Steering Committee for Information Technology March 5, 2013 Minutes Members Present: John McArthur, Zoe DuRant, Glen Pinkston, Chase Massie, Debbie Goode Members Absent: Jamie Glover, Jennifer Holland, Linda Phillips, Jennifer McGrail, Ninette Carter, Donald Hall Guests: Scott Putney, Greg Duncan 1. The minutes for February 5, 2013 were approved. 2. Reminder: IFAS Legacy System scheduled for shutdown on August 1, 2013 Notification emails were sent to functional leads and supervisors of users that have accessed IFAS within the past 12 months. All users that have logged into IFAS legacy were notified of the August 1, 2013 shutdown and advised to let their supervisors know of any data they need extracted in advance of the shutdown and to submit an R23 to ITS well in advance of the shutdown date. Chase indicated HR has all the information they will need and are ready for shutdown. ITS is working on R23s for Admissions. 3. Informational The Zoho software used for password resets is functioning properly and accommodates remote users. Securing screens after 14 minutes of inactivity will take effect March 11, 2013. This will not affect PowerPoint presentations running in full screen mode. The desktop screens in smart classrooms will have this reminder displayed. Recordings in ITV classrooms will not be affected. Faculty in smart classrooms will need to be careful to not type in their password in the username field. Off-campus presenters provide their own computers for presentations. Phase 3 of Blackboard Mobile App is available in the app store. The Android version is in quality assurance. 4. Banner related Consultants successfully installed Oracle 11g Middleware on production server. They are now integrating 11g Middleware into Luminis (AggieAccess). This is critical to have completed soon for financial aid to start their new aid year. DegreeWorks go live date is 3/25/13. Fixed Asset system is still on hold. Chase reported faculty compensation/overload module (FLAC) training was held on campus for 4 days for Human Resources, Student functional areas, Dr. Oty, Amanda Husak, Jeriah Jn Charles, Kelly Simon, Brandon George and Greg Duncan in attendance. The HR tables are built in production. Several R23 forms were filed with ITS for populating data in tables. The functional leaders will be meeting with Dr. Oty and Amanda Husak to discuss dates for implementation. The workload on the academic areas should be less than it is for the current method of tracking. Academic areas will need to be trained and the hopes are to run parallel for the Summer 2013 term. Some CU processes will need to be modified to function properly. Modifications to CU’s Data Standards Manual were made by Dr. Oty and emailed to the Steering Committee and ITS on 2/15/13 for review and feedback with a due date of March 15, 2013. No response will be an affirmative to accept changes. The Recruiter Module to be proposed for integration into Banner was tabled since Jamie Glover could not attend the meeting.
