Academic Multimedia Services Request Form CENTER FOR TEACHING, RESEARCH AND LEARNING Please read the following rules and guidelines for requesting American University’s Academic Multimedia Services team. After indicating that you have read all the rules and guidelines by marking an X or √ please sign and date in the appropriate area at the end of the document. GENERAL GUIDELINES Requests for Academic Multimedia Services productions, staff and assistance will be on a first come first serve basis. A request for an Academic Multimedia Services event recording requires a notice of two weeks before scheduled event date. Because event schedules are often subject to change, all efforts must be made to provide sufficient notice to the Academic Multimedia Services staff for rescheduling and/or cancellations of appointments, interviews etc. Please arrive no later than 30 minutes prior to production appointment to meet with the Academic Multimedia Services team member scheduled for the event. Communication between the Client and the Academic Multimedia Services staff should be consistent and frequent during all phases of the project’s production process. The Academic Multimedia Services staff will provide best possible production value, given available resources. PRE-PRODUCTION REQUIREMENTS Client has established appointment date(s) for all pre-, post-, and production of project. Client has provided names, titles and logos for pre- and post-production purposes. Intent of project has been articulated to the Academic Multimedia Services staff: (Please circle all that apply) a. Educational b. Informational c. Special Event Client has finalized project script for production/post-production. Client has provided clear set design/location prior to production. Client has met with the Academic Multimedia Services staff to determine equipment needs for audio/video production. Client has notified the Academic Multimedia Services staff of any special requests/accommodations prior to production. PRODUCTION All production appointments have been scheduled. Talent has been pre-interviewed and is aware of script prior to production date. All Release forms have been prepared and signed by talent. Additional audio (voiceovers, music, etc.) must be scripted and provided before post-production. POST-PRODUCTION All elements (audio, video, graphics, music and voice over) must be in possession of the Academic Multimedia Services staff at the commencement of post-production. If additional elements are required they will only be incorporated if the final podcast has not be posted already. Client understands that all inquires from the Academic Multimedia Services staff in a timely manner for post-production to be completed effectively. Most Academic Multimedia Services projects require 25-30 hours of post-production work. Therefore, it is understood that podcasts will be completed within two weeks after event date, unless specified otherwise. Client is required to provide physical media (CD-R’s, DVDs, Labels, etc) if needed for final product. COMPLETION AND ARCHIVE The Academic Multimedia Services Staff will provide final products in the following formats: - Full resolution Quicktime Video - Streaming/Download Quicktime Video - DVD (encoded for Region 1 DVD Players) - Data DVD with project file, associated graphics, menus, audio, music and other original content created for project Client will provide all associated information needed to archive project.
