FIRE SAFETY AND EVACUATION PROCEDURES

FOR ALL PERSONS WORKING IN

LAMBERT SMITH HAMPTON MANAGED PROPERTIES

This instruction is to be given to persons working in 1 Eversholt Street and is to be used in conjunction with any fire safety training and the fire safety equipment within the building.

Should this instruction conflict with any current Fire Safety Regulations or local fire safety rules then those Regulations take precedence and must be adhered to. It is drafted to be used as an aide memoir and does not replace any part of Statute Law, Regulation or

Approved Code of Practice (ACOP)

KEY PERSONNEL

The Building Manager/Senior Reception staff; (Telephone No; 020 7387 6830/7387 7568) will be the designated Emergency Co-ordination Manager (ECM) for both Bomb and Fire

Evacuation Procedures for 1 Eversholt Street and The Podium. During any emergency the

ECM will wear high visibility jacket.

The Security Manager (Telephone No; 020 7387 7568) is the designated Deputy

Emergency Co-ordination Manager (DECM). During any emergency the DECM will wear a yellow high visibility vest.

The Security Emergency Response Team (SERT) will use the Building Managers office as a control room to co-ordinate all emergencies. Instructions for the SERT have been issued separately to these procedures.

Nominated Emergency Wardens (EW) are appointed by individual tenants to cover the areas of their demise. During any emergency each EW will wear a yellow high visibility vest.

GENERAL

A large percentage of damage to property is caused by fire. The aim of these procedures is to remind, revise and in some cases educate personnel of the actions to be carried out in the event of fire within 1 Eversholt Street.

THE FIRE ALARM

The fire alarm installed in the building is a two stage alert system warning to all personnel of fire.

Stage 1) Intermittent Alarm Stage – On hearing the intermittent alarm all staff should be aware and prepare to evacuate upon the fire alarm reaching stage 2.

Stage 2) Full Alarm Stage - The fire alarm when activated is a loud continuous ringing bell, which can be heard throughout the building.

Unless previously informed of a test in progress on hearing the alarm all personnel are to evacuate the premises and assemble at the nominated assembly point at

Euston Square Gardens East.

MAINTENANCE OF THE FIRE ALARM.

The fire alarm will be serviced by a competent qualified fire alarm engineer on a contractual basis i.e. quarterly by the company nominated by Building Management.

Qualified Engineers will carry out periodic checks to ensure the alarm is maintained.

FIRE ALARM TESTING.

The fire alarm will be sound tested weekly by the Building Manager. This test will take place every Friday at 11.00hrs. The test serves the purpose of informing staff employed within the building as to the sound of the fire alarm, and to check all components of the fire alarm.

Call points are sequentially numbered throughout the building starting at No 1 at the lowest level. A different call point will be used for each weekly test and ideally; for a different zone, This will achieve a 100% check of the break glass call points on a rolling inspection program.

FIRE ACTION NOTICES

Located throughout the building are fire action notices. These notices give general instructions informing people of the actions to take in the event of a fire or the alarm sounding. They further identify the location of the assembly point. Fire Action notices are located by all break glass call points in the building.

EMERGENCY ESCAPE LIGHTING

Located around the building in strategic areas is emergency lighting. These lights are located in areas to illuminate a safe exit from the building and are designed to illuminate in the event of a loss of mains power. The lights are tested monthly, quarterly, half yearly and yearly by an electrician from a company to ensure their serviceability. The lights are also to be checked during the daily building inspections to check that the red indicator light is operative.

THE ASSEMBLY POINT

The assembly point is a place of safety some distance away from the building. In the event of an evacuation of the building, all persons working in or visiting the building are to report to this point. This is to ensure that all persons either working in or visiting the premises are accounted for. The assembly point is Euston Square Gardens East.

FIRE EVACUATION DRILL

To make all personnel aware of the action required when the fire alarm sounds practice drills are carried out twice yearly. In some properties the practice drills will be carried out by Building Management and supported by a fire consultant in other properties the drills will be supervised by the Building Manager who will act as the Senior Fire Warden.

“A dvance warning may be given on the impending fire drill as the main purpose of this fire drill is to ensure that all persons participating are familiar with the correct procedure to be followed. Every opportunity should be taken to learn lessons from any fire drills and reinforce staff training where appropriate .”

Where possible the practice date of evacuation will be agreed mutually with the Managing

Agents acting for and on behalf of the Landlord and tenants. Dates for impending fire drills will be forwarded onto Office Managers for each company within the building.

It should be remembered that THE FIRE DRILL IS A LEGAL REQUIREMENT OF THE

FIRE CERTIFICATE, which, places a legal duty upon the directors of all companies to provide training of their employees in respect of fire safety matters. Therefore, irrespective of position or standing within the company all persons currently working within the building on hearing the fire alarm must evacuate the building. The building security systems are linked to the fire alarm panel and will release all magnetic door locks allowing doors to be open with out the use of a security card or key. Evacuation should be carried safely, and as quickly as possible.

Persons evacuating the premises should not stop to collect belongings but leave by the nearest designated emergency exit. Once the building is cleared they have to make their way to the assembly point and reporting to the Fire Warden.

THE FIRE WARDEN

Suitable persons are to be nominated as the Fire Wardens for the property. The position of the Fire Warden is not to be taken lightly. The person nominated must have the backing of both the senior and executive management if the role is to have any credibility and be provided with suitable and sufficient training.

To assist the Fire Warden a check sheet should be produced which details areas to be covered and recommending places that the Fire Warden should check. The sheet is taken by the Warden on leaving the building and handed to the Fire Evacuation co-ordinator.

DISABLED PERSONS AND THOSE WITH SPECIAL NEEDS

For disabled employees or visitors to the building special arrangements can be made to ensure their safety in the event of the fire alarm sounding. The Building Manager / Fire Coordinator must be made aware of any disabled person employed by the company.

All visitors must sign in on arrival with the receptionist at the front desk and record whom they are visiting. Visually impaired persons should be escorted by a sighted person who can guide them to safety if the fire alarm sounds. In the event of a person being unable to make their way from the building unaided, i.e. they are in a wheel chair they will need to be escorted by 2 companions. The disable person will need to wait in a safe refuge and be escorted out of the building as last, this is in order to insure a smooth and safe evacuation.

An evacuation plan for disabled persons needs to be devised by the Building Manager in consultation with all occupying tenants and the local fire officer.

DISABLED REFUGE A safe refuge could be a landing on a protected stairway where there is room for the wheelchair to stand without interfering with persons using the stairway.

FIRE RESISTING DOORS

Fire can rapidly spread through a building. Fire resisting doors are required to give fire resistance to assist in the prevention of the spread of smoke and flames. These doors marked “ FIRE DOOR KEEP CLOSED". These doors are designed to give a minimum of

30 Minutes protection to allow evacuation of the building to take place. All such doors marked on each side of each door or leaf with the above wording are to be kept closed.

FIRE EXTINGUISHERS

Various types of fire extinguishers are sited in the building. The extinguishers are located on wall mounted brackets. To remove the extinguisher from it’s bracket lift the extinguisher by the handle. The Fire extinguishers are an essential part of the fire safety of the building and are not to be removed from the correctly sited position. REMEMBER

FIRE EXTINGUISHERS ARE NOT DOORSTOPS and are not to be used as such.

Signs indicating the type of appliance are fixed to the wall along side the correctly sited extinguisher position. Please familiarise yourself with these instructions.

ACTIONS ON A PERSON DISCOVERING A FIRE

Fire can spread extremely quickly. Therefore, it is essential to give everybody the maximum amount of time possible to evacuate by raising the alarm as soon as possible.

THEREFORE IF YOU SEE FIRE OR SMOKE YOU SHOULD:

1. Sound the alarm by activating the nearest fire alarm call point. Instructions for sounding the alarm are located by each break glass call point.

2. The Building Manager or nominated person will ring the

Fire Brigade giving the address and nature of the incident i.e.

“Fire at 1 Eversholt Street, London NW1 2DN”

3. If trained and safe to do so, attempt to extinguish the fire by using the fire fighting equipment available.

DO NOT

TAKE ANY PERSONAL RISKS

4. Leave the building by the nearest emergency exit. Do not stop to collect any personal belongings.

5. Report to the assembly point at Euston Square Gardens

East and to the Fire Warden.

6. No one is to re enter the building following an evacuation unless the all clear has been given by the Fire Brigade or competent fire alarm service engineer (in the event that a fire cannot be found). In the event that the all clear to re enter cannot be given all tenants should ensure they have contingency plans in place for staff and business.

DUTIES AND RESPONSIBILITIES OF THE FIRE WARDENS AND

FIRE CO-ORDINATOR

Fire Wardens

Fire Wardens are appointed for each floor, section or area of the building. The role of the

Warden is an important one and should not be taken lightly.

The Role:

1. To check his/her floor or area of responsibility when the fire alarm sounds to ensure that everyone is aware of the fire alarm.

2. To ensure all personnel are leaving the building

3. Without putting themselves at risk, they should try to ascertain if there is a fire and the location.

4. Use the evacuation check sheet to assist in the total evacuation of the building

5. To ensure that fire fighting equipment within their area of responsibility is prominently displayed, unobstructed at all times and has been inspected according to the maintenance regime.

6. To ensure that all fire exits and escape routes within their given area of responsibility are kept clear at all times.

7. To report to the person in control of the building any hazard on the site that could result in fire or could endanger lives

8. To carry out regular fire prevention inspections of the workplace.

9. To ensure all employees within their work areas are aware of fire safety issues.

10. Set an example in maintaining a healthy and safe workplace.

The Fire Evacuation Co-ordinator

The appointed Fire Co-ordinator will be the Building Manger who is to oversee the evacuation and to report to the fire brigade on their arrival.

The role of the Fire Co-ordinator is:

1. Initially to check the fire alarm panel to find the location of the fire.

2. Ensure the building is being evacuated.

3. Collate all information given to them by the nominated Fire Wardens.

4. To oversee the safe evacuation of the building.

5. On the arrival of the fire brigade, liaison with the Senior Fire Officer and informs him / her of:

(a) The location of the fire based on the fire alarm panel or reports from the Fire Wardens.

(b) The evacuation has been carried out in full, or:

(1) Location of any persons trapped or needing assistance

(2) Location of any disabled persons. This information is based on the reporting back of the Fire Wardens.

(3) Last known locations of persons missing.

(4) Location of Maps, Plans, drawings and alternative entrance and exits.

(5) Special Hazards or risks

1. Introduction

Lambert Smith Hampton recognises that procedures for dealing with a variety of emergency situations are of vital importance.

This section of the Manual, therefore, describes our procedures for: o Gas Leakage inside and outside the building o Electricity o Flood o Glass o Lift

All emergency procedures must be co-ordinated with tenants within the building and this will be carried out by the Building Manager will ensure that all tenants within the building are informed of any emergency situations on site, as necessary.

It should also be noted that disaster recovery and contingency plans are in place and are contained within a separate document.

1. If you detect a strong smell of gas inside or outside the building contact the Building Manager immediately, informing her of the exact location of the smell and when the smell was first detected.

2. The Building Manager will ensure that the gas supply is turned off at the mains inlet and an investigation carried out as to whether the smell is reduced on doing so.

3. The Building Manager will contact Transco (Tel. 0800 111 999) and state clearly:

(a). The name of the building: 1 Eversholt Street

(b). The address of the building, including post code:

(e) The exact location of the smell of gas

(f) That the supply has been turned off at the meter and whether the smell of gas was less strong after doing so.

A Transco engineer will attend on site within an hour.

5. The Building Manager will ensure that access to the building is maintained clear for the Transco engineer and any other emergency services.

6. The Building Manager will inform tenants within the building of the situation and decide whether to evacuate the building.

When the Transco engineer arrives on site he will take control of the situation and advise as to whether to evacuate the area. The Building

Manager will ensure that any advice and instructions are carried out.

All staff and tenants in 1 Eversholt Street must obey all instructions issued by the Building Manager.

7. If the building is to be evacuated the Building Manager will evacuate the building as per the Bomb Evacuation Procedure which will require the assistance of fire wardens.

The Building Manager will determine which areas are to be avoided and will notify the fire wardens in order that they may inform staff accordingly.

An assembly area away from the smell of gas and at least 400 to 800 metres away from the building will be chosen.

The Building Manager will notify fire wardens and other tenants of the need to evacuate, which areas to avoid and the designated assembly point. Fire wardens will then inform staff. Other members of staff may need to assist fire wardens in evacuating the building.

The message over the telephone or internal telephone will state

' "Please Evacuate Avoiding Section "X", Assemble at "Y"'.

Alternatively, the Building Manager may post appropriate signs indicating the areas to be avoided and sound the fire alarm in order to evacuate the building. Nominated staff will direct all occupants to the designated assembly point. This procedure will only be followed where the Transco engineer agrees it to be safe.

Fire wardens must ensure toilets are checked for personnel.

The fire wardens should wear fluorescent waistcoats or coloured hard hats marked "Fire Warden", so they can be easily identified and should direct staff to the designated assembly area.

Once at the assembly point, fire wardens will take a roll call to ensure that everyone is accounted for. Once this has taken place they will report to the person in charge at the assembly point. This may be the

Building Manager or a designated responsible person.

No one may leave the assembly point until instructed to do so.

8. The Building Manager will need to make a decision as to whether it is appropriate to re-occupy 1 Eversholt Street. The Transco engineer will advise on this.

If the electricity supply within the building should fail the emergency lighting will operate automatically to enable the following procedure to be followed safely:

1. Steps must be taken to ascertain whether the power failure is within

Lambert Smith Hampton occupied areas or whether the power to the entire building has failed.

2. If the power failure affects areas of the building which are the responsibility of the Firm, the Building Manager will ensure that a competent electrician from the Approved List of Contractors is contacted and requested to attend on site. All items of equipment must be isolated and power must not be returned until the problem has been rectified.

3. Should the power failure affect the entire building the Building Manager will then ascertain whether the power failure also affects an area of the city.

4. If the power failure is to 1 Eversholt Street only the Building Manager will assume that the fault is within the building and will contact a competent electrician and request attendance on site.

5. If the power failure affects a number of buildings in the vicinity the

Building Manager will assume that the fault is on the mains supply and will await reconnection.

6. The Building Manager will ensure that items of plant and equipment are isolated, as appropriate, and will inform tenants of any action taken, where necessary.

7. Steps must be taken to determine whether anyone is trapped inside the lift.

8. Any persons trapped must be informed that the situation is under control and that the lift is to be lowered. Steps will be taken to ensure that all occupants remain calm throughout the ordeal.

9. The Building Manager will call the lift engineer who will attend on site as soon as possible, go to the lift motor room and hand wind the lift which has stopped between floors with people inside. The lift will be lowered to the next floor to allow the occupants to escape.

10. The lift will then be isolated until power is returned.

4. Flood

Flood within the building could occur in a number of ways:

(a) A leak to a water supply pipe throughout the building.

(b) Flash flooding after heavy rain

Should flooding occur within areas of the building for which Lambert

Smith Hampton are responsible, the following procedure should be followed:

1. The Building Manager will ensure that the water supply is turned off at the inlet and that a competent contractor from the List of Approved

Contractors is contacted and requested to attend on site. The water supply will remain turned off until the problem has been rectified.

2. If flooding should endanger the electrical system the Building Manager will clear all persons away from the area. The Building Manager will contact a competent electrician and request attendance on site. The electrical system should be isolated from the mains and the problem rectified.

3. If flash flooding should occur due to heavy rain the Building Manager will ensure that steps are taken to attempt to prevent the ingress of water to the building using any sand bags provided by the emergency services or using any suitable materials within the building. Water will be prevented from collecting within the building wherever possible.

Should any windows or other sheet glass within areas of the building for which

Lambert Smith Hampton are responsible be broken, by whatever means, the following procedure must be followed.

1. The Building Manager must be informed as soon as possible.

2. The Building Manager will clear all persons away from the area and ensure that all broken glass is removed from the area without staff placing themselves at risk.

3. The Building Manager will ensure the window/door is as safe as possible, by removing any pieces of glass which could subsequently fall. This must be done without staff placing themselves at risk.

4. The Building Manager will contact a glazier from the Approved List of

Contractors and request attendance on site.

5. The Building Manager ensure that the building is made as secure as possible whilst awaiting the work being carried out. This may require the assistance of an appropriate contractor.

Should any lift within the building fail and a person be trapped inside the lift the following procedure must be followed:

1. If you are trapped inside the lift when the lift fails the alarm inside the lift should be sounded.

2. The Building Manager will inform any persons inside the lift that the situation is under control and that the lift is to be lowered. Steps will be taken to ensure that all occupants remain calm throughout the ordeal.

3. The Building Manager will call the lift maintenance company and request the attendance of the lift engineer on site. The lift engineer will attend as soon as possible, go to the lift motor room and hand wind the lift. The lift will be lowered or raised to the next floor to allow the occupants to escape.

1 Eversholt Street is a purpose built office block comprising a tower block formed over two basement levels and 11 upper floors including a roof level plant room and a podium block to the south-west. The building was constructed in 1977.

The property is located to the south east of Euston main line station and overlooks the station’s external concourse. The property is in an area surrounded by similar office buildings.

The property is readily accessible by public transport with Euston mainline station directly to the North and a bus interchange terminal located beneath the podium block.

The property provides approximately 115,000 sq ft of net lettable space.

This Tenants' Handbook for 1 Eversholt Street has been prepared to provide you with information about the Building, its services and the management team who run it.

It is important that you familiarise yourself with its contents.

This Handbook principal object is to:

ensure the efficient running of the Building in compliance with all relevant health, safety and other statutory requirements

Minimise any disruption or annoyance to other occupiers of the Building.

This Handbook may be updated from time to time. Changes to it will be notified to you in writing.

It is most important that you take note of any communication from the landlord or the managing agents which adds to or amends the Handbook, and place it with the original of this Handbook for reference.

Access to the building is via the main Reception which entrance faces Euston Square and Eversholt Street. There is direct vehicular access to the building via the Loading bay which entrance is in Eversholt Street. An additional access is available for the tenants based in the West end side of the Podium building via the West end

Reception located in Euston Square. Tenants of the Podium building entering the premises have to show their building passes the all time when requested by the security staff.

Visitors

Visitors entering the building must report to the reception and will be requested to sign in our ELVIS system (Electronic Visitors System). Their photo will be taken and they will be asked to sign on an electronic pad. Their details will be stored in a dataprotected file which will allow to recall their details in future visits. A daily visitor’s pass will be issued and it will have to be carried on the premises the all time and showed to the security staff when requested.

Couriers

The couriers’ entrance is via the Loading bay. They will have to sign in the register located at the security kiosk by the entrance of the Loading bay. For security reasons couriers will be asked to remove any crash helmets or other headgear that hides facial features.

The security guard will then direct the couriers/ delivery person to the relevant floor.

The reception staff has strict instructions not to sign for deliveries.

Contractors

Contractors’ attendance to the site needs to be notified to the reception and the

Building Manager via an email which will include a list with the names of the attendees. At arrival contractors will have to report at reception, which will contact the tenant.

Contractors are allowed to use the parking space outside the Loading Bay.

The main reception desk for the Building is located on the ground floor of the building. The reception desk telephone number is 020 7904 7202 or 020 7387 7568.

Reception desk hours

The reception desk is manned 24 hours a day, 7 days a week.

West Side Reception (for the Podium only)

The West Side reception of the Podium is located on the ground floor of the South-

West corner of Euston Piazza and it is manned Monday to Friday from 7.00 till 19.00.

To contact the West Side reception, please call main reception on the number above and the call will be transferred to them.

Loading Bay

The Loading bay is located below the main reception and its entrance faces

Eversholt Street. The Loading bay is open Monday to Friday from 7.00 to 18.30. For security reasons the shutter is kept down 24 hours a day and is lifted only when necessary. An access door for pedestrians is located in the left side and it is kept open during the manned hours. To contact the Loading Bay or to arrange access through out of hours, please contact main reception.

Service Hours

The current Service Hours during which the building management provides services to the Building are as follows:-

Monday to Friday 7.00 am to 7.00 pm

The Service Hours do not include public holidays and no services are provided on these days.

Out of hours access

Tenants in possession of a working building pass have 24 hour access to the premises during weekdays, however during the weekend they will be asked to sign in at reception. Tenants based in the Podium building should advise the Building

Management of any staff wishing to gain access to the building during the weekend.

In case of contractors’ out of hour access, full details of access requirements should be given with not less than 48 hours notice. Costs associated with any additional security outside Service Hours are to be borne directly by the tenant.

Emergencies

In case of an emergency contact the reception desk on 020 7387 7568.

Fire precautions

The responsibility for safety from fire rests on all occupiers and strict adherence to the rules is important. Being prepared for an emergency is the best defence.

Disabled persons

It is important that reception and building management are notified if there are disabled persons in the Building so that appropriate arrangements can be made to suit their circumstances.

The Building

The Building has automatic fire detection, fire alarm and emergency lighting systems.

The main fire control panel is situated in Basement 2 area and will be manned in the event of a fire occurring, including calling the Fire Brigade and initiating evacuation as necessary.

Please note that it is illegal to obstruct the closure of designated fire doors.

Maintenance of Fire Extinguishers

The landlord is responsible for arranging for the testing of portable fire extinguishers in the common areas and the results of all such tests are recorded in a log book held at the reception desk. The date of the last inspection is also recorded on the appliance.

All occupiers should take care to ensure that the fire extinguishers within their own tenanted areas are in their proper place and regularly maintained. Tenants are responsible for the testing and maintenance of these. They should arrange for them to be tested at least once a year by a competent person in accordance with the relevant British Standard Code of Practice.

Preparation and training

Each tenant should designate at least 2 fire marshals per floor and confirm details of the Designated Fire Marshal to the reception desk and the managing agents.

All staff should familiarise themselves with the following:-

The sound of the alarm. (They are sounded every Friday morning at 11.00 am)

It is important for all staff to be aware of the correct action to take if a fire occurs.

The following procedures for fire drills, fire instructions (what to do if you discover a fire), should be noted carefully.

Items not allowed

For Health and Safety reasons and due to the sensibility of the smoke detectors, the staff is not allowed to use: toasters, gas burning kitchenettes, candles, incense sticks and any items or appliance which produces live fire and which can cause smoke .

Procedures for Fire Drills

Nature of the Drill

The purpose of a fire drill is to ensure that staff are aware of their duties in the event of an emergency, both in dealing with the fire and in directing the public from the premises without delay or alarm.

The action to be taken by a person discovering a fire is shown in the Fire

Instructions.

The action to be taken by the person telephoning the Fire Brigade is shown in the

Fire Instructions.

Evacuation of Building

On the sounding of the alarm signal (steady siren) all staff should cease their duties and together with other available staff, should quietly inform visitors that an emergency has arisen and request them to leave the building.

The Designated Fire Marshals should generally supervise the evacuation and ensure that all parts of the floors and toilets have been evacuated.

All staff, on completion of their duties, should assemble at the place indicated on the fire instructions which is in Euston Square Garden.

All doors should be kept closed.

All electrical and gas burning appliances should be turned off.

If you discover a fire or one is reported to you:

Operate the nearest fire alarm call point.

Designate a member of staff to call the Fire Brigade via the 999 system and notify the

Senior Fire Warden that the Fire Brigade has been called.

Proceed to the assembly point. Carry out procedure in 5.2 (c) and (d) below.

Evacuate the immediate area, check to ensure that no one is left behind.

Check toilets, store rooms and other unoccupied areas.

Ensure that any disabled persons working in, or visiting your area are assisted and accompanied from the premises.

Attack the fire, if possible, with appliances provided, but without taking personal risks.

It is essential that you use the correct type of fire extinguisher. If the fire cannot be extinguished immediately, or conditions deteriorate, withdraw, closing doors behind you.

If you hear the fire alarm:

Ensure that all personnel in your area of control leave the premises using the available fire exit.

Ensure that any disabled persons working in or visiting your area are assisted and accompanied from the premises.

Check to ensure no one is left behind. Check toilets, storerooms and other unoccupied areas.

Proceed to the assembly point, and carry out a roll call.

Tenant’s fire wardens are to be responsible for knowing the location of all their staff

Await instructions from the Senior Fire Brigade Officer to re-enter the premises.

Bomb Threats

Searches of Bags and Packages

There may be occasions when searches of bags and packages carried on to the premises will be made. We would request that everyone co-operate with the requirement as it is intended for everyone’s safety.

No suitcases or briefcases are to be left in the reception area or in any of the common areas.

Bomb Alerts

In the event of a bomb, tenants will be notified by the reception staff, and will be instructed to act in accordance with Police advice given.

Medical Emergencies

It is the responsibility of each tenant to satisfy the requirements of the Health & Safety (First

Aid) Regulations 1981 in respect of properly trained first aid personnel, first aid boxes and record keeping.

If it is necessary to summon an ambulance by dialling 999 the reception desk should also be advised (020 7387 7568) so that they can direct the ambulance crew on their arrival.

Deliveries and Collections

General

All deliveries are made via the Loading bay area.

No deliveries (either outwards or inwards) or personal items can be deposited at the reception desk.

Post

Post will be delivered to the Loading bay and left in each tenants’ mail bag and they should be collected by the tenants on a daily base.

As requested by Network Rail’s Facilities Management, all the post/delivery addressed to Network Rail will be redirected to 40 Melton Street.

Couriers

All couriers are to report to the security kiosk located at the entrance of the Loading bay.

On the couriers’ arrival, the security staff will sign them in and direct them to the relevant company.

Where tenants have outgoing courier items they should request their courier to ask the reception desk to call down the appropriate person to arrange handover of the item .

Responsibility for loss or damage

Neither the landlord, its managing agents the reception staff or nor their representatives can be held responsible for any loss or damage, which may occur to any items or goods delivered to the Building or to those items or goods during attempted delivery to the building.

Building Maintenance

The cost of maintenance of the structure of the Building and the common parts is included in the service charge. Tenants may not carry out any works, (including tenant’s signage) to these areas without the permission of managing agent.

Tenants must not leave any articles or goods outside the Premises or in any of the common parts of the Building nor must they obstruct or damage any of the common parts of the Building.

If tenants note any damage or potential hazard this should be reported immediately on discovery to the reception desk.

Tenants are responsible for internal repairs within their demise (including the radiators and heating apparatus in the premises). Repairs to the heating system should only be carried out by the landlord's approved heating contractors.

All the documentations related to the building safety are kept in the Building

Manager’s office and are available for inspection.

Asbestos

Inspection carried out in February 2006 showed that not Asbestos was detected in the premises and report from December 2009 confirmed it.

Plant and services

General

The building is centrally heated and is normally heated from 1 October to 30 April each year. The Landlord and managing agents reserve the right to change these dates

There are maintenance contracts arranged by the landlord for the landlord's heating system and other building services. Any faults affecting the heating system in the common parts should be reported to both the reception desk and the Building manager who will co-ordinate any appropriate action.

If any problems arise with the heating in the tenanted areas, tenants should contact the Building Manager, Pamela Elmetto, in the first instance

Water

There are three water supplies to each floor:

Domestic hot water

Domestic cold water

Drinking

Tenants, their staff and visitors are not to drink from the domestic cold water supply unless it is specifically designated as drinking water.

Water Hygiene Risk Assessments are carried out on the water services to reduce and manage any potential risk and a water maintenance regime is in place with regular water testing. Tenants will normally be notified of these test visits in advance.

It is most important that you do not discharge into the drains or sewers any waste which might:

cause a nuisance or annoyance,

block or damage the sanitary or drainage system of the Premises or the Building,

cause contamination or pollution.

Toilet and shower facilities

Disabled facilities are located in the main reception area. Please note that those facilities are for the exclusive use of disabled people. Please ask reception for access.

Alternative toilets for the use of all the tenants are located in the Loading Bay area opposite the security kiosk.

Shower facilities are located in the Loading Bay area by the bicycle parking space and they are for the use of all the tenants.

Passenger Lifts

The lifts are normally available for use at all times except during periods of maintenance, breakdown or fault or if there is an emergency.

If the lift fails to operate the lift alarm can be operated by pressing the alarm button which is located in the lift’s car. It will activate the lift’s alarm at reception.

Under no circumstances are the lifts to be used for the transportation of heavy or bulky items. The guidelines in the lifts regarding the weight capacity are to be strictly adhered to ensure Health & Safety and the continued operation of the lifts.

If any tenants are unsure as to whether the lifts can be used please check with the

Building Manager.

Tenants are not to permit anyone under the age of 16 to use the lift unless accompanied by someone over 18.

Tower Goods Lift

The tower goods lift is for the exclusive use of the Building Management’s staff, contractors, couriers and any tenant who has particular needs to access Basement 1.

The tower goods lift is provided with an access control system so please contact reception for access rights.

Noisy works

Noisy works in the building, such as drilling or hammering, are strictly not allowed between 8.00 and 17.30 hours.

Parking space and bicycles access

The building is provided with a parking area located by the entrance of the Loading bay; it is for exclusive use of the building’s contractors.

Contractors attending site and using the parking space will need to sign the register at the security kiosk and include their mobile number so security staff will be able to contact them in case the vehicle will need to be moved.

A bicycle rack is present in the Loading bay for the use of all the tenants. It is located in the back of the central core area and next to the showers.

Parking spaces are on a first-come-first-serve base and spaces can not be reserved.

Tenants are welcome to place their own bikers’ lockers in the Loading Bay area at no extra cost always if space is available. Please ask reception for more information.

Neither the landlord, its managing agents the reception staff or nor their representatives can be held responsible for any stolen or damaged vehicle.

‘No Smoking’ Building

1 Eversholt Street is a no smoking building.

The common parts of 1 Eversholt Street have been designated a “no smoking” area.

For the avoidance of doubt this includes reception, the external area adjacent to the

Building entrances, the stairs, lift lobbies, loading bay, fire escape and toilet areas.

Tenants should discourage their staff from smoking within the demised areas, vacant areas and outside the entire frontage of 1 Eversholt Street. The security staff have instructions to ask anyone smoking outside the entire frontage of 1 Eversholt Street to move away.

Cleaning and Refuse Collection

Cleaning

The landlord arranges for the cleaning of the common areas. Any complaints should be referred to the Building manager.

The building management also arranges external window cleaning and the cleaning of glass areas to the common parts.

Tenants are responsible for the cleaning of the tenanted areas including the internal side of windows within their demised areas.

The building management arranges for the cleaning of the lower ground floor shower room however it is the responsibility of each tenant using the shower to ensure that personal items are removed and not stored. The building management does not accept any responsibility for loss or damage of personal items.

Refuse Collection

Refuse is collected from inside the Loading Bay, and tenants are responsible for placing their own refuse there before 7am every morning. Rubbish is not to be left anywhere outside the entire frontage of 1 Eversholt Street.

It is the tenant's responsibility under the Environmental Protection Act 1990, Section

34, Code of Practice (Duty of Care), to ensure that all waste leaving their premises is securely sealed in bags/containers.

At present we dispose of our waste using the (EFW Method) Energy from Waste process which transforms waste to bio fuel. For this process, separation of the waste is not necessary. The company in charge of our waste disposal id VIRIDOR.

Any item which doesn’t fall within the ‘mixed office waste’ category (chemical, pharmaceutical or any dangerous waste) should be clearly labelled.

Used ink cartridges and toners can be disposed of in the green points located in the

Reception desk and the loading bay area, just by the toilets.

Please ensure that any cleaners appointed directly by you are made aware of the

Code of Practice.

The tenants are individually responsible for the removal and collection of any of their furniture items .
