COUNCIL OF LIBRARY DEPARTMENT HEADS MINUTES OCTOBER 11, 2010 Present: Dean Michael Binder, Connie Foster, Brian Coutts, Suellyn Lathrop, Amy Hardin, Tracy Harkins, Bryan Carson, Jennifer Wilson and Jan Renusch Minutes: The September 13, 2010, minutes were approved as corrected. Development: Amy met with Connie Foster and the DLTS faculty on Wednesday, October 6 to introduce everyone and discuss Amy’s role as development officer for the WKU Libraries. ­Amy volunteered at the World Equestrian Games on Friday, October 1. She did not come face to face with donors but it was a good time to talk about the Horse in Kentucky exhibit. Jack Smith used several tickets for the WEG and took prospective donors. Amy will be meeting with Jack in the next few weeks to discuss strategy. ­Amy will be traveling to Louisville on Thursday, October 21 to meet with “in the know” people about the HIK exhibit. ­The Summit Awards are Thursday, October 28 and the HODA is Friday, October 29. She will be attending both of the events. ­Amy met with the Soky Book Fest committee on September 29. She will be calling previous Book Fest donors to ask for support again this year. She is working on setting up a visit to Dollar General. Community Outreach: Tracy said that the SOKY Reads! book giveaways were very successful and sign­ups are going well for the free Writing Workshop. She will be placing another ad in the Daily News to highlight both of author Carolyn Wall’s upcoming events at the end of the month. She also mentioned that she submitted a grant application in conjunction with Potter College and the Center for Gifted Studies to the WKU Sisterhood for a new arts program targeting middle schools and using the VPAL for part of the programming. Marketing: Jennifer mentioned the recent Daily News coverage that was in last Wednesday’s issue regarding the lecture series speakers for October. She reminded the council that the Summit Awards are coming up Thursday, October 28. There was discussion about Open Access Week and the reception following Dr. Baylis’ presentation. Connie has been working with Marketing’s Graphic Design student to put together nice displays illustrating TopSCHOLAR stats and our three journals. Jennifer asked that leadership attend the Summit Awards dinner that will be honoring Ron Hatcher from MAC and Anna Jo Johnson from LAC. She asked Department Heads to provide any information they want in the next Collections and Connections. A special postcard invitation is being developed for the Glasgow program at the end of the month. Plans are underway for the Evelyn Thurman awards luncheon. Grants & Projects: Mike and Bryan met with Vice­President Baylis to discuss the proposal for the Southern Kentucky Economic Development Library. Dr. Binder, Dr. Baylis, Bryan Carson, and John Gottfried will discuss the proposal with Brian Smith of Rep. Guthrie’s office at 2:00 pm on Tuesday, Oct. 12. Bryan is also compiling the bullet list for the Gordon & Gordon Listening Tour with the Dean. Dean’s Report: Mike asked Bryan Carson to work with Brian Coutts on the JSTOR project. ­Mike reported on his meeting Tuesday with the Provost and the CAD Staffing Plan meeting on Wednesday. ­Bryan Carson will be compiling a first draft of the bullet document for the Gordon and Gordon tour on October 20 at 1:00 p.m. which will take place at the Kentucky Building in the Western Room. The report is due to Academic Affairs by Friday, October 15. ­Department Heads information for the development wish list is due today. Department Reports: DLTS: Connie Foster and Deana Groves worked on a White Paper for the Dean concerning PRIMO and based on the analyses of the Task Force on WorldCat Local and Beyond. The Dean will present the recommendation to the CAD to seek funding for the first­year commitment. ­Amy Hardin met with department faculty at the October meeting. We exchanged ideas and introductions about potential development ideas for the department. Several faculty attended KLA over the two full conference days. Jack Montgomery (presenter), Uma Doraiswamy, Nelda Sims, Shiu Mak and Nancy Steen were among those from WKU Libraries. For the Information Technology Roundtable, Uma is secretary and Nelda is treasurer; for the Library Administration and Management Roundtable, Jack is secretary. Deana Groves is incoming chair of the SELA Academic Section. ­A cable is being run for the copier functions as a scanner and fax machine. Then Eric will schedule training once the software is installed. We will keep the same fax number and disconnect the current fax. ­Crystal Bowling completed a project to move about 500 instructional/classroom use DVDs to the Main collection from the VPAL collection. ­The University of Kentucky’s Preservation Center will no longer microfilm copies of the College Heights Herald. They are working towards a digital preservation partnership with KYVL and the Kentucky Press Association to upload PDFs to a web site that will allow searching of all Kentucky newspapers. Connie has talked with the Herald to confirm that they do create PDFs for the printer and they are accustomed to the FTP process. While it is not imminent, this will be a significant change and probably will eliminate the library’s part in this process. The Kentucky Library houses both microfilm and print copies. ­Nelda Sims reports that most of the Web Voyage fixes are complete. E­mail function for TOPCAT records works and the duplicate serial holdings lines are gone. ­Mike asked Connie to represent him at the Summit Awards as he will be in Glasgow for the Kentucky Live presentation by Nancy Richey on her book Images of America: Barren County. ­Technology Report (week of Sept. 13­17; 20­27; Oct. 4­8) The Library Tech team worked on the following: University Libraries: provided tech support for the Far Away Places speaker @ Barnes & Noble; continued replacing Voyager.ini file for library users in all departments provided set­up for Poetry reading in Helm 100; installed Ricoh printer drivers where needed for connection to Ricoh copier/printers w/ the new static IP addresses; had equipment set up for CLDH on use of Digital Measures for Action Plans but power was shut down later that day. ­Dean’s suite: spent several hours disinfecting staff computer w/ virus infections that were preventing computer from connecting to the campus network and internet; worked on other network printing problems; deal w/ memory problems and replaced mice on 2 staff computers. ­DLPS: relocated network printer to new reference desk location, met w/IT staff in Student Technology to finalize updated hard drive image for use on our e­Reference, lab, and classroom computers. Ordered parts were replaced on networked printer in Circulation; replaced one faculty member’s student assistant’s outdated computer w/newer used computer, failed hard drive in public computer in Glasgow is working again; replaced broken monitor in Extended Campus office; provided equipment setup for Educators meeting at ERC; instructed ERC staff in changing ribbons/label in new label printer; installed pdf program on faculty computer; dealt w/ network printer access problem for staff member; dealt w/various printing problems form public computers in Reference; checked on network printer problem at ERC; dealt w/ hard drive problem on staff computer @ ERC; dealt w/power outage problem on several computers in Reference; deal w/question regarding our network for a database subscription; began working on imaging 36 new computers for DLPS staff, and DLPS Service Area replacement; re­imaged KIC scanner computer and scheduling online interactive WebEx session w/tech from Digital Systems Library Group to install and configure the new version of the scanning software for the Bookeye scanner (KIC); dealt w/question about hooking computers up to TV’s for faculty member; dealt w/printer problem for faculty member; network cables now in place for public computers located in the new Reference room location – waiting for remaining equipment and assistance from Student Technology staff to image replacement computers; dealt w/computer virus on faculty member computer; dealt w/multiple printing problems w/ network printer at Reference Desk. ­DLTS: temporarily connected network outlet for new networked Ricoh copier/printer/scanner until IT installs wiring for network outlet and phone line for the device; updated anti­virus file definitions on 2 staff computers; redefined spine label printer setting to accommodate additional data; investigating IE browser problems on some Vendors web sites; investigating conflict between MS Visual C++ and Antivirus program on faculty computer; worked for two days to eliminate virus infection on staff computer; dealt w/ label printer jams on two computers; installed pdf program on student assistant computer; imaged replacement computer for Systems coordinator; dealt w/ browser and bindery program conflict on bindery computer; attended online webinar from EX Libris concerning Voyager 8 and beyond; re­installed design software for faculty member; ­DLSC: working w/ IT department to deal w/ hard drive problems on 3 public access computers and one BSA staff computer ­Systems: Josh worked on KULS updates; assisted w/ monthly reports for VPAL; worked on Crystal reports; continued updating AD lists for IT w/ additions/deletions of employees assisted w/ FY stats update for Reference; scanning document for TopSCHOLAR. DLSC: Suellyn Lathrop representing Timothy reported that an offer has been made to a candidate for the Kentucky Librarian position. DLPS: Kentucky Live! ­ This week’s speaker is Chef Albert Schmid, Professor and Dept. Head at Sullivan University. He’s the author of The Kentucky Bourbon Cookbook and The Hospitality Manager’s Guide to Wines, Beers, and nd Spirits, 2 ed. He coached Sullivan’s culinary teams to 7 gold medals in the NCHS competitions. He’ll be talking about “Culinary Tourism in Kentucky” at Barnes & Noble Bookstore on Thursday, October 14 at 7:00 p.m. A book signing will follow. Dan Forrest reviewed his Hospitality Manager’s Guide for the Bowling Green Daily News on Sunday, October 10. ­Visual and Performing Arts Library Statistics 2009­2010: Circulated 3,504 books with 736 renewals Circulated 12,626 leisure videos with 3,678 renewals Circulated 13,100 all videos including VHS with 3,701 renewals Circulated 3,764 CD’s with 266 renewals ­The Lila Greene listening area has now been made ADA­compatible in all directions by moving furniture and carrels. New Sony MP3 recorders are now available for patron checkout. Instructional DVD’s have been moved to a newly installed cabinet to accommodate an ever expanding leisure DVD collection. The book collection is being checked for incorrect barcodes and lost and missing items. ­Educational Resources Center Statistics 2009­2010: Circulated 28,188 items up 3% over 2008­2009 Answered 3,387 reference questions Received 15,354 patrons Processed 1,000 textbooks Developed displays “Oldies But Goodies: Showcasing ERC Classic Authors and Titles,” “Teaching Teachers,” and special displays for “Banned Books Week,” and “Constitution Week.” Planned the “Posters for Peace Exhibit @ the ERC” which ran from September 26 to October 31, 2009 and included a reception and class tours. Hosted the Western Kentucky Council of the Kentucky Reading Association meetings in Fall, 2010 and Spring, 2010. Coordinated tours from Kelly Autism Center students and SCATS and VAMPY classes. ­Far Away Places ­ Ukraine ­ Indiana University Anthropologist Sarah Phillips spoke on Stories From Rights Movements in Ukraine on Thursday, September 16 at 7:00 p.m. at Barnes & Noble Bookstore. She discussed the interviews she conducted with women led NGO’s since 1995 in organizations seeking to improve the welfare of seniors and families with large nos. of children. The research was included in her 2008 monograph Women’s Social Activism in the New Ukraine: Development and the Politics of Differentiation published by Indiana University Press. She also discussed the problems faced of those with mobile impairments such as wheelchair bound which is the subject of her 2010 monograph Disability and Mobile Citizenship in Postsocialist Ukraine. A book signing followed. ­Unit Productivity Award ­ The department received a $1,000 award. It has received an award every year since 2002. Digital Measures Action Planning: Connie has rescheduled Doug McElroy to meet with the Department Heads prior to the CLDH meeting on October 18 at 9:30 am.
