LIBRARY LEADERSHIP COUNCIL MINUTES AUGUST 24, 2015 Present: Dean Connie Foster, Deana Groves, Brian Coutts, Jonathan Jeffrey, Haiwang Yuan, Sara Volpi, Jennifer Wilson, Bryan Carson, Eric Fisher and Jan Renusch Minutes: The July 16, 2015, minutes were approved as submitted on a motion by Brian Coutts and a second by Haiwang Yuan. Dean’s Report/Announcements: Connie reviewed a list of library committees for discussion and revisions. Current information, chair, members and brief description should be sent to Jan for updating the list. -Connie had lunch with the new SGA president, Jay Todd Richey, on Tuesday August 8, to discuss library services and to thank him for SGA support for various library projects like library late night study hours during finals week each semester and the Far Away Flix series. -Connie gave highlights from the August 9th SAALCK planning meeting: -Discussed institutions acquisition’s pool -Promotion of Scholarly Repositories -KYVL -Next meeting September 4 -Tiffany Evans, Evelyn Ellis, Provost at WKU Elizabethtown-Fort Knox, and Dennis George will meet with Connie soon. -Connie discussed the current Collection Development Policy in regards to audiovisual media purchased for the collection, specifically television series. She will meet with Jack Montgomery for further discussion. There will be no change to the policy at this time. -Communicate & Connect was discussed. Connie will appoint a Communication Committee to serve in a collaborative way to market WKU Libraries and develop a comprehensive view of our services, resources, publications, and events that we can promote to all user groups and define ways to engage library faculty liaisons in strengthening campus partnerships. Jennifer Wilson, chair, Crystal Bowling, Sara Volpi, April McCauley, Haiwang Yuan, Roxanne Spencer, and Christopher McConnell will constitute the committee. Instruction/Grants/Assessments: Bryan discussed the results from the library survey. The survey committee will review the comments and results and will create an executive summary to be presented on October 5. Survey Committee members will be Bryan Carson (chair), Charles Smith (2014-2017), Amanda Drost (2015-2018), Sue-Lynn McDaniel (2015), Terry Perkins (2014-2017), and Allison Sircy as resource person (2014-2016). Library Systems Office: Eric gave highlights from the LSO: -A request has been sent to ExLibris to change the current Primo drop-down box option from TOPCAT to WKU to more clearly represent the local collection. -The list for DLSC staff PC replacements has been narrowed to nine PCs. This also includes three of the public use computers. -A reminder that WKU is hosting the Kentucky Convergence conference Nov 1213. Early-bird registration for the conference is now open, at a special price of $125 through August 31 http://kentuckyconvergence.org/registration/. Kentucky Convergence is the single event that brings together professionals in information technology, academic libraries, online learning, and instructional design from all the public and private colleges and 1 universities in Kentucky. The theme for this year’s conference is “High Performance in Higher Education”. Literary Outreach: Sara reported that a top priority will be contacting/researching sponsors. -Sara will be contacting Kroger’s about their program, Community Foundation Grant, Kohl's, WKU Sisterhood Grant. She is working on a story for the Sisterhood Grant through a Facebook campaign. She will need to research what reached our audiences before; what worked; how often we posted, etc. -Book Fest News: Sara met with Derek Olive Friday, to discuss logistics for Book Fest 2016. Headliners are J.A. Jance and Garth Stein (Adult), Jay Asher (YA), and she is working on R.W. Alley and Michael Hingson for Children. -The Kentucky Women Writers Conference livestream will occur September 11-12. Rob Hale made the announcement about the KWWC to the English Department listserv. Sara is working with Marketing to make flyers/posters; she will hang posters/distribute flyers as they're ready. A press release will go out later this week. -Sara is working with Daniel Pawley to continue to edit SOKY website -Sara is actively making contacts with local and regional authors at various book signings. Marketing: Jennifer distributed the latest poster to be displayed in the Commons for the Student Campaign for Libraries. The poster has already been tweeted out by athletics with an article about the featured Accounting/Football student Marcus Ward. -Jennifer passed around the TopSCHOLAR brochure and SelectedWorks insert that was recently printed that Todd Seguin will be circulating to the college faculty. -She mentioned the library grant and student assistant scholarship were revamped and sent off to the appropriate audiences. -There will be a welcome tent on Thursday from 10am to 1pm that any or all library staff and faculty are welcome to help. Libraries will be giving out water, snacks and information about library events. -Jennifer said she is happy to take any department’s summaries for the annual report. She discussed the Communication Plan and the advantages for having an overall strategic plan. Web & Emerging Technologies: Haiwang reported that thanks to Linda White and Jan, he has created the Library Staff Council website and will keep updating it. -Thanks to Susan Broady, he has added the missing agendas and minutes to the Library Advisory Council website. -Thanks to Sue Lynn McDaniel’s alert, he updated the “Step-by-Step Travel Procedure” on the web in collaboration with Glenda White. -Per the Dean’s request, he has changed the Etown campus library to its updated name WKU Elizabethtown-Fort Knox on all of the Libraries’ web pages. -Per Deana’s request, he has deactivated the TOPCAT link on the Libraries’ home page menu bar. -Per Brian’s request, he has updated the “International Year of …” link on the home page that also leads to a bibliography of the country featured this year: South Africa. -Shaden Melky, chair of the Social Media Committee, reports that a workshop presentation on “#Libraries: Engaging the Communities and Managing Social Media Outlets through the Hootsuite Dashboard” has been accepted by the upcoming Kentucky Convergence Conference. -Per the LLC's suggestion, Haiwang will add a link to the Primo's Advanced Search interface beneath the One-Search box on the Libraries' home page. 2 -At ISO’s request, he has been helping with the initial arrangements for Hao Wang’s return to WKU campus after his critical injury in a car accident last spring. Department Reports: Dean: Connie reviewed and discussed the P & T Calendar and policies. Department of Library Special Collections: Jonathan reported that DLSC has purchased an important set of 42 stereoscope cards produced by Charles L. Waldack in 1866. These were the first high quality photographs produced underground in any cave. Nancy Richey has blogged about this at: http://library.blog.wku.edu/2015/08/21/mammoth-cave-stereoviews-1866/ more information will be sent to Jennifer this week. -Jonathan Jeffrey spoke to the Cumberland Trace Chapter of the Daughters of the American Colonists in Russellville on August 18, 2015. -Nancy Richey made a presentation to the annul Kentucky Museum and Heritage Association conference titled “Beginning Steps in Assisting African American Patrons and Visitors” on June 16, 2015 in Covington, Kentucky. -Over the summer we completed the WKU portion of the Kentucky Heritage Quilt Project. We entered data and scanned photographs for nearly 2500 quilts. The Kentucky Heritage Quilt Society provided funding in the amount of $2000 which allowed us to hire a temporary hourly employee to help with the data entry. All scanning was done by a volunteer. We are watching as they add the photographs to the scanned records at: http://www.khqs.info/SelectPage.cfm -Manuscripts completed entry of finding aids and bibliographic data into Past Perfect and TopSCHOLAR. All retroactive bibliographic work is complete, and we will retire the card catalog at the end of the fall semester. -Nancy Richey was an interviewee on the Australian Broadcasting Company's National Radio program “Into the Music.” She was part of the program about four historically important Kentucky women musicians. Her interview concentrated on "Cousin Emmy," and her groundbreaking determination to have her own career in the early 1930s. -Nancy attended an online webinar titled “Primary Sources in the Classroom,” sponsored by the National Humanities Center on June 25, 2015. -Jonathan did an interview with Mary Ellen Miller and Walter Skold of the Dead Poets Society at the gravesite of Jim Wayne Miller on July 16, 2015. -Jonathan spoke about Methodist materials in Library Special Collections to a group of church historians and archivists at the Kentucky Conference of Methodists held in Bowling Green on June 7, 2015. -On Saturday, August 22, 2015, Katherine Pennavaria and Sue Lynn McDaniel presented 4 of the 10 sessions offered at the “Finding Your Family Story” Genealogy Symposium at Cave City Convention Center. Sue Lynn also set up a University Libraries information table and created a story board for the table about Special Collections. Rack cards and business cards were available at the table. -Sue Lynn McDaniel spent part of the summer documenting several cemeteries in Warren County as a member of the Warren County Cemetery Board. She has created a Warren County Cemetery Vertical File in our reading room and adds this information to the WCB database. -WKU Archives added an online exhibit this summer about the time capsule found in the Henry Hardin Cherry statue. Duplicate time capsules were created when the statue was dedicated. The exhibit can be found at: http://digitalcommons.wku.edu/exhibit_2015/ Department of Library Technical Services: Deana reported that WKU Libraries is now a Name Authority Cooperative Program (NACO) library: http://www.loc.gov/aba/pcc/naco/ 3 -Amanda Drost is the newly elected DLTS representative on the Library Survey Committee. -Laura Bohuski was elected incoming Chair-Elect for eBUG. The 2017 conference will be held in Bowling Green. -Laura DeLancey will be participating in the Faculty Leadership Year (FLY) program which meets Fridays from 9:00-2:00pm in the Augenstein Alumni Center -Jack Montgomery and John Gottfried will present a poster on Title IX and the Cleary Act at KLA in September. -Discovery Systems Librarian applications review to begin September 1st -TopSCHOLAR data as of July 28, 2015: items special collections percentage 12,495 thesis 1,508 honors capstone 8.4% 574 dissertations 84 journal articles 1,844 faculty pubs Other (newsletters, etc.) total 69.5% 396 1,084 17,985 3.2% 0.5% 10.3% 2.2% 6.0% 100% Department of Library Public Services: Brian reported that Morgan Moran is the new VPAL Library Assistant. She recently received her MLS from the University of Kentucky and has worked for us in a part-time capacity since the VPAL opened. -Christopher McConnell replaces Morgan as the part-time and weekend library assistant in the VPAL. He’s a recent WKU graduate in Business and formerly worked in the DLPS office as a student assistant. -Rachel Wyatt is the new part-time weekend reference assistant replacing Allison Salmon who’s taken a teaching position. Rachel is working on her MA in Folk Studies. -Angela Ng is the new part-time Glasgow Library assistant. She’s a recent WKU business graduate and worked for us in a number of units as a student assistant. -Nada Durham and Peggy Wright retired this past summer. Their part-time faculty positions are not being filled. -Katherine Pennavaria was promoted to Professor effective August 15, 2015. -Dewayne Stovall’s new book Witness to the Impossible was published this summer. -Chris Robinson-Nkongola graduated from Leadership Glasgow/Barren County and has since been appointed to the Mary Wood Weldon Public Library Board. Her review of “African-American Life in Butler County, Kentucky” by Roger Givens appears in this Sunday’s Daily News. -Phase II of the Glasgow library renovation project was completed this summer with new carpeting, improved lighting and a move of the circulation desk to create additional space for study tables, carrels and a more direct entrance to the library. -John Gottfried coordinated the move of all of our research guides to the next generation LibGuides II platform this summer. -The air conditioning in the Helm Library was repaired in July and two sets of double doors have been installed in Helm 100 to limit noise during functions in that room. 4 Adjournment: The meeting adjourned at 12:30 pm.
