FROM PROJECT PROPOSAL TO FINAL REPORTING
PROPOSAL STAGE
Resident academic submits proposal to
the Project Support Team by email at
projectsupport@um.edu.mt
The proposal is reviewed by the Project
Support Team: Finance , Legal, HR and
International & EU Office. Where
applicable, any intellectual property
issues are reviewed by the Knowledge
Transfer Office.
The Project Support Team submits any
documentation for the Rector's
signature.
The resident academic is notified to
collect the signed documents and
submits the proposal and the signed
documentation to the funding agency.

CONTRACTING STAGE
The resident academic informs the Project
Support Teamif and when the project is
awarded andforwards any documentation by
email to the Project Support Team.
The following documents are reviewed by
the Team: Budget, Information on UOM,
Human Resources Requirements and
Contracts. Where applicable, IP issues are
discussed with theKnowledge Transfer
Office.
The HR arm issues the ad hoc contract
for the resident academic to endorse
and the Legal Arm prepares or reviews
the Consortium or/and a Grant
Agreement where applicable. The
Finance arm finalises the project budget
and transfers the draft proposal to a
live project.
IMPLEMENTATION STAGE
The Project Support Team assigns an
account number in Agresso to the
project and informs the resident
academic accordingly.
The Resident Academic is assigned a
Project Support Officer to assess the
eligibility of expenditure and to handle the
day-to-day administrative aspects and
financial reporting. Other issues such as
recruitment and legal matters are to be
referred to the other members of the
Project Support Team.
The first tranche is distributed and the
assigned Project Support Officer informs
the resident academic accordingly.
Subsequent tranches are received in due
course.
POST COMPLETION STAGE
Upon settlement of the project funds, the
Project Support Officer closes off the
project accounts and effects the necessary
end of project journal transfers.
An audit by the funder, the national
audit offices, an the EU auditors may
take place during the project life and/or
up to five years after the end of the
project.
The assigned Project Support Officer
liaises with the resident academic in
preparation for the time sheets, other
items of expenditure and the
Interim/progress and final reports.
