PROCESS FOR ESTABLISHING FACULTY POSITION PRIORITIES 2014-15 Timeline Revised 03/06/2014 The following process is advisory in determining the priority of faculty positions to be filled. The Vice President of Instruction (VPI) is the administrator primarily responsible for facilitating this process. Completion Date: 09/05/14 Faculty will receive an email reminder about the deadline to submit retirement letters to the relevant Vice President if they intend to retire by the end of academic year 2014-15. This notification will allow their departments to apply for a replacement position and receive replacement points in the hiring prioritization process. The Office of Instruction will inform faculty via email of the process and timeline to assist in the preparation of staffing requests. 09/19/14 Step 1 Instruction Office deadline for receipt of a retirement letter effective by August 1, 2015 for the purposes of “replacement points” within the department. 09/22/14 09/26/14 Step 2 Deans will work with Program Chairs, Academic Specialist Directors, and/or faculty to review and request, in writing, staffing positions (documentation page) to submit to the Office of Instruction. 09/26/14 Step 3 Requests should be submitted by the Deans to the Office of Instruction: All requests must arrive at the Instruction Office no later than 4:30 pm for inclusion in the process. No Exceptions. 09/29/14 Step 4 Each requested position will be scored by the Instructional Research Analyst according to the attached Criteria/Metrics worksheet. 10/10/14 Step 5a Point allocations will be distributed via email and in hard copy to the Deans, Program Chairs, and Academic Specialist Directors for accuracy review. 10/17/14 Step 5b All Dean, Program Chair, and Academic Specialist Director corrections (or request for recalculation) must be provided to the Instructional Research Analyst for a recalculation to occur. 10/24/14 Step 6 Verified point allocations will be distributed via email to the Faculty Senate and appropriate administrators. Notice must be provided to the Faculty Senate President via email by 5:00 pm. 11/04/14 Step 8 Faculty Senate Presentations: The Program Chair, Academic Specialist Director, a designated faculty member, or appropriate administrator may make statements to a joint meeting of the Faculty Senate and the relevant administrators on the need for a position (3 minutes) and answer questions (3 minutes) about the position. If a program is requesting more than one position, contact the Faculty Senate President to determine if additional time is warranted. 11/04/14 Step 9 Faculty Senate and Instructional Administrators, including the Dean of Counseling and Educational Support Services, will vote separately to rank the positions. 11/04/14 Step 10 The relevant Vice Presidents will obtain the Faculty Senate ranking and the Deans’ ranking. 11/12/14 Step 11 In consultation with the relevant Vice President(s) and taking into account the advisory numerical ranking, the advisory rankings by the Instructional Administrators and the Dean of Counseling & Educational Support Services, the advisory rankings by the Faculty Senate, program plans and annual updates, FT:PT ratio, and other factors as appropriate, (Scheduled Faculty Senate Meeting) the Vice Presidents will develop a prioritized list with an explanation to be presented to the College President. The VPI will share the results with the Faculty Senate President and email the results to the Faculty Senate. 11/19/14 Step 12 The VPI will present the prioritized list to CPC. Step 13 The results will go to the December Board meeting for Board approval. Step 14 Completed job descriptions and job requisitions will be submitted to HR to initiate recruitment process.
