6251.1 - Agency Procedures.
1. Routing. The Administrative Support Assistant shall indicate the desired routing and
action on the stamp of each piece of mail. He/she shall have the mail ready for staff distribution
by 10:00 a.m.
2. Outgoing Mail. Sorting and distribution of outgoing mail shall be done under the
supervision of the Administrative Support Assistant. The Office Automation Clerk must review
all correspondence for proper attachments and signature.
The file copy of all correspondence, reports, and other documents must be *-signed and dated in
the lower left hand corner by the author prior to-* signing of the original document.
Copies shall be sent to Districts or others concerned when the correspondence pertains to their
work or programs.
The Administrative Support Assistant shall be responsible for accessing electronic mailroom.
Electronic mail shall be read, forwarded to appropriate section, routed, and filed at the minimum
of 3 times a day.
All outgoing mail shall be ready for delivery to the post office by 3:30 p.m.
3. Pickup Schedules. The Office Automation Clerk must pick up material from all "out"
baskets and distribute it once daily at approximately 3:00 p.m. Employees shall deliver mail to
central mail box or Office Automation Clerk.
Correspondence needing to be mailed which is not ready for the afternoon pickup shall be hand
carried to the mail room by the signing officer.
