Processing Deferrals in MIV 2013-2014 requirement Checklist for Deferrals • 1st and 2nd year deferrals vs. 3rd and 4th deferrals – Excludes Professor 5 and Above (formal deferral not required in MIV) • The necessary items in the checklists will now need to be submitted through MIV http://academicaffairs.ucdavis.edu/local_resources /docs/forms/Checklist%20for%20Deferralfillable.pdf 1st and 2nd year deferrals require: 1. Candidate’s request to defer • uploaded to the Candidate Statement Section at candidate level 2. Brief Department letter or Chair concurrence for the deferral request • uploaded to the Dept Letter section at Dept level – manage open actions 3. Candidate to sign off on candidate disclosure statement in MIV 3rd and 4th year deferrals require: 1. Candidate’s request to defer with plan for progress • uploaded to the Candidate Statement Section at candidate level 2. Updated Teaching, Advising and Curricular Development Record • selected to show in Design my Dossier 3. Updated Publication List • selected to show in Design my Dossier 4. List of Contributions to jointly authored works • selected to show in Design my Dossier 5. Brief Department letter or Chair concurrence for the deferral request • uploaded to the Dept Letter section at Dept level – manage open actions 6. Candidate to sign off on candidate disclosure statement in MIV Adding a Deferral • Select a candidate to proxy and enter their MIV account • Upload pdf of candidate’s request to defer in the “Candidate Statement” section of MIV and name it as such. • Then go to “Design my Dossier” Design My Dossier • Click “Clear All”, then check ONLY the deferral candidate statement item you uploaded. • Hit “Save” and wait for save confirmation Upon next advancement action, you will “check all” if needed and go through to individually clear check marks of items outside the review period or not to be included in the action. But all areas must be cleared for 1st and 2nd year deferral. 3rd and 4th Year Deferral “dossier” • These require additional information per the checklist. • Follow the checklist to include appropriate documentation. You can still “clear all” in Design my Dossier, then go to individual categories and click “check section” to select items you wish to appear in dossier (i.e. publications or teaching) • Then hit “save” Click “Create My Dossier” • Only the item(s) selected to show will appear in the created dossier – for a 1st/2nd yr deferral – • Only Candidate Statement should show – for 3rd/4th yr deferral – • Candidate Statement, Teaching/Advising/Curr Devel, Pub list & Contributions should show Send to Dept level in MIV Once you’ve created the dossier, select “Send Dossier to my Department” feature from the My Dossier Menu. Choose appropriate action type and effective date and click to send. Dept Level MIV • Go back to your own account (stop proxying candidate account) • Select Manage Open Actions • Find the candidate • Open their deferral action to finalize the process – There are 3 items to complete before sending to school/college – RAF – Dept Letter – Candidate Disclosure Certificate Recommend Action Form (RAF) • Select appropriate designations and click “Select Action” • Then enter info on next page: Present and Proposed will be the same on the next screen for all Deferrals “Department Letter/Division Chief Letter” • Upload a PDF of a brief Dept Letter or the Chair Concurrence “Candidate Disclosure Certificate” • Add, then Email the certificate for the candidate to log into MIV and sign off electronically. Send to School/College • Once all areas are complete, everything will be green and the area at the bottom will light up to send to school/college (it is greyed out until all required items are completed)
