Department (www.epcc.edu/Registration) at EPCC. Students who want to register for Continuing Education Classes (non– credit) must fill out the Continuing Education application at the admissions department at any EPCC Campus. The application is available online at www.epcc.edu/ContinuingEd/Pages; turn in the completed application to the Admissions Department to receive a student ID number. (IMPORTANT for International Students: Use the Apply Texas Website (www.applytexas.org) to create a profile and fill out the admission’s application. For more details on International Students, please refer to page 7) Registration to IEP Classes is completed through the Admissions & Registration Department at EPCC. First time students need a Registration & Referral form that is received from the IEP administration office. Returning students receive a Recommendation & Registration Form on the last day of classes. General Admissions Criteria: Be at least 17 years old. Be accepted to EPCC with an active student ID number (submit CE Admissions Application) . Late registration is permitted, based on space availability, before the end of class of official census day. For example, if classes end at 12 Noon, registration for that class is not allowed after 12 noon on census day. Absences due to late registration will be counted and included within the limit of absences and all policies apply as with regular registration. Re-Enrollment Criteria: Students who fail the same IEP level twice have a waiting period of one year to re-enroll in program. Students who enroll in program have up to one year to re-enroll in program without re-taking placement exam. Students who re-enroll after one year must retake placement exam and enroll in courses as resulted. Placement Exam Students are placed into the proficiency level which corresponds with their performance on the Compass placement exam. Before the registration process begins, students are given an exam that evaluates proficiency in listening, reading, and grammar. Each section is composed of various types of questions to assess the student’s abilities; thus, there is no arbitrary assignment of classes. As a result, students are placed in a setting that is academically challenging. -The scores are valid for 6 months from date of placement exam for initial enrollment in classes. -The Placement Exam cannot be retaken to enroll in higher levels if already registered in IEP classes and have attended classes within a calendar year. -The Placement Exam must be retaken if the student enrolled in IEP classes, but has been out of the program for more than one calendar year. Challenge Exam Testers who are not in agreement with results of placement exam can petition to retake exam immediately after receiving scores. The fee to retake exam is $15.00, available by appointment only. Tester agrees that previous scores are null and only the scores from the Challenge Exam will be considered for placement in IEP levels. Lower Level Registration Students can request to be placed in a lower level than placed through the placement exam. Students will sign a waiver in which they understand and agree that once registered for the class, a request to enroll in originally placed level will not be authorized and that all rules and academic regulations apply as if placed in the lower level requested. Registration without Placement Exam Students can request not to take the placement exam and start in the first level (IEP 111 or IEP 211-212). Students will sign a waiver in which they understand that once registered for the class, a request to take the placement exam and/or request to move to a higher level will not be authorized and all rules and academic regulations apply as if placed in this level. All new students must attend a New Student Orientation. Tuition & Fees Full payment is required at time of registration for all courses. Payments may be made at any campus cashier by credit card, cashier’s check, money order, personal check, or cash. Please note that tuition does not include textbooks or other class materials. Online payments are accepted at www.epcc.edu/banner. Tuition assistance is not available for IEP Continuation Education Courses. However, El Paso Community College collaborates with employer or program funded scholarships/reimbursements. Visit the administrative office at the Language Institute for guidance if you have an employer scholarship and/or other external financial assistance. 2 Description of Levels We provide student-centered instruction while recognizing cultural diversity as a mean for students to achieve their personal, professional, and academic goals which will lead to success. The course sequences are designed to advance the English language skills of students. They also provide the opportunity to develop and acquire a strong foundation in English that makes it possible to enroll in a degree program at EPCC or at any other university in the United States. The intermediate levels of IEP utilize terminology applicable to technical and business writing to develop proofreading and editing skills relevant to job-related contexts required for further advancement in the labor force. The emphasis is on enhancing effective written and oral communication skills for business applications in the workforce. The IEP classes are offered in a total-immersion atmosphere to facilitate the acquisition of the language. Intensive English Program: AM & Saturday 12 Levels $259.00/Level IEP AM Classes are 7 weeks each level. IEP Saturday Classes are 15 weekends each level. Intensive English Program: Fast Track 6 Levels $518.00/Level 7 Weeks each level Understanding Your Schedule The classes under the Intensive English Program include three courses taught by different instructors. Each level includes a component in: -Reading/Writing -Listening/Speaking -Grammar IEP-AM IEP-Saturday IEP Fast Track 9:00am-9:50am-Class 8:00am-10:05am-Class 8:00am-9:50am-Class 10:00am-10:50am-Class 10:15am-12:20pm-Class 10:00am-11:50pm-Class 11:00am-11:50-Class 12:20pm-1:00pm-Lunch 11:50pm-12:40pm-Lunch 1:00pm-3:05pm-Class 12:40pm-2:30pm-Class Refunds & Cancellations Reimbursement policies for all classes at EPCC Language Institute adhere to the EPCC Continuing Education’s policies and guidelines. El Paso County Community College District reserves the right to cancel courses in the event of insufficient enrollment or other circumstances beyond the control of the College. Refunds will be processed as follows or the student may request to be transferred to another section, if available. Refund Class Date 100% before the first class meeting. • Refunds will be mailed to the student’s mailing address on record in the EPCC student database in approximately 15 business days. • Student tuition paid for by a financial assistance entity will be refunded directly to the entity. Refunds due to Cancellations • All classes are subject to cancellation if minimum enrollment requirements are not met. • If a class is canceled, every effort will be made by the staff to notify students by phone prior to the first class meeting. • A 100% refund will be granted or the student may request to be transferred to another section. Refunds due to Student Drops • Students may initiate a standard class drop request in person at any Campus/Center or in writing to the Registrar’s Office. • Postmark or Registrar date stamp is the official withdrawal date. • A 100% refund will be processed for classes dropped before the first class meeting. Refunds due to Exceptions • A 100% refund may be processed for medical issues, death of immediate family member, and military conflict with supporting documentation. 3 Withdrawal & Drop (Unsuccessful Completion) Administrative Initiated Drop A designated member of the College administrative staff may withdraw a student under the following conditions: 1. You have an outstanding financial obligation to the College. 2. You have been placed on Academic Suspension. 3. You have been placed on Disciplinary Suspension. During any withdrawal process, students have the right to appeal the action and request reinstatement to class. To do so, within ten days of the action, students must file an appeal in writing with the official withdrawing you. Student Initiated Drop When an officially enrolled student decides to cease attending any or all courses, the student is responsible for initiating drop action through the Admissions and Registration Office (See “Withdrawal From Courses” in the Student Catalog Appendix). It is the student’s responsibility to officially drop from any class that he/she is no longer attending. Faculty Initiated Drop Faculty are authorized to drop students who exceed the limit of absences or drop students who are not in pursuit of the course objectives as outlined in the section of the Catalog entitled “Attendance and Course Pursuit”. Level Change Request Instructor Initiated: Instructors can recommend a new student to be promoted to a higher level within the first 2 days of classes (based on class availability). The three instructors must notify faculty coordinators and IEP management team via email that a student is recommended for a higher level. Once the petition is approved by faculty coordinators, the IEP management team will make the necessary registration changes and inform faculty and student via email. Counseling & Advising El Paso Community College provides counseling services to assist students with career exploration, educational planning, degree plan review, personal counseling, and professional development. Services include career interest assessment, university research, transfer planning, and personal decision-making. Counselors provide personal counseling to assist in self-development, provide support in adjusting to college life, and referrals to community social services. Counselors/Advisors provide academic services that include new student orientation, degree planning, international student counseling, general academic advising, and registration assistance. Counselors also provide “outreach” services to local agencies and schools to inform them about college programs and services. You may also receive information about services related to women’s issues, disability services and international students by calling any College Counseling Office. It is strongly recommended that a student meet with a counselor/advisor each semester to review academic progress and requirements for graduation. Syllabus The instructor for each course will provide the student with a course syllabus which identifies the instructor’s requirements for attendance and a statement of the course objectives, including grading criteria. The syllabus also includes contact information for instructor, office hours, classroom expectations, list of textbooks, exams and deadlines. Students are advised to refer to syllabus for important dates to plan accordingly. In determining course pursuit by the student, the instructor will consider class attendance, the failure of the student to appear for examinations, presentations, or other required class activities identified in the course syllabus, and the failure of the student to submit required papers, projects and/or reports. Based on the combination of these benchmarks, if the instructor determines the student has ceased to pursue the objectives of the course, he/she may drop the student per College policies. 4 Attendance Each student has the responsibility for attending class and pursuing the objectives of the course(s) for which he/she is officially enrolled. Students who exceed the absences’ limit will be dropped from class unless arrangements have been made with all instructors due to verified extenuating circumstances (accidents, illness, death of immediate family member, and/or military conflict). Intensive AM & Fast Track————————-- 5 Absences per cycle Intensive Saturday—–———---------------——-- 3 absences per cycle IMPORTANT: International Students risk the status of their visas if dropped from the course. Students must refer to their course syllabus for details regarding absences and tardiness. Each syllabus contains detailed information and its effect on grades, withdrawal from class, etc. Tardiness: Arriving 3 times at least 15 min. late to class constitutes one absence. Students can report absences following syllabus instructions (call/email instructor). Textbooks Students will receive a course syllabus that includes a list of books needed for each class; cost is approximately $150.00 to $200.00. It is required that students have own textbook by the third day of class. EPCC and federal copyright laws prohibit the use Xerox copies of any textbook. Students with Disabilities The Center for Students with Disabilities is a support service offered to facilitate equal access for students with a documented disability. If you have a disability that requires special assistance, your counselor will work with our faculty and the Center for Students with Disabilities to meet your needs. If you have a disability and believe you may need services, you are encouraged to contact the Center for Students with Disabilities to discuss your needs with a counselor. All discussions and documentation are strictly confidential. The Center for Students with Disabilities is located at the VV Campus, Room C-112, 831-2426. Equal Educational Opportunity No student or prospective student of the College shall be discriminated against because of race, color, religion, gender, national origin, age, or disability. Students who feel aggrieved on the basis of race, gender, color, national origin, disability, creed, or age may file a written grievance with the Associate Vice President of Employee Relations. Student Concerns IEP instructors are genuinely concerned with student’s progress and academic success. Students that have concerns with an instructor are asked to discuss the issue/concern with the instructor. After meeting with the instructor, students should have a clear understanding of the outcome of the meeting. The instructor might recommend some strategies and/or resources to assist students. If students feel that the issue/concern was not resolved after speaking with the instructor, please follow the following formal process. 1. Fill out a Student Concern Form and submit to IEP Administrative Office. This is a formal process that must be done in writing and signed by the student. 2. Assigned faculty coordinator and/or instructional Dean will contact student schedule a meeting to review and resolve issue/concern within 72 hours. 3. Students that feel that their concerns were not resolved appropriately can seek guidance to continue with the chain of command to resolve issues/concerns. IEP adheres to the official processes from the EPCC Violations to Code of Conduct, “Academic-Related Grievances”; see link at end of handbook. 5 Grading Policy & Grade Appeals All IEP courses must be passed with a grade of 70 or better. The IEP courses have 3 classes in each level. Each level has a course in Reading/Writing, Listening/Speaking and Grammar. Students must earn a passing grade of at least 70% in each course to advance to the next level and to receive credit for the class. Students who fail one level twice will be placed on suspension from program for one calendar year. Credit= 70-100% No Credit= below 70% The responsibility for determining all grades and for judging the quality of academic performance in a course rests with the instructor assigned to the class. A grade can be formally appealed only when there is demonstrable evidence that discriminatory, arbitrary, or capricious action on the part of the instructor has influenced the grade. The burden of proof that such an unfair influence has affected a grade rests with the student who appeals the grade. Only final course grades may be formally appealed. The decision of the Appeals Committee is final without any further action. Process for appealing final grades: 1. A student who believes that the grade received is incorrect should first discuss the grade with his/her instructor. The instructor and student should make every effort to resolve the issue. 2. Student must contact the instructor at the time that the Recommendation & Registration Form is received with the final grade is received on the last day of classes. Grade Appeal Form must be submitted on the last day of classes before 12:00 noon. 3. The student who is not satisfied with the outcome of the discussion with the instructor may contact the IEP Administrative Office to submit a Student Appeal of a Final Course Grade Petition Form and any other documents relevant to his/her appeal 4. The Appeals Committee will review the form and will make a final decision of the final grade 5. The Program Manager or Faculty Coordinator will inform student of the resolution and will provide new Registration Form, if applicable Non-Academic Student Dispute Procedure It is the responsibility of the student to be knowledgeable of his/her rights in the non-academic area. This procedure will assist the student in resolving issues and actions of a non-academic nature. 1. Students having a concern are encouraged to work through the issue(s) directly with the faculty, staff member or administrator involved. Initial contact may be verbal or written; however, if a mutually satisfactory understanding has not been reached between the student and the faculty, staff member or administrator, the student, prior to the 30-day deadline, will provide the individual’s immediate supervisor with a clear and accurate written statement of the concern(s). 2. The student has a total of 30 days from the date of the initial action to notify the faculty, staff member or administrator’s immediate supervisor in writing with a statement regarding the area of concern. 3. Students can visit the IEP Administrative office in Room MV 06 to request and submit form for non-academic issues related to staff and faculty from the Intensive English Program. IEP adheres to the official processes from the EPCC Policies and Procedures 7.04-.04-.26. Link at end of this handbook in Glossary Request to Reschedule Writing Exam, Midterm Exam, and/or Final Exam Students receive syllabi on the first day of classes that includes important dates for the Writing Exam, Midterm Exam (if applicable), and the Final Exam. Students have either 7 or fourteen weeks (depending on class schedule) to make plans and arrangements to take the exam as scheduled. Students can petition, in advance, to reschedule their exam at a later time if there are any unforeseen circumstances that could prevent students from taking the exams. Students who have last-minute unforeseen circumstances such as medical emergencies have until the end of the day of the final exam to petition to reschedule the exam. Students are asked to adhere to the following process: 1. Student submits a Request to Reschedule Exam Form (RRE) available at the IEP Administration Office or at www.epcc.edu/alp. The Request to Reschedule Exam must be filled out completely and include copies of verifiable documentation of circumstance that prevents him/her from taking exam as scheduled. a. Please note that requests for vacations, leisure activities, etc. are not approved b. Examples of verifiable documentation include contact name and phone number c. Examples of valid reasons are employer-related mandatory meetings/travel, emergency medical procedures, etc. 2. Student is contacted via email of approval/disapproval with instructions on either exam’s logistics or further action, if applicable 3. It is the student’s responsibility to contact the IEP Administrative Office to follow up on request 4. It is the student’s responsibility to inform instructor if petition was approved/disapproved and to make appropriate arrangements for the grade The instructor is your first-step resource and they are always happy to assist and to provide you with the tools for a successful cycle. Take advantage of the numerous resources and the assistance from your instructor! 6 International Students Students from over 30 countries study at El Paso Community College. In order to meet the diverse needs of these F-1 students, the Office of International Student Services provides specialized counseling, orientation, academic advising, liaison with sponsoring agencies, and transfer services to four year institutions. International students are encouraged to be proactive to ensure compliance with the law at all times. The staff at the Office of International Students works closely with the IEP Administrative staff to coordinate: 1. Informational sessions at the end of each cycle. 2. Pre-registration sessions for the following cycle. Guidelines are discussed at your end-of-cycle informational session. The IEP Administrative staff reminds you that there are several types of visas and the regulations are different. We strongly recommend that you seek the specialized assistance from the staff at the Office of International Students for guidance. Reminders: 1. Academic progress is a requirement; failure to comply can result in cancellation of student Visa 2. Inform the Office of International Students if you are returning to your country either permanently or during scheduled breaks before making plans 3. Inform the Office of International Students if you are withdrawing/dropped from your class and/or if you have plans to leave the program 4. Inform the Office of International Students if you want to take ‘vacations’ and/or be out for one cycle Student Responsibilities All students shall obey the law, show respect to properly constituted authority, and observe correct standards of conduct. A complete Student Responsibilities section is available at http://www.epcc.edu/Catalog/EPCC%20Catalogs/EPCC_Catalog_2012-2013.pdf. The following are some types of behavior prohibited: 1. Harassment of students or employees on the basis of race, gender, color, national origin, disability, creed, or age. 2. Stalking of students or employees. 3. Gambling. 4. Possession, consumption, distribution, and sale of intoxicating beverages and controlled substances as defined by the state to include, but not limited to, illegal drugs, narcotics, and hallucinatory drugs. 5. Academic dishonesty shall constitute a violation of rules and regulations and is punishable as prescribed by Board policies. Academic dishonesty shall include, but not be limited to, cheating on a test, plagiarism, and collusion. “Plagiarism” shall be defined as the appropriating, buying, receiving as a gift, or obtaining by any means another’s work and the unacknowledged submission or incorporation of it in one’s own written work. “Collusion” shall be defined as the unauthorized collaboration with another person in preparing written work for fulfillment of course requirements. “Cheating on a test” shall include: a. Copying from another student’s test paper. b. Using test materials not authorized by the person administering the test. c. Collaborating with or seeking aid from another student during a test without permission from the test administrator. d. Knowingly using, buying, selling, stealing, or soliciting, in whole or in part, the contents of an unadministered test. e. The unauthorized transporting or removal, in whole or in part, of the contents of the unadministered test. f. Substituting for another student or permitting another student to substitute for one’s self to take a test. g. Bribing another person to obtain an unadministered test. 6. Violations of the penal Statutes of Texas or of the United States occurring on district property, or in connection with District-sponsored activities constitute violations of the District’s rules and regulations when such violations interfere with the educational process and goals of the District. 7. Possession or use of firearms on District-controlled property except for educational purposes that have the prior approval of the President. 8. Interference with teaching, research, administration, or the District’s subsidiary responsibilities through “disorderly conduct” or “disruptive behavior.” 9. Use of alcoholic or intoxicating beverages and use of drugs not prescribed by a physician. 10. Hazing with or without the consent of a student; a violation renders both the person inflicting the hazing and the person submitting to the hazing subject to appropriate discipline. 11. Initiations by organizations must include no feature that is dangerous, harmful, or degrading to the student; a violation of this prohibition renders the organization subject to appropriate discipline as set out in Types of Penalties. 12. Endangering the health or safety of members of the district, community, or visitors to the campus. 13. Damaging or destroying District property. 7 Student Expectations Your success is very important to us. In order for you to be a successful student in our Intensive English Program, it is required that you comply with the following: --Be on time --Attend every class --Participate in class activities --Go to tutoring sessions --Spend 1-3 hours per day doing homework --Do not be absent on exam days --Do not copy homework from another student --Do not use your phone or other electronic devices in class --If you must be excused, return to class within 5 minutes --Speak English in class and practice speaking English after class --Respect your instructors and classmates; if you don’t understand your class instruction, make an appointment to see your instructor after class Classroom Etiquette Students are responsible for helping us in maintaining clean classrooms. Please help by following these rules: --No food is allowed inside the classroom. You may only bring water inside the classroom. --Do not write on tables, walls, etc. --Do not leave gum under your desks and return your desk to its original place if you moved it during class --Throw away your trash --No children, visitors, and/or relatives during class time --DO NOT EAT YOUR LUNCH in the classrooms. El Paso Community College offers various venues to eat your lunch. Medical Insurance Currently, EPCC does not require medical insurance and does not offer a health insurance plan for international students. We strongly encourage students to obtain health insurance to cover medical care during their time of study in the United States. Without health insurance, students could pay high costs for medical expenses resulting from hospital care, dental care, doctor visits, vision care, and prescription medication. Housing El Paso Community College does not offer on-campus housing; a common housing option is to rent an apartment. For your convenience, there is a listing of units available at www.epcc.edu/alp. This information is for your convenience only; EPCC does not own or operate/manage any of the housing options that are listed. Students are responsible for verifying the appropriateness of housing and selecting the option that meets their individual needs. EPCC is not liable for any damages resulting from the provision of the information announced on the website. Family Educational Rights & Privacy Act (FERPA) of 1974 In compliance with the FERPA of 1974, El Paso County Community College District gives notice that directory information may be released to the general public without the written consent of the student. FERPA protects the privacy of your education records. You can find more about this law and complete details at the EPCC Catalog; link at end of this handbook. IEP takes your privacy rights very seriously and to ensure compliance we ask that students carry a valid identification with picture for all and any requests for copies of documents and/or release of any information such as grades, EPCC ID number, etc. Information about class status (grades, absences, etc.) can only be sent to and from an EPCC email account. 8 Language Lab The Language Lab is an essential resource that is available to students for class assignments or personal advancement. Faculty uses the lab during class time to complement their classroom lessons. We have staff available at all times to make recommendations of these resources available and for technical assistance. In addition, students can learn word processing and access the Internet for their homework assignments. Resources- Students are encouraged to take advantage of the numerous resources (print, DVD, CD, software formats) available during open-lab hours: Short stories, Videos & Documentaries, Dictionaries & Thesaurus, Games, TOEFL Supplemental Material, and Encyclopedias Student Rules- The Language Lab has some basic rules that will help all students enjoy a safe and pleasant environment conducive to studying/learning: --Turn off cell phones; no telephone calls in lab. --No food or drinks. --Respect others; work quietly and keep distractions to a minimum; remember that everyone is working on different lessons/activities. --Changing, adding, or deleting settings/files/programs is strictly prohibited; if you need an application, please ask the staff for assistance. --Keep your area/workstation clutter free. --Surf the web safely. --Save, Save, Save. Campus Safety The Police Department is constantly striving to provide a safe and secure environment conducive to proper higher education at El Paso Community College. The college also provides emergency call boxes installed throughout each campuses. The Tejano Alert Emergency Notification System is used by El Paso Community College (EPCC) to keep everyone immediately informed of emergencies or similar unexpected events that affect EPCC students, faculty and staff. This system ensures that students receive critical emergency notifications of disasters, hazardous weather, police emergencies, or other unexpected events affecting the conducting of classes or college business. The EPCC Tejano Alert System sends a text message to text enabled devices and also sends an e-mail notification to any e-mail addresses listed when students register for the Tejano Alert. Sign up to receive alerts at http://www.epcc.edu/alert. 9 Frequently Asked Questions When is my tuition (payment) due? Your payment is expected at time of registration. It is important that you pay on time to secure your class. On the first day of class, your instructors will request to see your registration receipt. Please keep a copy with you on the first week. What books do I need to buy? You will receive a syllabus from your instructor on the first day of class. The textbooks are listed on the syllabus. You will need to go to bookstore to buy your textbooks. You need to have your textbook by the third class day. Copies are not allowed. What do I need to bring the first day of classes? --Bring your registration/receipt to class. --Bring this handbook to help you the first days. --Bring paper and pencil/pen. --Bring your student ID card with picture (go to page 11 to see how to obtain your student identification card). --Bring your yellow card that has your ID number and your user name that you received from the Admissions Department. Where do I park my car? You can use any parking that is assigned to students. Remember that you must have a permit to park at El Paso Community College. You can pay for your parking permit at the Cashiers department and pick up your permit at the Police Department in Room C-110 at the Valle Verde Campus. What happens if I miss a class? If you know that you are going to be absent, please email your instructor before you miss the class. If you are absent for more than 5 days (3 on Saturdays), you will be dropped from the class. There are NO excused absences. What if the class is too easy or too difficult? You need to talk to your 3 instructors for approval to transfer to another class. This must be done on the first or second day of classes. If your 3 instructors approve, please go to the office with your written request. You will be transferred only if there is an available seat in the other class. What if I am absent on the day of the final? Final exams must be taken on the scheduled day. Before you buy a plane ticket, check your syllabus for the exam dates. What if I don’t understand my instructor or I am failing my class? It is your responsibility to seek help. You need to make an appointment with your instructor to meet after class. What if I am having problems with a classmate or I am being bullied? Bullying is not allowed or tolerated under any circumstances. Please talk to your instructor as soon as possible. What if I fail a class? If you fail one of the three classes (Listening/Speaking, Reading/Writing, and Grammar), you will not pass the course. It is necessary that you pass your three classes in order to take the next level. You will only be allowed to repeat a level once. If you fail the same level twice, you will have to wait one year to register for that level again. If I have a student visa, can I take a cycle off? No. Because of your student visa, you are not allowed to take off a cycle. Since this is a year-round program, you must attend each cycle. Visit the Office of Internationals Students for more information and guidance before you make any decisions. What if I have a student visa and I have decided to return home without finishing all the levels? If you have a student visa and you are leaving the country, you MUST inform the Office of International Students before your departure.
