Welcome!

The entire Division of Administrative Services has worked through a tumultuous period in our state’s history. A significant focus has been to challenge our existing operations, to that end we have embraced engagement in several Lean initiatives found throughout this document. I am proud to share highlights of the many accomplishments within Administrative Services, particularly those that help advance the Plan for Excellence IV. These Fast Facts and Accomplishments highlight efforts across all Administrative Services departments. Our leadership sets goals and expectations that align with the division’s business of “running the university” and the campus wide strategic plan. We approach our work with a focus on shared values that guide our workplace activities. From our human resources professionals, to our police officers and our skilled groundskeepers; everyone plays an important role in providing critical services to support the university. As you read on, please take a moment to reflect on our successes and our collective efforts to enhance and support a diverse and engaged university community.

KEY ACCOMPLISHMENTS:

• Restructuring of Human Resources Service Model

• HR has relocated to Joyal Administration 211, combining services from Payroll, Benefits, Labor and Employee

Relations, EEO and Diversity, Compensation and Classification, creating a “one stop” service center.

• Integrated Payroll into Human Resources, paying:

2,263 full-time, part-time faculty, staff and managers

854 student assistants

410 teaching assistants and instructional support assistants

• Successfully implemented the “Learning for Excellence and Development” (LEAD) Program

• LEAD is a professional development program offering workshops in a variety of subject-area tracks.

• 752 staff members participated

• 99 received certificates for completing 3 or more workshops

• Created and Administered the “Regional Education for Achievement in Leadership” (REAL) Program

• REAL is a leadership training collaborative involving a cohort of administrators from three CSU campuses

(Bakersfield, Fresno, and Monterey Bay).

• Thirty participants from the three campuses

• Implemented Annual “Staff Training and Recognition” (STAR) Day

• On STAR Day, staff are recognized for years of service and all may attend

professional development workshops.

• Employee Assistance & Wellness Continued to Provide Extensive Programming

• 3,512 participants in Wellness@Work activities

• Benefits Fair & Wellness Expo—211 employees attended in 2011

• EAW offered 106 free physical activity sessions, 19 free professional development group sessions,

9 free nutrition events and 5 health-related events

• Wellness@Work director designated 2011 WELCOA Faculty—One of 118 best-trained wellness

professionals in the country, working to produce tangible results in improved employee health and

productivity

FAST FACTS:

• HR has a total of 16 employees comprised of administrators & staff

• HR & Labor/Employee Relations: Fresno State has 10 collective bargaining units

• Payroll pays 2,460 full-time, part-time permanent & temporary faculty, staff and managers

• Payroll pays over 900 student workers during academic school year

• Payroll pays over 400 teaching assistants, and instructional support assistants

• Recruitment recruited 61 total staff positions

KEY ACCOMPLISHMENTS:

• Migrated to Common Financial System (CFS) and

implemented Data Warehouse as a replacement for

departmental financial reporting and queries.

• Supported the College of Science and Mathematics as they

established two High Performance Computing (HPC) clusters.

• Collaborative work with IT Liaisons, Colleges and the Library

to support the Faculty Laptop Program.

• Upgraded classroom technology environments in several

locations with many more to come.

• Refreshed 261 computers for the Division of

Administrative Services.

Auxiliary Services

KEY ACCOMPLISHMENTS:

• Participated in three quality improvement (Lean

University) projects that focused on enhancing

processes associated with Additional Employment,

Sponsored Programs, and University Advancement.

• Completed the renovation and reopening of the

Taco Bell Express in the University Center.

• Implemented a new timekeeping system (Kronos)

that eliminated a manual paper-based payroll

process and which provides enhanced online

access and reporting tools for supervisors/

managers to manage their labor which will result

in cost efficiencies throughout the organization.

• Continued to strengthen the academic success of

our resident students who had an average GPA of

3.02 (with 61% of our students maintaining a 3.0

GPA or better).

FAST FACTS:

• 316,000 meals served at the University Dining Hall

• 1,081 students living on campus

• 3,000 summer conference guests accommodated

• 25,142 payroll checks issued

• 110 Save Mart Center events hosted

• 400 rental textbooks available at the

Kennel Bookstore

• 200 rental textbooks available online

Financial Services

Accounting Services

KEY ACCOMPLISHMENTS:

• Implemented AP vendor invoice credit card payments to

increase revenue potential to the University through the US

Bank P-Card program which offers increased rebate based on

transaction volume and weekly payment.

• Implemented the Cal TravelStore online travel booking tool for

campus airfare, car, rail and hotel reservations.

• Implemented Lean initiatives for employee separation and

trained key departmental personnel on their roles and

responsibilities.

• 63,820 cash disbursements paid out

• 112,694 accounts payable vouchers processed

Budget

FAST FACTS:

• Established “Budget Central”:

maintained and updated over 290

• Conley Art storm drain replaced

• Integrated EHS/Risk Management functions into Facilities

Management’s AiM system in order to improve customer

service and tracking of work requests and tasks

• Inspected all science-related laboratories (approx. 125)

• Implimented a Lean process improvement for

the facility work orders process
