POSITION DESCRIPTION TITLE: FLSA STATUS: Vendor Master Purchasing Clerk Non-Exempt CATEGORY: GRADE: Classified C JOB SUMMARY: The Vendor Master Purchasing Clerk serves as a resource and support to the Buyers, Director of Purchasing, District staff, and vendors in meeting the requirements of the College concerning purchasing initiatives. ESSENTIAL FUNCTIONS: YEARLY PERCENT OF TIME 35% 1. Set up and maintain the vendor master Database to include the maintenance of online and off-line documentation files and on-going contact with vendors. 2. Distribute purchase orders, change orders, and contracts to vendors via mail, fax, or electronically. Serve as back up to the Bid Specialist for issuance of bid specifications to vendors, collection of any applicable fees, and bid amendments. 30% 3. Receive, respond, and process incoming telephone calls, requests for information, and inquiries from college staff, vendors, and the community at large. Provide on-site support to Purchasing Office staff. Serve as back up to receive requisitions and review for completeness and accuracy. 15% 4. Process and distribute all transactions related to the procurement process. Communicate with District Staff and vendors regarding purchasing transactions. 10% 5. Receive, process, and send correspondence. 5% 6. Skills/Abilities: Must be able to communicate effectively (both orally and written), strong interpersonal; ability to pay attention to detail for long periods of time, and strong organizational and analytical skills. 2. Equipment Used: Personal Computer, fax, telephone, copier, and other equipment associated with an office environment. 3. Software Used: A variety of word-processing, spreadsheet, database, e-mail, presentation software, and financial administrative systems, e.g. Banner. PHYSICAL REQUIREMENTS: Duties require little physical effort in work with light (up to 10lbs), easy to handle materials. Duties performed causes light fatigue of eyes, fingers, or other faculties due to long periods of standing, sitting, and/or repetitive motion. INTERPERSONAL SKILLS: Alternative or combined skills in understanding, counseling, and/or influencing people are important in achieving job objectives, causing action, understanding others, or changing behavior; and, skills of persuasiveness or assertiveness, as well as sensitivity to the point of view of others. WORKING CONDITIONS: Job is performed in general office or comparable working area with occasional distractions such as noise, interruptions, or congested work areas with exposure to some disagreeable elements.
