issues and shadow systems.

DS/R team has made great progress in naming Person
types and mapping demographics from legacy to
Banner. These recommendations will be brought to
the ILT team next week for final approval.
HR/Payroll team completed a two day overview
session in preparation of system education training.

Discovery, and has a three day General Technical
session next week. They will start system security
using legacy system security as a starting place.
Debbie has developed a spreadsheet listing third-party
software, shadow systems and reports which will be
reviewed and continue to be a living document
throughout the implementation process. Mapping
sessions have been confirmed.

Every year financial aid is required to submit a report to the
State Board of Regents called the OCR report (Office of
Civil Rights). It requires that all aid types be reported on,
including a breakdown based on student’s gender and race.
One of the items we must report is State and Auxiliary
Work Study. Currently we manually post all earnings for
state and aux work study on the student’s package screen.
FA does not use this information for any other purpose
except to report it to the Regents. State and Aux Work
Study in no way count towards a student’s financial aid
package. But because we post it for the purposes of this
report, it does cause it to appear as if there is an over award
on the student’s account. Anna suggested that we pull this
Ninette will not be present, but sent her approval for
this request.
This request was approved as a process change.

data, beginning with Banner, straight from the Payroll
records, thus eliminating the work study coordinator from
having to manually post earnings from state and aux work
study and also eliminating the over awards caused by these
postings. Our staff would still write the report, pull the data,
and submit the report. We would simply just need help
initially getting those fields from Payroll in Banner so that
we can put them in the SQL to pull the correct data.
Another benefit from pulling this data from Payroll is that
the gender and race information would be more accurate.
Currently we pull that data from the Admissions side and the
student is not required to answer those questions on the
Admissions application.
The Office of Financial Assistance (FA) is proposing a
change to our Satisfactory Academic Progress policy (SAP)
to accommodate the Banner software system’s ability to
perform SAP automatically rather than manually.

 We need to continue collecting third party software,
shadow systems, reports and/or important data needed
for reporting.
 Shadow systems document can be found on:

 Functional teams have a User Guide with canned reports
listed in the back. Please review these reports as we
begin to establish what we will need for reporting.
Still in progress: An “Issues in Progress” spreadsheet will be
developed to be used for issues that need to be escalated to
the ILT, CU administration or Banner. This spreadsheet will
be on the Banner Project website and will start putting issues
there after the Discovery sessions are complete.
 Recommendation of the purchasing third-party software
will be addressed next week
 Sherry will be out of the office the week on October 27.
