JOB DESCRIPTION
The Grants Development Director plans, directs, and oversees the activities of the Grants Office in the
preparation of complex and varied grant development, ensuring successful grant-seeking efforts while
adhering to college policies, meeting the Cabrillo’s strategic goals and maximizing revenue through
external sources.
SCOPE
Under direction of the College President, the Grants Development Director works with a broad range of
internal and external constituents to identify and respond to college development needs. The Grants
Development Director serves as the lead internal consultant to faculty, staff, and administrators on grant
development; coordinates district-wide activities related to researching funding sources and
opportunities, grants training, managing centralized grants clearinghouse, writing grant applications,
providing technical support for grant submissions, and post-award grant management; and providing
support for instructional programs and district-wide services.
This position ensures alignment of college planning initiatives to maximize benefits that can be achieved
with available resources and provides leadership, direction and coordination for the college institutional
effectiveness processes including grant development.

In collaboration with College leadership, directs and oversees all aspects of the preparation and
approval process of complex and varied grants that support college goals; provides leadership for
and implements an aggressive District grant development agenda (E)
Coordinates, supports, and monitors all pre- and post-award grant activities and related contracts
secured on behalf of the district; implements changes to improve grant development capacity (E)
Advises and assists administrators, faculty, and staff in applying for funds that support college
programs and initiatives (E)
Provides technical assistance to grant project directors, college faculty, managers, and financial
services staff to ensure all grant submissions adhere to relevant federal, state and local regulations;
obtains appropriate approvals and signatures, incorporating maximum possible indirect cost
recovery (E)
Manages federal, state, local, corporate and private grants for college projects and programs and
coordinates campus or district-wide projects for developing partnership initiatives with businesses,
industries, governmental agencies, and other educational institutions (E)
In consultation with campus leadership, decides which grants will be pursued by the College and
ensures the college grant approval process is followed (E)
Identifies and clarifies grant objectives and determines the scope of grant projects (E)
Develops and maintains systems and procedures to ensure the accuracy, validity and timeliness of
grants submitted (E)
Develops, coordinates and maintains an annual calendar of planned and ad-hoc grant development
activities (E)

Facilitates reconciliation processes relating to multiple programs selecting and competing for the
same grant/funding source (E)
Edits grant proposals for clarity, accuracy, timeliness and strategic approach (E)
Monitors changes, best practices and trends in the resource development environment
(regulatory, political, higher education, economic, etc.) and determines resulting implications for
the Grants Office and the College (E)
Develops and maintains external contacts to facilitate funding opportunities; coordinates and
collaborates with other institutions regarding collaborative resource development efforts,
including other colleges and universities, state and local agencies, non-profit organizations, K-12
schools, etc. (E)
Ensures all guidelines, expected outcomes and program deliverables are observed per the
grantor’s specifications and timelines (E)
Develops and maintains systems and procedures to ensure that the college is aware of grant
opportunities, development and approval processes and awards; designs and implements
opportunities for administrators, faculty, and staff to develop grant-seeking and grant-writing
skills (E)
Establishes measurable goals and objectives for the college and reports key outcomes on a regular
basis (E)
Reviews federal and state legislation to assess levels of grant support and the impact on existing
grant funding (E)
Coordinates data collection for grant proposals and grant reports; prepares governing board
agenda items related to grants (E)
Prepares periodic and special reports, correspondence and other written materials using a
computer and various software such as, email,, word processing, spreadsheets, databases and
website management (E)
Maintains accurate records on grant development efforts and prepares annual report on
outcomes of these activities (E)
Represents the college at state, regional and national meetings related to areas of resource
development (E)
Makes presentations at conferences and meetings on grant seeking strategies and effective
College grants office operations and conducts one-on-one training and group workshops related
to grant writing and grant administration (E)
Identifies and disseminates information on public funding opportunities that align with the
district’s mission and goals (E)
Interviews, assigns, trains, supervises, and evaluates the performance of assigned staff (E)
Coordinates grant support services for site visits. and audits by funding agencies (E)

QUALIFICATIONS
Education and Experience:
Bachelor's degree from an accredited college or university in education, public policy, communications,
or a related field and three years of increasingly responsible experience directly related to the grant
acquisition/management process.
