What is the Asset Management Report?
The Asset Management Report lists detailed information about capitalized assets to
enable departments to perform their physical inventory. The report can also be used
for basic inquiry, including the status of an asset.

The Asset Tag ID column can be sorted in ascending or descending order by clicking
the directional symbols. When the selection is made to sort up or down a red arrow is
displayed to indicate the sort direction.
What can I learn from the Asset Management Report?
 Serves as a basis for verification of capital assets, as required by UCOP and federal
regulations
 Can be used to answer Capital Asset inquiries
Report Filters
 The default date for this report is the current month. The report can be run for a
previous month if desired.
 The Account field is not available in the chartstring filter for selection. Logic has
been built into the report to retrieve only Capitalized Asset Accounts.
 In addition to the Business Unit, you must enter at least one value in the
Chartstring Filters or Report Specific Filters section indicated by an orange
triangle.
 You can refine and subtotal your results using the Sort 1 and Sort 2 options:
1. First, click the Sort 1 drop-down menu
2. Select your first grouping value from the list
3. If desired, click the Sort 2 drop-down menu
4. Select your second grouping value from the list
5. Click the Update button
Report Specific Filters
 The report defaults the asset Status to In Service. The Status can be changed to
Disposed to search for retired assets, or to All to display both In Service and
retired assets, as needed.
 In addition to the Status, you must enter at least one value in the Report
Specific Filters or Chartstring Filters section indicated by an orange triangle.
 Groups are then created and subtotaled as shown below: In this example Sort 1 is
Location Code and Sort 2 is Project. The report totals each project, and also
displays a total for each location.
Tips & Tricks
 Run the report by Custodian Name to display all Custody Codes under the
selected custodian.
 If you run a report by Dept ID, the report displays all assets for the Dept ID
selected and for any associated children Dept IDs. Use the Sort 1 tool and select
Dept ID to subtotal the report for each parent/child Dept ID.
 The report can be run by Project Award/Parent to view rollup relationships for
assets associated with sub-projects.
