COUNCIL OF LIBRARY DEPARTMENT HEADS
MINUTES
OCTOBER 4, 2004
Present: Dean Michael Binder, Connie Foster, Earlene Chelf, Timothy
Mullin, Jayne Pelaski, Carrie Barnett, Haiwang Yuan, Brian Coutts and
Jan Renusch.
Minutes: The September 20, 2004, minutes were approved as corrected.
Development Report: Carrie will be visiting prospects in Chicago,
Louisville and Lexington in the month of October.
-She has delivered proposals for the Book Fest to Brown-Forman and
Staples Foundation and is working on getting the contact information
for Cingular Wireless.
-Discovered a family foundation that supports Appalachian-based
exhibits and will be working with the Kentucky Library and Museum staff
to get a proposal together for submission.
-Carrie has an appointment with Sheryl Hagan-Booth to start choosing
photographs for the Case of Support brochure.
-Finally, the Book Fest Scholarship press release will be going out
sometime soon. Media relations is waiting on a low volume news day in
hopes to get more strategic press. Carrie will inform CLDH when it is
released.
Community Outreach Report: Jayne reported that the Sigma Epsilon book
drive ends October 15th. Because of the number of books they have
collected, the Book Fest will need to have another storage facility to
house all the books.
-Currently 12 schools, each with approximately 500 students, to
participate in On the Same Page. A TV commercial produced by WNKY-40
is now running through October 17th.
Marketing/Special Events: Michael commended Earlene on the great
Natcher Exhibit opening reception on Friday evening.
-Earlene reported that she is continuing work on upcoming events and
projects.
-Earlene reminded the group that the Libraries Advisory Council would
meet that evening at 5:30 p.m. at the Kentucky Building.
Web & Virtual Library Report: Haiwang has redesigned the Interlibrary
Loan book and journal article pages so that users fill in their
demographic information on the forms only once even when they submit
multiple requests.
-With the Web Site Team, Haiwang has placed banner ads on the UL home
page to promote Libraries and Kentucky Museum's events periodically.
Dean’s Report: Copies of the updated Salary Increase Rationale were
distributed to the Department Heads for their review. Corrections and
additions should be sent to Jan by Tuesday end of day.
-There will not be a CLDH meeting October 11. Meeting will resume
October 18.
DLTS Report: Connie reported that the 3rd floor renovation and carpeting
was completed on schedule and they have moved back from their temporary
quarters in Helm Info Lab. Connie thanked Facilities Department for
keeping the project on target and completing it on schedule!
DLPS Report: Brian reported that site preparation has begun for
installing the new Library Security System.
-The Dictionary of National Biography, the largest library acquisition
of a single print, has arrived. Charles Smith has an entry on Alfred
Russell Wallace.
-Roxanne Spencer has emailed the October, 2004 ERC Bookends newsletter.
-Spot painting is in process on the 4th and 5th floors.
-Brian has completed Annual Faculty Evaluations and has sent them to
the Dean’s Office.
-DLPS has three ongoing searches: ½ time Docs/Law Librarian, Owensboro
PT Library Assistant position and Library Facility Specialist. Tomika
Rice has been hired temporarily to fill Louise Pruitt’s position. Lynn
Pawley has assumed some of the duties and has been very helpful in
keeping things running smoothly.
-Library Technology report:
-Windows critical updates and patches were run on 18 computers in DLTS
after the computers had been relocated back to Cravens 3rd floor. Also
installed several anti spy ware and anti ad ware programs and scanned
the machines.
-Moved computers back into place in the Helm Info Lab and placed them
back in service.
-Finished installing software on Timothy’s new computer.
-Installed four new computers running Windows XP Pro at the Cravens
Circulation Desk.
-Fixed some printing problems at ERC.
DLSC Report: Timothy reported a very successful opening of the Natcher
Exhibit and said Earlene did an outstanding job. The exhibit will be
open through October 19.
-Attention now turns to the Lincoln and Big Red exhibits.
-Freshman seminars are now continuous every day all day long.
Review of Gift Procedures Document: Connie distributed copies of WKU
Libraries: DLTS Gift Policy and Procedures prepared by Jack Montgomery
and revised by Connie Foster. Department Heads are to review and submit
any changes or corrections by October 18. It will then be submitted to
the Library Advisory Council.
United Way: Connie reported that due to unforeseen delays a meeting of
the University Libraries and Museum would not take place. The
department representatives are to distribute the packets and encourage
everyone to participate. All packets, whether the person participates
or not, are to be collected by the reps for return to the Development
Office by October 13.
Sexual Harassment Class for Student Workers: Connie opened discussion
regarding dates and times for all departments for student workers,
part-time workers, and faculty and staff who missed other meetings.
Three different sessions will be scheduled for a one-hour presentation.
Connie will setup days and times and send email to Library group list.
Adjournment: With no further business before the Council the meeting
was adjourned at 11:30 a.m.
