual, gory, or otherwise).
