Copier Contract
The State of Kansas contract, #12156AB, with Century Business
Technologies, has been extended for an additional two years. The contract will
now expire 10/31/2017.

If the department wishes to keep its current machine for the remaining
thirty (30) months, no action is required. Century Business
Technologies will continue to maintain the equipment and provide
supplies at the same annual rental rate and per copy costs as already
established.

If the machine needs to be replaced due to on-going performance
problems, contact Century Business Technologies to begin the
documentation of problems and replacement of the equipment.

If the dept. wants to downgrade or upgrade to a different group (used)
machine for the remainder of the contract term, then the cost will be
based on the original contract price of the first three years (2009 –
2012). In order to cover the costs of the new placement, Contractor will
take the monthly amount of the machine and times it by 36 months.
(Takes three years of rental payments to amortize the cost of the
equipment). Then the total will be divided by the number of months left
in the contract to obtain a monthly price. Next step would be
determining the annual payments going forward which will include the
5% discount for paying annually.

If the department wants to rent a brand new machine (not used) for the
remainder of the contract period then the value of the equipment would
be amortized over the remaining months of the contract to meet the
coterminous end of the contract, i.e. 10/31/2017. Contact Purchasing if
dept. wants to explore this option. Rent will be expensive for this
option.

If the department no longer needs a copier, the current commitment
expires 10/31/2015. Send notice to Century Business Technologies to
pick up the machine after 10/31/2015.
