POSITION DESCRIPTION TITLE: FLSA STATUS: Registration Assistant (Registrar) Non-Exempt CATEGORY: Classified GRADE: D JOB SUMMARY: Responsible for providing skilled technical assistance for the Registrar. ESSENTIAL FUNCTIONS: 1. Receive, review, maintain, update, input, and proofread the Credit Class Schedule and Catalog using assigned software; identify and resolve inconsistencies; and input and communicate necessary changes. Serve as a liaison with department heads to expedite the necessary corrections. Sort and input necessary changes for English as a Second Language (ESOL) Reports by level and campus for the schedule. Assist the District’s publications in finalizing the schedule and catalog for print. YEARLY PERCENT OF TIME 30% 2. Assist in coordinating part-time and work-study hiring, scheduling, and time sheets. Verify the part-time and work-study timesheets for the Registrar’s office district-wide. Prepare and revise personnel documents for new hire, continuing, and separated part-time staff. Provide work direction and guidance to part-time and work-study staff with in the immediate area to include job orientation, training, and scheduling. 20% 3. Answer telephones, handle calls, route to appropriate individual or take message. Ensure students, staff, faculty, and community members are handled in a professional and courteous manner. 10% 4. Coordinate, in concert with the Assistant Registrar for Registration, medium to complex tasks during registration to assure that appropriate staffing is assigned to the proper workstation during late walk-in registration. Assist students in obtaining courses and input class schedule into the system as necessary. 10% 5. Generate and distribute the registration packets to include registration dates, important phone numbers, listing of counselors, routing sheets, listing of Instructional Deans and Administrators, tuition rates, and other important related information. Disseminate packets to administrators, campus operators, lead counselors, student service coordinators, and registration staff. 5% REPORTING RELATIONSHIP: Effective: 9/1/01 Registrar Page 1 of 2 ESSENTIAL QUALIFICATIONS: EDUCATION: One year of college. EXPERIENCE: Four (4) years of experience. SPECIAL SKILLS AND ABILITIES: 1. Skills/Abilities: Basic computer knowledge, communicate effectively both oral and written; ability to work independently; and good interpersonal and organizational skills 2. Equipment Used: Personal Computer, fax, telephone, copier, and other equipment associated with an office environment. 3. Software Used: A variety of word-processing, spreadsheet, database, e-mail, and presentation software. PHYSICAL REQUIREMENTS: Duties require little physical effort in work with light (up to 10lbs), easy to handle materials. Duties performed causes light fatigue of eyes, fingers, or other faculties due to long periods of standing, sitting, and/or repetitive motion. INTERPERSONAL SKILLS: Alternative or combined skills in understanding, counseling, and/or influencing people are important in achieving job objectives, causing action, understanding others, or changing behavior; and, skills of persuasiveness or assertiveness, as well as sensitivity to the point of view of others.
