Christina Smith (DFS) will provide travel systems that A&A has reviewed to Bob Ward (DMS). The Florida PALM Project Team will organize a meeting to discuss the Project’s Data Management Plan. Charles Ghini (DFS) asked the meeting attendees to develop a list of current IT related projects that may have state wide impact o Christina Smith (DFS) will provide information for A&A projects and will explore the possibility to list information on the FASAASD website o Bob Ward (DMS) will provide information for DFS projects Welcome: Facilitated by Danielle Kosberg (DFS) o Introductions Project Status: Facilitated by Melissa Turner (DFS) o The Project will be adopting and implementing a new Executive Steering Committee Structure. Two of the Committee’s responsibilities will be to review and approve: Business Requirements; and Key Project deliverables o The release date for the SSI ITN has been moved out to the fall of 2016. o The Project’s Data Management Plan will focus only on Florida PALM (Financial Data in the System). The planned delivery date for the Data Management Plan has been moved into the next fiscal year. o The Project is collaborating with AST to support AST’s master data concepts workgroups with State agencies. o The Project’s SDS Track is performing a GAP analysis for current FLAIR interfaces with agency business systems identified by the SDS Team and those identified in the Project Business Process flows by the Project’s BPS Team. This exercise may identify new interfaces and will verify existing interfaces and ones that may not be needed with the new ERP. o Christina Smith provided that a GAP analysis be completed for People First and MFMP regarding the level and methods of exchanging information. She recommended that People First contact MFMP to discuss this option. o The Business Case Study (BCS) Proviso language specifies that the BCS: Use the list of Agency Business Systems (ABS) identified in the FLAIR Study Identify Statutory references for retaining the ABS Identify if the ABS duplicates functions provided FFMIS partners The Project will be contracting with a third party to complete the BCS. The Project is developing the Procurement and will be offering State agencies the option to participate in the review of the RFQ. Lisa Hopkins asked if MFMP and People First will be part of the analysist. Yes. o The Project Team was asked what the agencies may be asked to do once the Project identify an ERP. The Project will not be able to provide specific information until the SSI has been identified and the ERP selected. Until that has occurred, the Project will endeavor to keep the agencies informed of the Project’s progress. With respect to MFMP; MFMP will have to change the method the application interacts with the new ERP as opposed to how they interact with FLAIR. For example, they will no longer be able to screen scrape to collect data. A new interface will need to be developed. The Project cannot provide specifics about the new interface until the ERP has been identified. The Project want to focus on designing for the best case scenario. This may not include batch transfers. o The Project was asked if we are asking anything of agencies during our cycle three review. The Project’s current efforts are mostly internal. However the agencies will be asked to participate in a round of workgroups/workshops. This effort will focus on specific Payroll functionality. Open Discussion/Future Meeting Agenda(s): Facilitated by Melissa Turner (DFS) o Christina Smith – Travel System The Division of Accounting and Auditing has reviewed several travel system solutions; all of them have gaps between what they provide and what the agencies may need. A&A is currently working on the new Pcard development. A&A would like to ensure that there is no redundancy with the new systems. Christina would like to coordinate with the team developing the new travel system. Bob Ward indicated that DMS was already looking at development. DMS is preparing to go through procurement, however they have been redirected at this time. Bob Ward agreed that there needs to be a cooperative effort moving forward. He will notify the team when DMS has a more defined direction. Christina offered that the Florida PALM ERP will have a travel solution built into it. She has reached out to House and Senate staff to discuss this item. The Project will need to determine whether to keep travel in the Florida PALM solution or to remove it. o The team decided to suspend further Florida PALM/MFMP meetings for June and July. o The team was interested in a discussion of the Project’s data management plan.
