JOB SUMMARY: Responsible for tasks related to graduations, catalog data base maintenance,
curriculum verification and state reports.
ESSENTIAL FUNCTIONS:
1. Organize and coordinate all tasks relating to graduation district wide;
maintain and verify the College Online Audit Systems (CODA); review and
evaluate graduation applications, courses substitution/waivers; type and
mail graduation correspondence; print and mail diplomas/certificates; and
assist with the organization of the graduation commencement ceremony.

2. Monitor and verify all curriculum packets; update new and expired
programs/courses; maintain the cross reference, major, division and
department tables; review and update College Inventory lists such as the
Vocational and Technical Inventory list as well as the Clearing House
Inventory; maintain master and curriculum catalog listing.

3. Maintain liaison with reporting agencies, as appropriate; coordinate with
other offices as required in the preparation and verification of state reports;
audit state report information; prepare certification documents and submit
state report files to Information Technology for electronic mailing.

4. Order supplies, distribute material and assists in planning and execution of
physical inventories; perform other duties as assigned or directed.

5. Provide recommendation for the budget development process.

6. Provide direction and/or training for clerical personnel and assists with
departmental planning activities.

ESSENTIAL QUALIFICATIONS:
EDUCATION: Associate’s Degree
EXPERIENCE: Three years
CERTIFICATIONS/LICENSURES: None
SPECIAL SKILLS AND ABILITIES:
Skills/Abilities: Ability to consistently and accurately work with detailed information,
and strong interpersonal and communication skills.
1. Equipment Used: Personal Computer, related peripheral equipment (e.g. laser
printer and scanner), calculator, copy machine, and other equipment associated with
a general office.
2. Software Used: A variety of word-processing, spreadsheets, database, and
presentation software (e.g. Corel WordPerfect 8, Microsoft Excel 97, Microsoft
Access 97, New Corel Presentations).
PHYSICAL REQUIREMENTS:
Duties require little physical effort in work with light (up to 10lbs), easy to handle
materials. Duties performed causes light fatigue of eyes, fingers, or other faculties due
to long periods of standing, sitting, and/or repetitive motion.
INTERPERSONAL SKILLS:
Alternative or combined skills in understanding, counseling, and/or influencing people are
important in achieving job objectives, causing action, understanding others, or changing
behavior; and, skills of persuasiveness or assertiveness, as well as sensitivity to the point
of view of others.
WORKING CONDITIONS:
Job is performed in general office or comparable working area with many and frequent
distractions such as noise, interruptions, or congested work areas with exposure to some
disagreeable elements.
