Make a Copy Using the Duplex Automatic Document Feeder (DADF)
NOTE: Use the DADF for multiple or single pages. Use the Document Glass for single
copies or paper that cannot be fed using the DADF.

Load the original document in the DADF.
On the Control Panel, press the [Clear All] button to clear previous copy settings.
Select the [Copy] button on the Touch Screen.
Using the numeric keypad on the Control Panel, enter the required number of
copies.
5. Select other copy settings for the job if required.
Press the [Start] button on the Control Panel to begin copying.
How to Load a Document on the Document Glass
NOTE: For optimum copy or scan quality, especially for colored or gray-scale images,
use the Document Glass (rather than the Automatic Document Feeder). Always keep
the Document Glass clean, as dust or dirt on the glass may cause black spots on the
output.
To load a document on the Document Glass:
1. If necessary, remove any documents from the Automatic Document Feeder
(ADF).
NOTE: If a document is detected in the ADF, the machine will give it priority over
the document on the Document Glass.
2. Open the Scanner Cover.
3. Place the document face-down on the Document Glass, and align it with the
registration guides in the top, left corner.
4. Close the Scanner Cover.
NOTE: Leaving the Scanner Cover open while copying or scanning may affect
the image quality and Toner (Dry Ink) consumption.
If a book, magazine, or other bound document is being copied or scanned, lift the
Scanner Cover until its hinges are caught by the stopper and then close the
cover. If the book or magazine is thicker than 30 mm / 1.2 in., leave the cover
open.
5. Press the [Start] button to begin copying.
How to Add or Edit an Individual Directory Entry in the Fax Address Book
The Address Book can be used to store destination names, fax numbers, and
transmission settings in the machine. Entries stored in the Address Book will be
available for selection within the Send List feature on the Fax tab. This feature saves
time when sending faxes to frequently used destinations. Up to 200 Individual Directory
entries can be saved in the Address Book.
To add or edit an Individual Directory entry:
1. If necessary, press the [Services Home] button on the Control Panel, and then
select the [Fax] tab on the Touch Screen to display the Fax options.
2. Select the [Address Book] button.
3. From the Individual Directory Setup screen, enter a new number, or select one
from the Directory list to edit.
4. Select the [Edit] button.
5. Select the Entry Name field, and then enter (or modify) the name.
NOTE: The entry name can be a maximum of 20 characters.
6. Select the [Save] button.
7. Select the Fax Number field, and then enter (or modify) the fax number using the
numeric keypad.
NOTE: Select the [Dialing Characters] button to insert any special characters.
8. Select the [Save] button.
9. Select the [Save] button again to save the new or modified entry and return to the
Setup screen.
How to Add or Edit a Group Directory Entry in the Fax Address Book
The Address Book can be used to store destination names, fax numbers, and
transmission settings in the machine. Entries stored in the Address Book will be
available for selection within the Send List feature on the Fax tab. Dialing Groups can
also be set up, comprising of many individual entries. This feature saves time when
sending faxes to frequently used destinations.
To add or edit a Group Directory entry:
1. If necessary, press the [Services Home] button on the Control Panel, and then
select the [Fax] tab on the Touch Screen to display the Fax options.
2. Select the [Address Book] button.
3. Select [Groups] from the pull-down menu.
4. From the Group Directory Setup screen, enter a new number, or select one from
the Directory list to edit.
5. Select the [Edit] button.
6. Select the Group Name field, and then enter a unique Group Name (number).
NOTE: The Group Name can be a maximum of 20 characters.
7. Select the [Save] button.
8. Select the [Add Recipients] button.
9. Select the required entry from Individual Directory to add to the Group. Choose
from the list using the scroll buttons, or enter the Directory Location number
using the keypad.
10. Select the [Add to Group] button to add the Individual number to the Group.
Continue selecting and adding Individual numbers, as required.
11. Select the [Save] button to save the new or modified entry and return to the
Setup screen.
How to Send a Fax
NOTE: The Fax feature is only available on the Phaser 3635MFP/X configuration.
1. Load the document(s) to be faxed either face-up in the Document Feeder or
face-down in the back, left corner of the Document Glass.
2. If necessary, press the [Services Home] button on the Control Panel, and then
select the [Fax] tab on the Touch Screen to display the Fax options.
3. Select the [Enter Number] field on the Touch Screen, and then enter the
recipient’s fax number using one of the following methods:
o Keypad Dial - Use this option to enter the fax number using the numeric
keypad on the Control Panel.
o Manual Dial - This method allows users to get a dial tone before entering
the fax number. This is typically used when sharing a fax and phone line.
o Speed Dial - Select [Speed Dial], and then select a preset Speed Dial
number.
o Address Book - Select the [Address Book] button. Look up and then select
a recipient from the list.
o Add - Add several recipients to the Send List to send a fax to several
recipients. This button provides access to the Directory for individuals and
groups.
4. Select the required options for the fax job. The following options are available:
Basic Fax Features
Resolution affects the appearance of the fax at the receiving
fax terminal. A higher resolution produces better quality for
photos. However, a lower resolution reduces communication
time. Available options are:
[Standard 200 x 100 dpi] - Recommended for text documents.
It requires less communication time, but does not produce the
best image quality for graphics and photos.
[Fine 200 x 200 dpi] - Recommended for line art and photos.
This is the default resolution and the best choice in most
Resolution: cases.
[Superfine 400 x 400 dpi] - Recommended for average quality
photos and graphics. It produces good quality images and a
smaller file size than the 600 x 600 resolution.
[Superfine 600 x 600 dpi] - Recommended for use with high
quality photos and graphics. It produces the largest image file
size, but delivers the best image quality.
NOTE: Superfine resolution is only available with Embedded
Fax.
2-Sided Specify one-sided or two-sided originals.
Scanning:
Basic Fax Features
Information regarding faxing two-sided originals.
Original Type:
Define the original document as Text, Text and Photo, or
Photo to optimize resolution settings.
More Fax Features
Lighten or darken the output based on the quality of the
Lighten /
original document. To darken the fax, select the [Scroll Down]
Darken:
button. To lighten the fax, select the [Scroll Up] button.
Color Mode:
Select [Black and White] to transmit a black and white image.
Select [Full Color] to transmit a color image.
NOTE: This option is only available with Embedded Fax.
Background Automatically reduce or eliminate a dark background. Select
Suppression: [Auto Suppression] to enable or [Off] to disable.
Original Size: Specify the size of the original.
5. Press the [Start] button to transmit the fax.
NOTE: To confirm transmission of the fax, press the [Job Status] button on the
Control Panel to display the Job Status screen. The queued job will be displayed.
How to Create and Import an Address Book
The Internet Services Local Address Book screen allows a list of names and e-mail
addresses to be uploaded which can be accessed via the Local Address Book at the
machine. The Local Address Book consists of a text file in CSV (Comma Separated
Values) format. The majority of word processing or spreadsheet applications allow a
CSV file to be created.
The e-mail service must be enabled at the machine to access the Local Address Book.
1. Open an application that supports CSV files, for example, Microsoft Excel.
2. Create a list of addresses with the following headings: Name, Address, and
Phone.

The order in which entries are displayed in the Local Address Book at the machine will
depend on how the entries are sorted in the CSV file.
1. Save the file as a CSV (comma delimited) file with the extension .csv.
NOTE: It is recommended that you keep a copy of the .csv file once it is created.
2. From the computer, open an Internet browser window.
3. Enter the IP address of the Phaser 3635MFP in the Address field, and then
press [Enter] on the keyboard. The CentreWare Internet Services window will be
displayed.
4. Click on the [Properties] tab.
5. Click on [Services] to expand the list of options.
6. Click on [E-mail Settings] to expand the list.
7. Click on the [Local Address Book] link.
8. Click on [Import from File] and browse to the location of the Address Book file
(*.csv).
9. Highlight the .csv file and click on [Open] in the Choose File window.
10. When finished, click on the [Apply] button at the bottom of the page.
11. When prompted, enter the required information in the User Name and Password
fields, and then click on [OK].
NOTE: The default User Name is "admin", and the default password is "1111".
A window will be displayed stating, "Your Selections have been modified
successfully."
12. Click on [OK]. The Defaults page will be displayed.
NOTE: If an address book has already been created, you may be warned that
duplicate entries exist and the new entries will be ignored.
How to Send a Scanned Document as an E-mail Attachment
1. Load the document(s) to be e-mailed either face-up in the Document Feeder or
face-down in the back, left corner of the Document Glass.
2. If necessary, press the [Services Home] button on the Control Panel, and then
select the [E-mail] tab on the Touch Screen to display the E-mail options.
NOTE: If an authentication feature is enabled, you may need an account before
using the machine. To get an account, or for more information, contact a System
Administrator.
3. If necessary, press the [Clear All] button on the Control Panel once to clear any
previous selections.
4. Select [From], and then enter the address to be displayed in the From field of the
e-mail using the keypad displayed on the Touch Screen.
NOTE: This field may have been preset by an administrator and may not be
editable. If the E-mail feature is accessed in Authentication Mode, the sender's email address will be auto-filled. The sender may also search for the e-mail
address in the Address Book.
5. Select [Save].
6. Select the [New Recipients] button.
7. Add the recipient(s) to the list using one of the following methods:
o Add recipient e-mail addresses manually:
1. Type in a valid e-mail address using the keypad displayed on the
Touch Screen.
2. Select the Add button.
3. To add more recipients, repeat the previous step.
4. To enter a recipient address as Copy (Cc:) or Blind Copy (Bcc:)
address, select the [To:] button, and then select either [Cc:] or
[Bcc:] from the pull-down menu.
o Add recipient e-mail addresses using the Address Book:
1. Select the [Address Book] button.
2. Enter the first few characters of the name or e-mail address of the
recipient. The address book will be searched and a list of matching
names will be displayed.
3. Select the required recipient, and then select [Add (To:)], [Add
(Cc:)], or [Add (Bcc:)].
4. Repeat this process to add additional recipients to the send list.
o Add recipient e-mail addresses using the [@ .com] button:
1. Select the [@ .com] key on the keypad displayed on the Touch
Screen.
2. Select the required recipient, and then select [Add (To:)], [Add
(Cc:)], or [Add (Bcc:)].
8. When all recipient addresses have been added, select the [Close] button.
9. Modify the settings, as necessary, on the E-mail, Advanced Settings, Layout
Adjustment, or E-mail Options tabs.
10. Press the [Start] button on the Control Panel to scan the document and send it as
an attachment to an e-mail.
NOTE: To confirm the job, press the [Job Status] button on the Control Panel.
The job will be displayed in the job queue.
