Galveston, Texas was the site of the 22nd El Paso Community College Annual Staff Development Retreat. The location which was presented to the facilitation team by Mari Reyes, HRD Staff Development Specialist and Bianca Tidwell, Facilitator, was selected by consensus. Mari and Bianca went to Houston and Galveston to check out the hotels and accommodations in mid-October 2014. Based upon their recommendation, the team chose the Hilton Galveston Resort as the best choice. Staying in Texas was also more cost effective. The Hilton Galveston Resort offers beautiful rooms, great meeting space, plenty of attractions within walking distance, and the Gulf of Mexico across the street. Their customer service was also outstanding. This year’s program, selected by the facilitation team was “Who Put a Lizard in My Lasagna?” by Sam Glenn, comedian and chalk artist. The essence of the program is related to four principles that focus on developing better work and human relationships, which are: Be Creative, Remember what’s Important, Go Above and Beyond, and Have Fun! The facilitation team worked very hard since September 2014 to ensure its success. The event was educational, entertaining, and energizing. In addition, participants had the opportunity to sightsee and participate in the many attractions that Galveston offers. In preparation for this year’s retreat, the facilitation team selected new members in August, chose the theme in September, attended an all-day facilitation team training in October, began contacting vendors for auction gifts in December, and attended an all-day training on the program in February, 2015. In between, the facilitation team met once a month for planning and preparation of the retreat. To ensure a successful event, the facilitation team planned, checked, and took action so that all the details of the retreat went as planned, and the annual staff development retreat continues to be the premier attraction and event for EPCC employees. The feedback received from the participants was good to excellent; not a single participant rated the event below good. Participants got an opportunity to meet employees from other campuses, build relationships, and were introduced to a human relations topic that will help them become even better employees, family members, and human beings. During one of our facilitation team meetings, Pablo Rivera came up with the idea of having a Roaring 20’s theme along with a casino table game activity, and the team supported his idea. During the Thursday night dinner event, the participants and the facilitation team dressed up in Roaring 20’s attire. The theme added a special flavor and atmosphere that gave all participants a time to share, and have fun. The casino table game activity took place right after the Friday afternoon session. Upon arrival to the dinner, participants were greeted by the facilitation team, took a picture with one of them, and escorted to their table. The evening began with facilitation team and participants’ introductions, after that, Argelio Navarro, Interim Director Military Success and guest speaker, honored Dr. Ernst E. Roberts II by commenting on his achievements as the guest speaker of many of the staff retreats. Video clips from Dr. Roberts’ key note speeches at previous retreats were also shown during dinner. A missing man plate setting was designated as a symbolic gesture for our fallen leader, Dr. Roberts. As most employees already know, the annual staff retreat was the creation of the late Dr. Roberts twenty three years ago when he had a vision that the college needed to do something special for the employees and this gave birth to the EPCC Annual Staff Development Retreat. He felt that the staff retreat would provide an offsite learning opportunity for employees where they would bond and get to know employees from other departments and at the same time have fun. Dr. Roberts attended all but one of the staff retreats, and even though he will never be physically present at any retreat again, he will always be with us in spirit. The dinner festivities were dedicated to his legacy and his commitment to this program. We will forever be grateful to you, Dr. Roberts. Coming from private industry, I know that the staff retreat is unique to the college and to my 1 knowledge, I know of no other organization that is able to bond and build morale like this phenomenal event that Dr. Roberts created. The “Who Put a Lizard in My Lasagna” program was educational, inspiring, and entertaining. The Human Resource Development Department will offer this program to all employees throughout the year or upon departmental request. We encourage employees to sign up for the forthcoming sessions. The annual staff retreat is an opportunity for employees to learn, bond with other employees, and to bring back valuable information that can be applied to work, family and life. We encourage employees to sign up and attend next year’s retreat. We believe that the information presented at this year’s retreat will add value and contribute to the mission and vision of EPCC. We highly recommend this training for administrators, supervisors, employees and faculty. We credit the success of this year’s staff retreat to our Facilitation Team and the Human Resources Development Department. This year’s team members are; Armando Gomez, Armando Salazar, Bianca Tidwell, Elizabeth Rodriguez, Isabel Hernandez, Jesus Garcia, Juan Gaytan, Pablo Rivera, and Pamela Marquez. We are grateful to the individuals, departments, vendors, and organizations that contributed and supported this annual event. Many of these organizations donated items for the auction and conference bags. The donors are listed on pages 32 – 35 of this report. On behalf of the facilitation team, retreat participants, and the Human Resources Development Department, we thank Dr. William Serrata, President, and the late Dr. Ernst E. Roberts II, former Vice President of Administration and Financial Operations, for making this event possible. The annual staff development retreat is special to the college and the appreciation by college employees is evident. Sincerely, Alex Hernandez, Director, Human Resources Development Master Trainer, Texas Trainer Registry MAOM, BSED, L-SPHR, Toastmasters AC-G 2 22nd Annual Staff Development Retreat Believing is Achieving Galveston, Texas April 9– 11, 2015 Agenda Wednesday, April 8, 2015 4:00 p.m. to 5 p.m. Participants’ meeting at the ASC Boardroom – General Information for next day’s flight, play ground rules video, scavenger hunt information, and distribute t-shirts & conference bags. At this briefing, participants were introduced to the theme and topic of the retreat, what to expect, and general information about the program. Selected employees must be in good standing with the college, and must have supervisory approval. Wednesday, April 8, 2015 At 4 p.m. on April 8, 2015, the facilitation team met with the participants in the ASC Boardroom to give them general information about the next day’s flight to Houston and bus ride to Galveston. We also covered the ground rules and expected behavior; distributed the retreat t-shirts and conference bags. Juan Gaytan explained the scavenger hunt activity. Fernando Flores, Comptroller, addressed the group on behalf of Josette Shaughnessy, Interim Vice President, Administration and Financial Operations/CFO and reminded the participants to be safe and have a fun filled event. The meeting was facilitated by Jesus Garcia and each facilitator touched on areas such as, flight information, expected behavior, and places to visit in Galveston. Participants were instructed to arrive at the airport at 5:00 a.m. the following day. Thursday, April 9, 2015 (Morning) After clearing security at the El Paso International airport, participants met at gate B-6. Roll call was taken by each facilitator for their team and the count was given to Mari Reyes. Pablo Rivera, facilitator, brought burritos from Taco Cabana for the participants with all facilitators sharing the expense. At 7:05 a.m., the participants boarded Southwest Airlines Flight #368 to Houston. Upon arriving at the Houston Hobby International Airport, around 9:55 a.m., the group boarded the shuttle bus and a van to Galveston. Head count was taken before boarding the shuttle. The group arrived at the Hilton Galveston Resort Hotel around 10:45 a.m. We dropped off our luggage and Juan Gaytan gave us a walking tour of the shops and restaurants along Seawall Boulevard. Some of the groups dispersed to have lunch at different local restaurants along the board walk. Upon returning to the hotel, we were able to check in. We had free time till 6 p.m., so many of the participants continued sightseeing and some gathered at the hotel’s swimming pool. 8 Thursday, April 9 Evening Activities The facilitation team met at the Crystal C Ballroom at about 6:15 p.m. to ensure that everything was ready for the evening event. The evening was dedicated to honor the late Dr. Roberts. The ceremony started promptly at 7 p.m. The attire for the evening was the Roaring 20’s; participants dressed up as such. Upon arriving to the ballroom each participant’s picture was taken with one of the facilitators and then escorted to their table. Seating was determined by a playing card they had to choose upon arrival. Tables were assigned a different deck values; spades, hearts, diamonds or clubs. The purpose of this activity was to ensure that participants networked with others who they might not be as familiar with. Jesus Garcia, Facilitator, was the master of ceremonies; he welcomed Alex Hernandez, Human Resources Development Director, who briefly addressed the group and let them know that the evening was dedicated to Dr. Roberts. Alex Hernandez turned the program over to our master of ceremonies and each participant was given the opportunity to introduce themselves; dinner was served. The members of the facilitation team also had an opportunity to introduce themselves. Then, Jesus introduced our key note speaker, Mr. Argelio Navarro, Interim Director Military Success. Since the evening was dedicated to the memory and contributions of the late Dr. Roberts, a video clip of some of his speeches at previous retreats was shown. A missing man plate setting was designated in his honor. The evening event was over at 9:30 p.m. and many participants went out to enjoy Galveston’s nightlife. 9 10 Friday, April 10, 2015 Activities To be certain that we were ready for the day’s activities, the facilitation team met at 6:30 a.m. in the general session room; this included setting up the equipment, and reviewing the agenda for the day. At 7 a.m., the team welcomed the participants in the general session room ready to enjoy a full breakfast buffet; this gave another networking opportunity to participants and facilitators. Before the general session began at 8:00 a.m., Mari Reyes took roll call; everyone was present. This was followed by an introduction, objectives, and overview of the program by Alex Hernandez. Thereafter, Alex Hernandez showed the video, Who Put a Lizard in My Lasagna? Participants were paired up and asked to discuss and share what they learned from the video. At around 8:55 a.m. Alex Hernandez presented the program’s Power Point, along with a YouTube video, titled “Above and Beyond,” that participants discussed in their breakout sessions. At about 9:30 a.m. participants were given a break followed by a wellness activity coordinated by Pam and Jesus. The activity involved aligning the groups by rows and having the teams pass a hula hoop from one end to the other without separating hands; it was fun! After the activity and break, the teams went into their respective breakout session room and each team was assigned one of the four principles from Sam Glenn’s program to discuss and explain. Each team was responsible for defining what Sam Glenn meant by each principle, defining what each principle meant to them and why its application is important. The four principles are: Be Creative, Remember what is Important, Go Above and Beyond, and Have Fun. The teams were instructed to put their findings on power point. 11 At around 10:55 a.m. the teams reconvened in the general session room to give their morning presentations on their findings. After that, participants went to lunch at the Palm Court Restaurant. Participants were instructed to go to their breakout sessions after lunch, work on their assigned questions and prepare a skit related to their assigned principle. The teams reconvened at around 2:10 p.m. in the general session room to give their presentations. Each presentation was 5 to 7 minutes long. The teams were reminded that they would present their skits on Saturday morning. Participants were given a break after making their presentations, while the facilitation team prepared for a “Casino Time” activity. After the break, everyone gathered at the foyer to play the games. Game tables were set up and the facilitators played the “Dealer” role. There was a lot of excitement and fun as participants put their bets on the table. Winners were given tickets, which later were used for a drawing; ten lucky winners won a door prize. The participants were dismissed for the day and were ready to go out and enjoy Galveston. After the “Casino Time” the facilitation team met to debrief about the day’s activities. 12 Saturday, April 11, 2014 Activities The facilitation team met a 7 a.m. to ensure that all equipment and preparations were set for the day’s activities. At 7:30 a.m. the participants were ready for breakfast. A full American breakfast was served in the general session room. The facilitation team greeted and mingled with the participants before enjoying their meal. At 8:30 a.m. the teams had an opportunity to practice their skits, and at 9 a.m. they were ready to present their skits in a stagy fashion; roll call was taken first. The skits focused around using one of the principles, three skits were about good customer service for students and another one on simply having fun at work. After the skits, the participants were given a break. Synopsis of Some of the Skits by Team Team 1 – “The Komodo Dragons presented a skit on how to be creative when assisting students. We included a vocal group fashioned in the style of The Supremes and modified the words to their #1 hit, “Stop in The Name of Love.” The group had so much fun creating this skit and we, the facilitators, enjoyed their creativity as well!” Pablo Rivera Team 2 – “The skit for the Thorny Devils was about Shrek Flores going to "Bizarre" College and being mistreated and ignored. He was not able to register. Shrek then goes to EPCC and gets admitted. Mr. Flores ends up graduating and proudly says “EPCC made me feel important and now I have a degree and I am important. EPCC is the best place to start.” Juan Gaytan Here’s how Isabel Hernandez described the above skit. “Our skit was about a student who wanted to register for the semester. The skit presented a situation with two scenarios; one showing the inappropriate way for treating the student and the second one with the correct way in providing excellent customer service. Our team’s purpose was to focus on the outcome of each employee attitude and demonstrate that it doesn’t matter what you do or what you have to do, we always have to think about what is important? Or who is important? Our students!!!” 13 The participants’ recognition was held around 9:50 a.m. Each participant was presented with a certificate of appreciation for attending the retreat, participating, and making it among the best retreats ever. They were also asked to complete a program evaluation. The results of their feedback and evaluation analysis are on pages 28 - 31of this report. Retreat Finale At around 10:45 a.m. we were ready for the auction; one of the most exciting and fun filled activities of the retreat. Armando Salazar and Pablo Rivera volunteered to be the auctioneers. At this time, participants use “play money” to bid on some very nice gifts. The gifts are donated by local El Paso merchants and various EPCC departments. This year, Juan Gaytan, Facilitator came up with the idea of honoring Dr. Roberts and from this year forward, the “play money” will be called “Ernie Bucks”. Participants got the “Ernie Bucks” by actively participating, and asking questions during the breakout sessions. Some of the items that were auctioned off were free tickets to Adventure Zone, Wet N’ Wild, a free weekend night stay at the Doubletree Downtown El Paso Hotel, and a Jimmy Hendrix painting. There were over one hundred and fifty gifts auctioned off. As always, instead of carrying all the items to Galveston, pictures of the gift packets were taken and displayed in a power point presentation. An auction pallet was used by participants to announce their bid; this way bidders were easier to spot. The highest bidders were given a certificate with a picture of the item to claim it from Mari Reyes or Diana Hernandez in the Human Resources Development Office upon our return. After the auction, we had about an hour before boarding the shuttles, so many participants took one last opportunity to sightsee or some last minute shopping. Participants were instructed to be back at 12:45 p.m. 14 Before boarding the shuttle, participants were served a boxed lunch; Bianca Tidwell assisted with the distribution. We boarded the bus at around 1:00 p.m. and headed back to Houston Hobby airport. Roll call was taken before departure to ensure that we were not leaving anybody behind. We boarded Southwest Airlines flight #38 to Dallas at 3:30 p.m.; after about an hour layover in Dallas, we then boarded Southwest Airlines flight #1392 to El Paso; arriving on time at 6:25 p.m. All good things come to pass, and the 22nd Annual Staff Development Retreat in Galveston, Texas also came to a close; with great success. The program by Sam Glenn gave us some valuable information on being creative to meet life’s challenges, do a little bit more than expected, keep things in perspective by remembering what is important, and above all, enjoy life and have fun. We will utilize what we learned to become better employees and human beings. Galveston was a great place to visit, but we were all happy to be back home with our families. 15 Here’s what the facilitators had to say about the retreat: Isabel Hernandez: “This is my third year attending a staff retreat and my first year as a facilitator. One of the most memorable moments at the general session was to see all the employees so motivated, enjoying and open to learn and become better individuals. It was wonderful seeing how this retreat allowed employees to interact even though they had never seen each other before. A memorable moment at the breakout session was when I saw my team participating and providing ideas on how to improve performance and customer service to our students and coworkers as well. It was amazing seeing how a totally different place can re-charge the employee’s spirit and boost their motivation! Thank you EPCC for this learning opportunity and interrelating with my coworkers! Activities like this one is what contributes to make our EPCC family stronger!!” Jesus Garcia In session: “Team F - U - N, F - U - N was exactly that; the Fun Team!!! All the participants were ready and willing to make it a FUN session and experience. The facilitation team and the participants were all in sync and ready to make it a wonderful experience. Our session began with an ice breaker where participants had to describe themselves in one word or object. During the session all the participants were engaged and making it fun and realizing how to make it fun at work. My most memorable moment was seeing the participant’s getting their skit ready and seeing how all the hard work they did paid off with a great skit. I got to see my team create a great atmosphere at work by having an inter-department soccer game, The "PP's" against financial aid and admissions, all thanks to the “Chapulina Verde.” And let’s not forget Mr. Blue Pill Richard, who made everyone’s day. That is one experience that is going be a hard one to forget. I would like to thank my fellow facilitators for making this an amazing time and to the participants for dressing up, and for every memorable moment we got to spend together. Oh and “got to” love casino night, the house broke but the participants had a great time!!!!! In Galveston: My most memorable moment in Galveston was the time spent with my EPCC Family. Especially spending time with the participants; making new friends and some great laughs. Every moment from spending time at breakfast and lunch with participants and getting to know them, having some great conversations and some hilarious ones. Going out with fellow participant and facilitators to enjoy the beach and some great music by a band named Alter Ego. I enjoyed every moment at this year’s retreat; one of my best ones. I would like to thank my facilitator team once again for a great job. I am proud to be part of this great team. To the participants THANK YOU for making this retreat one of the best ones. Elizabeth Rodriguez In session: I have several memories of the time spent in Galveston, TX that I will always treasure. I really learned a lot as a facilitator, and I am grateful for being part of this wonderful team. I was happy to hear a lot of positive comments from participants. The positive comments started at the El Paso International Airport, and during the trip, you could see the participants having fun and enjoying themselves. I want to thank all the participants for their great ideas which made this retreat unforgettable. The skits were awesome!! The ideas that the participants had for the skits were unbelievable. Another memorable moment was at the dinner; everybody dressed up as the Roaring 20’s and everyone looked nice. Thank you for this unforgettable experience and always remember F - U - N, F - U - N… FUNNNNN!!!!!!! 16 In Galveston: We arrived in Galveston on Thursday. We took a walking tour with all the participants; it was hot and humid so many participants wanted to buy swimsuits and go swimming in the Ocean or the Hotel’s swimming pool. Others bought sunglasses and “flip-flops”, because it was a very hot day and a very long walk. We got hungry, and we split into groups to have lunch. I went to Salsas Restaurant with some participants. We waited so long, that when we finally got the food, we were already full from the chips and salsa. I had a lot of fun walking and taking pictures with the participants and of course “taking selfies.” Great time, great retreat and great participants!!!! Juan Gaytan In session: “One memorable moment from the retreat breakout sessions was watching Isabel come into her own. With just a little encouragement she continued going with the discussion. She was very excited as she wrangled the participants to close the discussion. Team two was struggling to get a skit off the ground and the group was split but with a little motivation they came together and produced a very informative and hysterical presentation that had Isabel and me laughing along with the audience. This was very rewarding to me. “ In Galveston: “One of the best moments was when we went out as a group. A group of 30 participants were out dancing and having fun, and the camaraderie of the group was excellent. They all clicked so well together. I did not hear any complaints, and everyone had smiles on their faces.” Pamela Marquez In session: “The most memorable moment for me would have to be the great team I had. They were on top of everything; they worked well with each other. Particularly, I had a participant that went up to me and told me that I had done an awesome job as a facilitator. That made a knot in my throat because now I know that all training and development that we went through paid off. Especially when someone tells you that.” In Galveston: I would have to say, Friday when I went to Houston with some of the participants. I got to go to the Harley Davidson store which I have to admit, it was a store I had never been to. It was something different and I got to see a different environment. When we got hungry, we decided to go to Kemah and eat at the Bubba Gump Restaurant. While there, we walked around the boardwalk. We also got on a huge roller coaster that went over 51 mph; that was really exciting. We loved that place! Armando Gomez: One of the greatest moments in the retreat was when two staff retreat participants approached me during breakfast and gave me a big hug. I accepted the hug and waited patiently for them to speak to me. One of them said, “I want to thank you for your time and for what I have learned on this retreat. Now I know that I count.” It is not only what we learn but the friendships we develop with everyone.” said the other one. “We were talking,” said the first one, “and, we both agree that coming to this retreat was like discovering new family members. Thank you again.” Pablo Rivera This year’s retreat has to be one of the most memorable for me because of the group of participants and facilitators who made it special. The most memorable moment was the welcome dinner where we honored Dr. Roberts and the legacy he created. The participants made positive comments about how everything turned out great and everyone looked great in 1920’s attire! The slide show produced by Mari Reyes was very emotional and the facilitators and participants really appreciated it. Our team, The Komodo Dragons, came up with a great dynamic skit. Everyone participated in the discussions and sharing of ideas for the skit. There were no extremely bashful participants and no one was overbearing. Armando Salazar did a great job in facilitating this group on his first year! My hat’s off to him for learning the ropes quickly and bringing in new methods that eased the flow of the discussions. One of the things that 17 helped us tremendously was the fact that we had one of the best former facilitators as a participant in our group, Christy Garza. She quickly chimed in when she noticed we were getting away from the topic. The most memorable moment of the breakout sessions, in my opinion, was naming the toy lizards and presenting them at the general session. Our group of friends and colleagues who decided to take on the Galveston area by storm consisted of the usual suspects; Javier Lopez, Frank Ceniceros, Barbara Moreno and new additions such as Chris Oakley, Lorenzo Colon, Jesus Garcia, Rocio Del Villar, and Laura Molina. We decided to eat fresh, authentic seafood at Benno’s and we were not disappointed! On our walk back from Benno’s we stopped at Longboard to listen to live music. Our intention was to stop for one quick drink and head back to the hotel to get ready and join another group at Crow’s. However, the music was so good that we ended up staying there for most of the night and made new friends from the Houston area. We started a conga line and brought people up from their seats to join us in our dance. Yes, the folks from El Paso Community College made the party happen! Thank you for a great staff retreat and I look forward to a better one next year! Armando Salazar: For me, the most memorable moment was when Team 1, the Komodo Dragons went from being a collection of individuals with different desires into a cohesive team with a single goal. In the beginning we had a few individuals who were outspoken and may have been overwhelming. We also had individuals we avoided speaking and some who just needed encouragement. However, when time came to create our skit, everyone contributed. Everyone played a role, and all ideas were shared. They helped each other out and came together as a team to create a very funny skit. ONE TEAM, ONE VOICE, ONE GOAL. The most memorable moment outside with our group allowed me to really focus on values and consider what is important. Albert Herr is a leg amputee and during our exercise session participants had to get a hula hoop around their body without using their hands. It was not easy for Albert but he didn’t complain. Sure he had to slow down when he got to his artificial leg but he did it and more importantly he did it with a smile. His actions got me thinking, sometimes as individuals we can be our worst critic and consume our lives with negativity and self-doubt. So it was invigorating to see how the human spirit continues to endure when faced with both small and large obstacles. Life is a challenge, but that is what makes it meaningful and even beautiful. 18 April 22, 2015 Facilitation Team Post Assessment Meeting Our post assessment meeting was held at the Administrative Service Center, Building A, conference room A400. The 2015 facilitation team met for the last time to evaluate and assess the 22th Annual Staff Development Retreat. The team shared their most memorable experience from the retreat. The facilitators also completed an evaluation on their experience as facilitators. We also talked about areas for improvement; the retreat was excellent, but there is always room for improvement. We will make the great things greater, and we will learn from our low points. We also recognized our departing facilitators; Liz Rodriguez, Pamela Marquez, and Juan Gaytan. 19 Breakout Group Reports Friday Morning 20 21 22 23 Breakout Groups Reports Friday Afternoon 24 25 26 27 Corresponding numbers 1 – 7 from chart: 1. Helps you work with humor The training provided a good reminder on important values to apply in the workplace, as well as our personal lives 29 Every session was very good plan and the topics very good for discussion and help the college The engagement and networking w/ others the staff retreat provided for us Everything The program could be improved by: Adding an extra day Adding one extra day to have more time for discussion More time to create or discuss Staying one more day even if it means paying more or paying a night at the hotel ourselves. Trips should be done so that we are able to meet more people and make more friends. Nothing, excellent! More time and more activities as a group An extended day. (We were rushed a bit) Longer time – I would like to have like one more day N/A For the facilitators to be more friendly. I saw one ignore someone three times. Her name is “Banic”, Mari has never done that. One more day added More days To add one more day and this additional day to use it as just lecture time No improvement needed, very organized It can be improved by adding an additional day to the retreat Getting another day. One more day of retreat It was perfect N/A N/A N/A N/A Get additional rooms for learning Do something outside Activities outside 1 day longer All is good Extending one more day Extending it to another day. Even if the participants can pay for the extra day Presenting new topics N/A If participants paid extra to cover an extra night at the hotel. That way we could stay another day A little more organization in discussion, some people get overly excited and don’t allow others to participate at times Extending the retreat one more day so we can have more time to work on the topics and the final presentation I can’t think of any One more night!!!!!!!!! 30 Additional comments: I had a great time like always on this and other retreats More time I would not mind paying a little more for additional night (5) Have the option to stay another day, even if we have to cover the extra day and meals. Dr. Roberts will continue to be part of staff retreat; Ernie Money Good Idea.
