POSITION DESCRIPTION TITLE: FLSA STATUS: Coordinator, Scheduling Non-Exempt CATEGORY: GRADE: Classified E JOB SUMMARY: Coordinate, organize, and monitor the finalization of the District’s instructional schedule by verifying schedule materials and making changes as appropriate. ESSENTIAL FUNCTIONS: YEARLY PERCENT OF TIME 45% 1. Coordinate, organize, plan and delegate to ensure that all job tasks relating to scheduling are completed in a timely manner, to include the coordination with Deans, Vice President for Instruction and Publications for the finalization of the instructional schedule, preparing schedule/materials etc. for submission to be published, and assist with proof-reading and verification of schedule materials. 2. Plan and maintain district wide campus room charts for room assignments for both credit & non-credit courses; coordinate with Student Services Manager any outside organization or activities requiring use of rooms. 20% 3. Enter information on credit and non-credit classes on schedule (i.e., prerequisite/corequisite/requirements/ lab fee/mal practice fees and room assignments. 20% 4. Enter CRN and course numbers, which ensure lecturer and lab code lock in the system together to facilitate telephone and late registration. 5% 5. Update schedule modifications submitted on Schedule Revision Forms (SRFs). 5% 6. Process Special Registration Requests forms for Deans and Vice President of Instruction, prepare information for computer entry, such as, reporting year semester, number of weeks, census dates and withdraw dates. 5% REPORTING RELATIONSHIP: Assistant Registrar for Registration SUPERVISORY RESPONSIBILITIES: Provides work direction to assigned staff. Skills/Abilities: Strong interpersonal skills, good written and oral communication skills, must be detailed oriented; ability to make sound judgments, ability to plan and schedule work assignments, ability to solve problems effectively and perform effectively under pressure. 2. Equipment Used: Personal Computer, fax, telephone, copier, and other equipment associated with an office environment. 3. Software Used: A variety of word-processing, spreadsheet, database, e-mail, and presentation software. PHYSICAL REQUIREMENTS: Duties require little physical effort in work with light (up to 10lbs), easy to handle materials. Duties performed causes light fatigue of eyes, fingers, or other faculties due to long periods of standing, sitting, and/or repetitive motion. INTERPERSONAL SKILLS: Alternative or combined skills in understanding, counseling, and/or influencing people are important in achieving job objectives, causing action, understanding others, or changing behavior; and, skills of persuasiveness or assertiveness, as well as sensitivity to the point of view of others.
