The exhibition will be spread across two floors of the EICC in the Cromdale Hall (level -2) and Strathblane Hall (level
0) with refreshments and posters.

Loading/unloading
Exhibitors must bring in their equipment via the loading bay situated off the Western Approach Road. The Cromdale
has a large access door at the rear though which goods can be brought directly in and is on the same floor as the
loading bay. Loading into the Strathblane Hall is done through the goods lift from the loading bay – the dimensions
of which are
• wall to wall – 180 cm;
• floor to ceiling up to base of curved lights – 220 cm;
• back wall to lift door – 260 cm;
• back-wall handrail to lift door – 250 cm.
Items need to be pushed into the hall through the corridor and through two sets of double doors with dimensions
1.96 m high and 1.7 m wide.
To book your preferred loading and unloading times, please complete the Loading/Unloading form attached to this
document, and return to the EICC (contact details are included on the form). This form can be found, along with
other order forms, at http://www.icns2013.org/. Forms must be received at least 14 days before the conference
commences.
Break-down times
Thursday 11 July
19:00–22:00
You will not be permitted to break your stand down before 19:00 on Thursday 11 July. The penalty charge for any
exhibitor who attempts to break their stand down before this time will be 25% of the site price. The invoice will be
payable within 30 days. All equipment must be removed by 22:00 on Thursday 11 July. If you think that you will
need additional time to break down your stand, please e-mail claire.garland@iop.org or edward.jost@iop.org.

Stands
The shell scheme includes
• a shell stand – black loop nylon in-fill panel wall(s) with three or two open sides, depending on the location
of the stand (Velcro compatible);
• a fascia name board (where stands are positioned on corner sites, two name boards will be supplied);
• a single 500-watt socket;
• a 1.9 m table and two chairs;
• two spotlights;
• WiFi internet access*.
*ISDN Lines are available for hire for specialist connections. Please see the ICT information below.
Stands of more than 9 m2 will be entitled to two 500-watt sockets, four spotlights and additional tables and chairs
as required. Additional furniture can be provided at an extra cost. You can view the furniture available to download
at http://furniture.melville.co.uk/.
Please note: the fascia name board is complimentary and part of your shell-scheme package. Please complete the
Fascia Display Order form and return to the address stated. This form can be found, along with other order forms, at
http://www.icns2013.org/. If you do not complete this form, the fascia display will include your company name as
included on the website.
Exhibition contractor
The exhibition contractor appointed for the exhibition is Melville Exhibition Services. Melville will be responsible for
providing shell panels and fascia name boards, the electrics, furniture and floor coverings as required. Please
complete the relevant forms at the back of this document with your requirements. Note that that shell panels, name
board and spotlights are included in the stand rental cost. Additional items will be charged.
The shell-scheme walls must not be damaged and exhibitors needing to attach items to their stand must use Velcro
or double-sided tape. Under no circumstances are nails, screws, etc to be used. All exhibitors are advised to check
their site for any damage, however small, before starting construction or dressing of their stands. Any damage
should be reported to the organisers before 10:00 on Tuesday 9 July.
Furniture services
Furniture for your stand is available to hire through Melville Exhibition Services. Please e-mail
info.scotland@melville.co.uk with your requirements or telephone +44 (0) 141 332 9012. You can view the range
of furniture online at http://furniture.melville.co.uk/. If the furniture that you want is not shown, please contact
Melville to discuss your requirements as additional items may be available on request.
ICT facilities
Telecommunications services are available to stand holders through EICC Ltd. Should you require these services,
please complete the attached Exhibition ICT Order form and the Addition Exhibition Services form in full and return
to the Event Design Department at the EICC (contact details are included on these forms). These forms can be
found, along with other order forms, at http://www.icns2013.org/.
Social programme
Reception at Our Dynamic Earth
A drinks reception will be held at Dynamic Earth on the evening of Monday 8 July. This reception is included in your
exhibition package however you must indicate your attendance on the registration form, located at the back of this
document.

Exhibitor reception at the EICC
An exhibitor reception will be held in the exhibition areas on the evening of Tuesday 9 July. This reception is
included in the exhibition package; you do not need to pre-book attendance.
Reception at Edinburgh Castle
A drinks reception and tour of Edinburgh Castle will be held on the evening of Wednesday 10 July. This reception is
an optional extra and is available to pre-book at £35 plus VAT per person (five places are included in the premium
sponsorship packages). Places are limited and will be allocated on a first-come-first-served basis. Please book
places on the exhibitors registration form, located at the back of this document.
Conference dinner at the National Museum of Scotland
A gala dinner will be held at the National Museum of Scotland on Friday 12 July 2013. This dinner is an optional
extra and is available to pre-book at £45 plus VAT per person. Please book places on the exhibitors registration
form, located at the back of this document.
Meals
Tea and coffee breaks are included in the exhibition package but lunch is not being supplied for delegates or
exhibitors. The exhibition package also includes the drinks receptions on Monday 8 and Tuesday 9 July.
Each stand will be allocated a number of passes for catering dependent on space reserved.

Registration
Registration for exhibitors
Passes for use by exhibitors to gain admission to the exhibition will be issued from the registration desk located in
Strathblane Hall. All exhibitors must pre-register by completing the exhibitor registration form found at the back of
this document. The form can also be found, along with the other forms, online at www.icns2013.org. It will not be
possible to enter the show without a valid exhibition badge. Note that exhibitors must not register online unless they
are planning to attend the conference as a paid delegate.
Delegate packs and badges
One delegate pack is included with each exhibitor registration. The pack will include a delegate list and a copy of
the exhibitor guide and handbook. The abstract book with details of all talks will be available to download from the
website. Each exhibitor will be given a badge on arrival at the conference, which must be worn at all times during the
exhibition to help with security. Badges should be collected from the registration desk in Strathblane Hall. On
departure, please return your badge to the conference desk as it can be recycled.
Day delegates
During session times, the exhibition is open to non-participant visitors. The exhibition is free to attend, and
exhibitors are encouraged to invite their customers to come along to see them – an invitation form is attached. The
exhibition will be open for day visitors on Tuesday 9, Wednesday 10 and Thursday 11 July at 11:00–12:45 and

14:30–16:15. Please encourage visitors to pre-book their attendance. All day visitors will need to collect a badge
from the registration desk in Strathblane Hall. Day visitors will not be given access to the technical sessions.
Travel
The EICC is located within Edinburgh's city centre making it easily accessible whatever your method of travel.
By air
More than 100 destinations are served by more than 30 airlines from Edinburgh International Airport, including
direct routes to London, New York, Toronto, Amsterdam, Berlin, Brussels, Copenhagen, Geneva, Madrid, Paris,
Stockholm and Zurich. Edinburgh International Airport is only 12 kilometres (eight miles) from the city centre and is
easily accessible by bus and taxi. For further information on destinations, how to get to and from the airport and
airport facilities, visit www.edinburghairport.com.
By train
Edinburgh is linked to all major cities and airports in Britain by two railway stations – Waverley and Haymarket.
Waverley is the main station and has direct routes to many cities across the country, including more than 25 daily
departures from London taking just over four hours to connect the capital cities, and the Eurostar connects Paris to
Edinburgh in around eight hours. For information contact National Rail Enquiries (http://www.nationalrail.co.uk/)

By road
Motorways and a network of quiet trunk roads ensure that Edinburgh is easily accessible by road. The EICC is in the
centre of Edinburgh and the main entrance is on Morrison Street. You can plan your route online using one of the
free route planners – examples are The AA (http://www.theaa.com/route-planner/index.jsp) or The
RAC (http://www.rac.co.uk/route-planner/) and you should input EH3 8EE as the destination.
Parking
There are many car parks in close walking distance to the EICC. For details on National Car Parks in Edinburgh, see
http://www.ncp.co.uk/find-a-car-park?t=link&q=edinburgh&via=0. Additionally, there is a public car park at the
Sheraton Hotel, 150 meters from the EICC, which has limited accessible parking spaces. For further details please

After the show ends, items must be collected by 18:00 on Friday 12 July. If items are being collected by a courier,
please inform the conference organisers of the following information on departure:

Displays and structures
The organisers must be informed of displays that may be a fire risk at least two weeks prior to the exhibition. In
addition, exhibitors must ensure that all display aids and additional stand structures are made of inherently flameresistant material.
Electrics
Each shell scheme exhibitor will be allocated an electrical package consisting of two 120-watt spotlights and one
500-watt socket. Any other electrical services must be ordered through Melville Exhibition Services. Additional
power can be made available to stand holders through EICC Ltd. Should you require these services, please
complete the attached Additional Power Order Form and the Addition Exhibition Services form in full and return to
the Event Design Department. These forms can be found, along with other order forms, at
http://www.icns2013.org/
Exhibitors intending to use electrical equipment must ensure that they comply with the Local Authorities Rules and
Regulations. All electrical equipment must be PAT tested.
Safety and emergency evacuation procedures
In the unlikely event of a fire alarm sounding (a high pitched continuous tone will be heard) please make your way
to the nearest emergency exit. These are located in each of the four corners of the building and are well signposted.
In the event of an emergency, please leave the building in an orderly manner as directed. Do not use the main stairs
or escalators. All lifts in the building will be grounded automatically. Disabled people should make their way, where
possible, to the front of the building. Anyone who has special needs in the event of an emergency should make
themselves known to EICC staff on arrival.
Smoking
In accordance with government legislation smoking is not permitted in any building, temporary enclosed structure or
substantially enclosed space outside of buildings.

Fire extinguishers
Exhibitors using, exhibiting or storing hazardous substances, objects or processes should provide the appropriate
extinguishers for their stand.
First aid
If you fall ill or injure yourself during the conference, please report the incident to an EICC staff member who will call
a trained first-aider. In case of serious injury, paramedics will be called. The Royal Infirmary of Edinburgh, a large
teaching hospital, is located just 15 minutes south of the city centre. Royal Infirmary of Edinburgh, 51 Little France

Insurance
While we take every precaution to protect your property during the event, the Institute of Physics and the EICC are
not responsible for any loss or damage and we recommend that you affect adequate insurance.
You are also responsible for insuring against any legal liability incurred in respect of injury or damage to third parties
and to property belonging to third parties. In addition to this you should protect your expenditure against
abandonment and cancellation or curtailment of the event due to reasons beyond our control.
Payment
The organiser reserves the right to refuse admission to any exhibitor who has failed to pay their stand rental prior to
the event. If you request additional chargeable items on the booking form, an invoice will be sent to you and our
payment terms are 30 days.
Audio-visual Services
Audio-visual services are available to stand holders through EICC Ltd. If you require these services, please complete
the attached Audio Visual Order Form and the Addition Exhibition Services form in full and return to the Event
Design Department. These forms can be found, along with other order forms, at http://www.icns2013.org/
If you use compact discs, tapes, records, etc (sound recordings) during the exhibition you will need to complete a
GLD 08a form to obtain PPL licence – see www.ppluk.com.
Risk assessment
We take our responsibilities as laid out in accordance with the Health and Safety at Work Act 1974, very seriously
and it is vital that exhibitors and their contractors do likewise. By issuing this statement in advance, the organisers
deem that all exhibiting companies are aware of the health and safety policies and will comply with their
obligations. The Management of Health and Safety Regulations 1992 recommends that a competent person is
nominated to oversee all health and safety issues and that all employees co-operate with other personnel while
sharing a work site. The nominated person will be responsible for providing the proper information and instruction,
training, guarding and supervision of all parties concerned throughout the show.
Failure to comply with all of the health and safety legislation can cause injury/fatality, and prosecution of an
employee/employer/contractor by the Health & Safety Executive.
All exhibitors are requested to produce a risk assessment for their stand, to be available onsite, if requested by the
organisers.
Security
While every effort is made to safeguard visitors’ property, both personal and commercial, occasionally a loss may
occur, even with constant security patrols, CCTV cameras and alarm systems. Exhibitors are strongly recommended
to use night sheets and/or alarms and to take out adequate insurance against loss or damage.
Exhibitors are advised not to leave their stands unmanned during the show and initial breakdown period.

Security at the EICC is managed by Vigilant Security Services. Established in 1997, Vigilant Security Services aims

Individual stand cleaning is available to stand holders through EICC Ltd. Should you require these services, please

Business Centre
EICC has a fully equipped business centre where professional multi-lingual staff will be happy to supply you with
