Flexplace/Telework Work Space Checklist
When setting up a flexplace work space, ergonomics and safety are of primary importance.
The employee is responsible for ensuring all University-owned items are used according to the Michigan Tech

Work space area accommodates all equipment and related materials.
Sufficient electrical outlets are available.
All electrical plugs, cords, panels, and receptacles are in good condition.
Three-prong grounded outlets are used. Note: Two-prong outlets that require plug adapters
do not provide adequate protection for computers.
Equipment is fitted with surge protectors and overload fuses.
Equipment is placed close to electrical outlets. Electrical cords/wires are configured so there
are no tripping hazards. Note: Extension cords should not be used.
There is a working smoke detector in or near the work space.
A home multipurpose fire extinguisher is available. Employee is familiar with use.
Heating and ventilation systems are adequate and in good repair.
There is an established evacuation plan in the event of a fire.

1. A representative of the Department has the right to make periodic visits to the home office
to audit the safety of equipment and information. Reasonable efforts will be made to
schedule such visits in advance.
2. Face-to-face meetings with customers and co-workers are not to be held at the flexplace
work space.
3. Arrangements for dependent care have been secured (if appropriate).
Flexplace/Telework Data Security
All employees must follow all University policies and procedures relating to the security and integrity of
sensitive data. Please refer to the Michigan Tech’s Information Security Plan for more information:

Work done at the employee’s telecommuting site is regarded as official University business.

1. External computers used to administer University resources or access sensitive information
must be properly configured and secured.
2. Secure remote access must be strictly controlled. Employees are required to connect to the
University’s network through the Virtual Private Network (VPN).
3. At no time will a remote user provide their password to anyone.
4. If remotely connected to the Michigan Tech network, remote users must ensure that their
computer is not connected to any other network at the same time, other than a private
network that is under the user’s control.
5. All computers connected to the University network must have personal firewall software
installed, use up-to-date anti-virus software, have up-to-date virus definitions and have
regularly conducted scans.
Any items with a ‘No’ checked need to be rectified or require further clarification.
