1. Review of November 6, 2012 minutes - approved
2. Reminder: IFAS Legacy System scheduled for shutdown on August 1, 2013
Discussion was held regarding the shutdown of the old legacy system that contains IFAS data. It allows for
inquiries into historical data that was not migrated from IFAS into Banner. It was suggested to produce a list of all
users that have logged into the system over the past 12 months. The list will be created and everyone on the list
will receive an email regarding the August 1 shutdown (sent 2/13/13). Below is the list of users that logged into
IFAS over the past 12 months and emailed to members of steering committee to make their teams aware:

It was decided a Faculty/Staff email regarding the shutdown of IFAS is not necessary as it only impacts the
functional areas. The steering committee members will be sure their employees are aware of the shutdown.
The raw data will reside on Banner db01 for extreme cases of extracting data. This will require the functional lead
to provide the table information to ITS and be quite cumbersome.
Chase is working with ITS on some legacy data needs via R23 requests.
Linda commented transfer work on legacy transcripts system is easier and faster to access, but they can retrieve
this data from other sources.
Greg advised the committee to let their teams know if there is any data they need extracted, to submit an R23 to
ITS as soon as possible.
3. Screen Saver password
CU enables locking computer screens after 14 minutes of inactivity to secure private data that might be on a
screen and to protect the login accesses of the users. Concerns have been mentioned regarding the practice in
smart classrooms and for off-campus presenters. It was the consensus of the steering committee to continue with
the current practice and to address any specific issues affecting smart classrooms and off-campus presenters.
Glen advised Debbie to seek Provost McArthur’s advice on this matter.
4. Informational
a. The Zoho software we are using for password resets is not meeting needs of remote users. We will look into
more password reset programs. The flaw in the software is that it assumes users will be on campus.
b. Blackboard Mobile App, Phase 3 for iOS is waiting to be uploaded to the iTunes. Blackboard is working on the
Android version.
c. Computing and Technology has had a full-time technician to support their curriculum. When the last
technician resigned, it was decided by the School of Science and Technology to request the technician
position be managed by ITS. Peter Pokorny is the new technician.
5. Disaster Recovery and Business Continuity Plans
Audit reports from recent departmental audits are requiring departmental DR and business continuity plans. It
was decided ITS will take the lead on this project and create a template that will fit most of the departmental
needs. The goal is to have a draft to Provost McArthur by mid-March.
6. Banner related
a. DegreeWorks – Linda reports their office is currently holding training sessions for faculty advisors. It is
imperative for departments to train and test their degree plans that are setup in the system for accuracy and
various scenarios. The system will go live March 25, 2013. The system may possibly be ready in the fall for
students to access. OU Legal has reviewed the disclaimer. At some point in the future, students may be
allowed to self-enroll.
b. Fixed Asset System update – nothing new to report at this time.
c.
Faculty compensation/overload module – Chase reported the FLAC consultant will be on campus 2/25/13 –
2/28/13 and a student consultant on campus for 2 days. Chase has the rules set for faculty and adjuncts.
Linda was contacted by the student trainer and received worksheets to be completed prior to the visit.
d. Cameron University ITS Roadmap for Systems – Greg reported the Banner modules have slipped on
upgrades being requested. It is imperative we do a better job in requesting upgrades. The synching between
Banner General and all other modules is critical to having an effective system. The modules often require
another module be a certain version for it to function properly, creating a vigorous cycle for managing the
updates. The Roadmap is an invaluable tool to track these upgrades as well as hardware replacements.
Banner General 8.6 is in the next round of updates and will require all functional areas to test the upgrade and
identify any impacts it may have on their areas. ODS, version 8.1 needs to be upgraded to version 8.4. Oracle
Middleware 11g was successfully installed by a consultant on the new servers purchased for the upgrade.
The next task is to connect with Luminis. Greg and Debbie will be working with the consultants to determine
how quickly this might be accomplished, as financial upgrade 8.16 needs to go live in March 2013.
Perceptive Software, formerly Nolij, was upgraded last week and it is time to install another upgrade.
Ninette inquired about the accounts receivable upgrade. It is on the roadmap for July/August 2013.
Recruiter module is very desirable from enrollment management’s perspective. It is scheduled to be
integrated with Banner 9.0, which should be within the 2013-14 fiscal year.

Glen reported he will be meeting with President Ross to discuss the possible replacement of 4 year old
computers. He requested Debbie provide a list of PCs for the departments to review.
Linda commented their Business Imaging System is outdated and in need of replacement.
9. Other topics?
Debbie informed the group an end-of-life has been announced for the UNIX Blackboard Transact system. Now is
the time to look at other vendors if that is desirable. Blackboard clients are migrating to Microsoft Windows
environment for their backend servers. Glen is interested in a system by Addtronics that will also serve needs
currently being met by Higher One.
Jennifer stated the internet was out most of Saturday in the Village. She will start a dialog with the students to find
out more specifics. Findings from network team:
At 8:45 p.m. on Saturday night, February 8th, the bandwidth-shaping device malfunctioned. One of the network
technicians was able to restore service at 11:25 a.m. on Sunday.
Glen has started a dialog with Schneider Electric to explore the possibilities of their ‘EnergySTEP@Work’ system
to assist the university with energy management. This is in support of a statewide initiative of energy savings.
Jamie inquired about the mobile login page being made mobile friendly. Debbie will follow-up on this.
