Yes, Morgan will address in her report I respect you for pointing this out and hope everyone gets excited about the concert Are there still tickets we can buy for SAC the section? Yes, we can send out an email reminding you how to get SAC section tickets. Does Senate know about SGA section? I am planning to go to Senate meeting next week. They did know there were seats left, in the beginning I had sent them an email, so they know. LeeAnn Scherbauer for Katie Keller Sorry I can’t be here to do this in person, but I am unfortunately working! As you read in my e-mail over spring break, I will be resigning today! It has been an excellent three years serving on the board Student Activities Council Meeting Minutes March 6, 2013 alongside you all and I am sorry that I can no longer commit my time to our activities board! I ’m sure you understand that with classes, a job and an internship it has been hard to manage my time. I hope today you all elect a new life and culture chair that can really commit all of their energy to the board and can inspire others to put on great events! I love my committee and this board lots, so I ’m sure you’ll still see me around helping out SAC! If you have any questions feel free to call or e-mail me! LeeAnn Hey SAC! Not too be heavy today, but I would like to share a few things that have been sent into the SAC or SGA Portal comments. I would like us to reflect upon what has been said and how we can move forward into these next two months and end this year on a high note. Here are a few concerns that I have received in the past couple of weeks: Student Concern 1: There's a serious lack of appealing activities on campus, it'd be nice to see more variety of attractions and possibly other big name events like the Owl City concert. Maybe bringing in a comedian for a stand up show or just any appealing event. Student Concern 2: There are students who are 21 and up on campus and we would appreciate it if you held some events for us or kept us in mind when planning future events. Student Concern 3: SAC and SGA in general could be more diverse. I do believe the events being thrown are spending outrageous amounts of money, and frankly do not fulfill what XU students want to see, especially the minorities on campus. None of the events scream "school pride" or even give off the "college" vibe. I believe it is SGA's duty to keep the entertainment aspect of Xavier lively, and thought provoking. If that is too much of a task then why not cut back on spending and allow more clubs money to throw better events. SAC and SGA need to do better job recruiting students, as well as promoting elections and other club events. I know these are a little poignant but I think the comments show us that we need to be cognizant of our audiences and to think big! I know money can be a challenge and students do not always know how much it truly costs to put on a large-scale concert or say a comedian. But we do have ways to book talent or take students to an off-campus show. We may not be able to necessarily fix all these problems now, but for the next month or so and next year, I would like everyone to keep these comments in mind when planning programs. Blake Barlow NEDAW, suspending rules of order What will the $50 go to? Mirrorless Monday and promo had incorrect information on it Tiffany Hudson Will be leaving at 5pm Luke Schaffer Will be leaving at 5pm Student Activities Council Meeting Minutes March 6, 2013 Katie Schad Will be leaving at 5pm FAC Proposals Proposals Suspend rules of order $50 for publicity to fund Mirrorless Monday promo Questions Why isn't promo out now? Mirrorless Monday will go up Monday, promo goes up within 12 hours of ordering it. Debate I think Mirrorless Monday is a really cool event and we should do everything possible to keep the program. Event Title: Wicked Date: Sunday, March 23, 2014 Time: 6:30pm Location: Aronoff Center (Downtown Cincinnati) Estimated Attendance: 120 Event Description: Group tickets are on sale now for Wicked next spring. This show had a high demand in November 2011 when we took students to see the production. We sold 80 tickets at the time and had a great number of disappointed students that we did not have more available. I am recommending we go ahead and lock in 120 tickets now while they are available and while the group can still sit in one area together. Waiting until this fall will reduce the amount of group tickets that are available and we most likely would not be able to purchase 120 tickets in the cheapest section like we can now. Synopsis: Wicked tells the incredible untold story of an unlikely but profound friendship between two girls who first meet as sorcery students at Shiz University: the blonde and very popular Glinda and a misunderstood green girl, Elphaba. Following an encounter with The Wonderful Wizard of Oz, their friendship reaches a crossroads and their lives take very different paths. Glinda's unflinching desire for popularity sees her seduced by power while Elphaba's determination to remain true to herself, and to those around her, will have unexpected and shocking consequences for her future. Their extraordinary adventures in Oz will ultimately see them fulfil their destinies as Glinda The Good and the Wicked Witch of the West. Cost Breakdown: Tickets Buses Promo Total Expenses Ticket Sales Total Cost $4,620.00 $825.00 $40 $5485.00 $1800.00 $3685.00 (3 x $275) (120 x $15) Student Activities Council Meeting Minutes March 6, 2013 Question Where is the money coming from? Group sales are already on sale, we try to purchase cheapest tickets, and those sell out first. Between now and May or June tickets will sell out. Wanted to make sure we didn't miss out on this because when we did it. Money can come out of top, whatever amount SAC receives we can deduct from that. It would come out of Priority Funding and then would be replenished by SAC. We are looking for other ways to fund XavierFest, could it take away money from that? SAC has the funding; it may have to be pulled from different places. We are not using this year's fee to pay for something next year. If you don't like how this money is being used, if you want to do this, there isn't another time. I want to know where the money is coming from and that we are not doing something shady. I want to clarify that this isn't done in a shady way; this will be coming out of SAC funds to fund a SAC event. Can you tell me exactly what budget fund this will actually come from? SAC discretionary. Then one of your committees will be taking a hit. Can we take money from each, instead of a committee taking a hit? Debate I think this is a great opportunity, great show. I’m still confused about budget. Are we taking from one fund or from each committee fund? I want to say that there is always extra money leftover each year, so the money is there. I just want to clarify where the money is coming from. I feel like it's a good program to have, but think next year they can pay it forward. This is a great event idea, but I know personally that Campus Traditions can't take that hit. We don't have the money for that. We would have to take away from our current events that are planned. If other committees can do that, ours can't. let’s look at who has the money and can afford it. If you want to do this program, we will find the money. Right now the major concert is operating in the positive. There are other committees that have not realized there full budget. The money is there. We don't need to look at your committees to see where we need to take this money. You are not talking about a certain committee’s money. It still has to come out of a budget though. It has to be charged to a fund. Couldn't we just take it out of, like, Concerts, if we have leftover money it can go to that, if not it can be from somewhere else. We want to make a conscious decision of knowing where the money is coming from; vs. saying the money even out anyway. I'm telling you as your advisor that you have the funding, the money is there. I'm curious if you want to do the program or not? Straw poll taken, everyone wants to do the program. Kelsey and Morgan, are you okay with the money coming out of your budgets, for now? Yes Passed Open Executive Session Kelsey Kirkegaard elected Life & Culture chair Committee Reports Publicity Student Activities Council Meeting Minutes March 6, 2013 Late Night Programming Sorry for my absence today but I am sure Kat is doing a great impression of me right now. Late Night is working hard on our last handful of events. Flight is set to take off next weekend (sorry, corny joke) and Noodles is all set. We will have two proposals for you next week - our last MAD and our last LNMso get excited for those! Late Night, I apologize but we won't have our meeting today. Please email out your ideas to all of us today- just reply all to mine and we will discuss everything fully on Monday. Ill bring cookies to make up for it! Concerts We've been hard at work on our events, Battle of the Bands is next week and we will be handing out the awesome guitar picks that Blake designed on Monday in front of the caf from 11am-2pm for lunch and 5pm-6pm for dinner. I'm a little disappointed with the response to Chanessa’s e-mail about Xavier's Got Talent, but we have been tabling and getting some sign-ups! Major Concert update - I completely agree with Luke's opinion entry and I would like to see more people sign up for canvassing this weekend. We have sold 1,083 tickets as of today. Campus Traditions Hi SAC! Just a reminder that ticket sales for Luck on the Levee are on Monday at 5:00pm for $5 on the first floor of GSC. So far, Campus Traditions has seen a positive response to Spring Week from a variety of clubs and organizations, so we will be able to give you all an updated calendar of events within the next week or two if you would like. As always, we would love to hear any ideas or suggestions that you may have in regards to Spring Week. Thanks! 2 tickets per all card? Yes, how many tickets? 50 Have you done a fundraising request? Life & Culture Life and culture will be hosting the Xavier Social with X-treme Fans and SAAC this Saturday at 3! Next week, we have cooking in the caf. Look out for our proposal for Findley market next week. Thanks! If we signed up for Xavier Social, will you contact us? Yes Financial Affairs Committee I have a friendly reminder that all club budgets are due this Friday by 5pm. If you're in a club, tell your leaders to get on it and submit their request soon. And to give you a little insight into the requests, as of 3:00pm today, FAC has 21 applications. Combined they are asking for about $80,000. Report of the SGA Executives Matt Morefield The day of the banquet is Manresa training day. Can it change? Right now it's set in stone. Report of the SAC Chair LeeAnn Scherbauer Keenan and Tiffany are both excused today for interviews. Kelsey is excused for make-up BUAD. Congratulations, Kelsey! If you are available after the meetings, please stick around for the chair meeting. I hope that everyone had an enjoyable break and is pumped up to finish off this year strong! We only have two more months to go and some big events to come, so I hope we are all ready! Student Activities Council Meeting Minutes March 6, 2013 As a reminder, SAC Applications are due on March 13, 2013 at 5pm. They can be found on OrgSync and for all of you make sure to fill out the Returning Applicant Application. It is much shorter and the questions pertain to you and what you’ve done on SAC. Don’t forget to sign-up for an interview once you have turned in your application. I’m working on getting together the interview times and hope we have it figured out by tomorrow at the latest. For your information, the SAC Selection Committee will be me, Matt, Dustin, Keenan, and Kevin. Encourage your friends to apply or anyone else that you think could be interested in programming for next year! Also, please invite all your friends to the Facebook group. I think I’m the only that has invited people and I’m just not friends with that many underclassmen on Facebook, so my reach is limited. I’m old and need your help to promote SAC! I would like to begin another contest starting today! I would like SAC to reach 800 likes on Facebook and 1,000 followers on Twitter! This is about an increase of 400 on each social media website. The deadline for this contest is March 27th! If SAC can achieve this goal, there will be a special surprise for all SACers on the night of Xavier Fest. I would like to propose that on April 10th, SAC will only meet for half the time and then we end the meeting early to have another SAC bonding during the second half of the meeting. Thank you Blake and Kevin for bringing snack for SAC this week. Kelly, Colleen, and Kaitlin will bring snack for next week. Proposals due to me next week are the following: Late Night Movie: April, MAD: Vacation Getaway, and if Findlay Market occurs on the 7th of April rather than the 13th... This week and next, I will be working on the SGA budget along with the budget committee. We had our first meeting yesterday and will have another tomorrow. The budget will be prepared by March 15th. Look for me at the upcoming events and have a great week! Report of Advisor Dustin Lewis For your Senate Minute, Senate approved Child’s Play as a new club this week. This group is affiliated with a national fundraiser for children’s hospitals using a gaming marathon to raise monies. On Tuesday night, Senate hosted a Supper Club for members of our local community and members of our student organizations. Next week the Senate is discussing Blue Mountain Volunteers and Students for Liberty (Libertarians). Updates on Senator projects are as follows: Misha Balkowiecz and Billy Kissel met with Molly Dugan and Luther Smith to discuss expanding the mentoring program from Williams College of Business to the other colleges. Jake Hudson discussed the installation of a color printer in the CLC where students can pay per copy to print in color. Meghan Savercool announced that she is updating information for pregnant and parenting students on the Xavier website and also creating a brochure on services offered. Abby Schafer reported that the greenhouse area is moving along and will begin work on Community Action Day. She is working with Anne Dougherty to secure a city permit to install the sails design that she showed SAC a couple weeks ago, creating a shaded area in the plots. Regarding today’s conversation about SAC and SGA splitting, I want to reiterate that you are now at the table for discussion and conversations. Starting today and now, this is your opportunity to shape who SAC is and what we are all about in the future. My door is open and I’m ready for questions and ideas. Let’s begin the future of SAC together and look forward to the opportunities ahead for the board and for yourselves as members.
