Consider Approval of Minutes – December 9, 2015 Motioned (Beymer), Seconded (Grainger), unanimously approved. Carol Kimbrough 2. Consider Approval of AP 5075, Course Adds and Withdrawals/Drops Carol Kimbrough Motioned (Burns), Seconded (Dominguez), unanimously approved as presented with language on routing slip from Academic Senate. Dean Dominguez explained the AP to the members. They essentially put into writing the process that had been in practice over the years. Ms. Kimbrough added that this has been vetted by other councils. 3. Consider Approval of BP 5300, Student Equity Carol Kimbrough Motioned (Dominguez), Seconded (Beymer), unanimously approved as presented Ms. Kimbrough explained that this BP was approved as presented in Academic Senate. 4. Consider Approval of AP 5300, Student Equity Carol Kimbrough Motioned (Beymer), Seconded (Dominguez), unanimously agreed to move this AP back to Student Affairs to consider the language recommended by Dean Dominguez. Ms. Kimbrough explained that this AP was approved as presented in Academic Senate. Dean Dominguez recommended that this AP should state the individual(s) responsible for overseeing this plan. Council members did not approve the AP at this time. INFORMATION/DISCUSSION/PRESENTATIONS 1. California Dreamers/WELI/Men of Hartnell Bronwyn Moreno Ms. Moreno introduced members to the new initiatives under her area of responsibility. She shared the PowerPoint presentation on the council’s website, and explained the “California Dreamers” initiative. It encompasses anyone that has undocumented status in California, but we call them “Dreamers” to move away from the stigma of not having legal residency status. The common theme amongst students is that they want to attend college, and they appreciate the program not labeling them as undocumented. On February 27th, there will be a free immigration support clinic. Help will be available to students interested in applying for DACA. Ms. Moreno will send the flyer to Ms. Kimbrough. The second initiative is called “Men of Hartnell (MELI),” which is modeled after the WELI Model. It is a male mentor program and is a collaboration of the Hartnell Foundation and Student Affairs. She also shared that they are holding a forum on February 17, 2016 from 12:00-2:00pm in Steinbeck Hall – flier is posted on the council’s website. Ms. Moreno requested participation from Director Teresa’s athletic students. He was agreeable and invited Ms. Moreno to their next meeting at noon on Thursday, February 11th in Room F-136. Ms. Moreno continued by explaining that they plan to have a cohort of 20 male students for the first round, and there will be a pool of mentors. Ms. Moreno stated that they remodeled the ACE Program area. It is a safe environment and all students are welcome to their office. 2. Enrollment Lori Kildal Dr. Kildal directed the members to the Enrollment document on the council’s website. She explained that she had her Enrollment Management Team review the positive attendance numbers. We originally had Fall 2015 estimated at 150 FTES, and spring at 112 FTES. Depending on how the late start classes continue to fill, or if there is demand for something else to be added, we know we will hit our base funding target. We will fall in between 7359 and 7450 FTES, so we will be close again. Dr. Kildal reminded everyone to be prepared for 2% growth. She will be reviewing the schedule with her Deans and Directors at their weekly meeting tomorrow. The main focus will be in auto, diesel, nursing, and STEM classes based on demand. This will open more opportunities to our students. 3. Midterm Report Lori Kildal Dr. Kildal asked the question: Are all the documents that need to be in the report in there? Council members answered “no,” and Dr. Kildal gave them a hint that it’s the page with the header with no narrative on it. The Academic Senate took action yesterday to approve the report. It goes before the Governing Board of Trustees next Tuesday for first reading, and then approval in the first week of March. Dr. Kildal noted that on page 77, it doesn’t say “Planning Agendas” any longer because the ACCJC wants us to start using the correct wording “Self Identified Improvements Plans.” Next steps: The ACCJC prepared us for the new standards. The Accreditation Council is still meeting every month, and marching full steam ahead for the new standards. Ms. Kimbrough asked a question on the ACCJC’s action report. She asked for comment on the 18 month approach. Dr. Kildal explained that this is not a new approach, but rather a new step. This new step is for those that are still affirmed, but have 18 months to address the recommendations. Napa Valley College was the first college to volunteer to be visited under the new standards, and they were put under that category. She directed everyone to the Professional Development Committee website for survey results at: http://www.hartnell.edu/agendas-minutes-and-documents-10 The committee had a de-brief this Monday. Their comments were as follows: Positive: • Keynote speaker was well-received. • Conference had a good variety of speakers/workshops. • Attendance was good (faculty, staff, and managers). Needs improvement: • Be better prepared for inclement weather. • Committee needs to be more prepared to sign attendees in, so the administrative assistants can attend sessions. (Committee member, John Perez, recommended an app to sign-in attendees. They will be working with new VPIT Phillips for the technical aspects.) • Pick the keynote speaker to kick off the year, and have that person be the “Educator in Residence.” • Concurrent workshops that repeat. Dr. Kildal reminded everyone that workshops in the Main Stage and K-125 were videotaped. The IT Department is working on editing onto DVDs, and the plan is to post these on the Professional Development website. Ms. Laura Lark will set up the flex reports so faculty can easily submit an “iTicket,” and then submit their certificates of completion from their tickets. OTHER ITEMS/BRIEF ANNOUNCEMENTS 1. Mr. Beymer shared that PPA templates are complete. eLumen templates, however, are still in process. They are working with former VPIT Matt Coombs on this project. The data load will include non-faculty employees, once issues are corrected. 2. Ms. Burns shared that the Student Success “Heart of Hartnell” is close to their goal. 3. Dean Dominguez shared they are preparing to send out letters to students losing their BOG waivers. This may cause a dip in enrollment, as we are looking at a possible 538 students (they have been warned for 2 years). 262 students with over 100 units at Hartnell will also lose their BOG waivers. 4. Dean Kaczmar shared that they are in the admission stage for the RN/VN/RCP programs. They have so many applications for this year. There are 5 to 7 times more student applications than they can accept, as the pool of students is so strong. AVPHR Pyer shared that the Professional Development Committee has a lot of great energy. They plan to offer fun activities and required training for all employees. 6. Dr. Whitmore shared that the Educator in Residence’s first date is at Steinbeck Hall on Tuesday, March 22nd. 7. Dr. Kildal reminded everyone that Student Success topics and guest speaker recommendations should be sent to Dr. Whitmore. 8. Dr. Kildal and Ms. Kimbrough have been reviewing tenure binders. There are 40 faculty under review by their committee. 9. AVPHR Pyer also shared that the Chancellor’s Office sponsored a presentation about the neuro science of decision making. This event was held at Chabot College, and it was not only informative but entertaining. Dr. Whitmore recorded the speaker’s name, Kimberly Papillion, for future presentations.
