PURPOSE OF THE DOCUMENT: To streamline the policy on accompanying students when travelling to community service and clinical placement sites. 2. SCOPE The policy delineates the responsibilities of the course coordinator, clinical instructors and students in regard to accompanying students when travelling to community service and clinical placement sites. 3. CRITERIA: Applies to situations when students are travelling to community service or clinical placement sites outside of SQU campus. 5. THE DOCUMENT The Policy on Accompanying Students Traveling to Community Service and Clinical Training Sites a. All students traveling outside of SQU campus for clinical training using University transport services should be accompanied by the assigned CI during the first week of clinical. b. All students travelling outside of the SQU campus for field trips, study tours or community service using University transport services must be accompanied by at least one assigned faculty. Students (male or female) with personal transportation are allowed to travel to clinical sites by themselves without being accompanied by CON CI. d. Each course coordinator should make sure that each clinical group traveling outside of SQU using University transport services has a selected male and female student clinical group leader (SCGL). e. The course coordinator, CI and SCGLs should exchange GSM phone numbers to ensure timely communication (such as bus delays, and other incidents). f. The SCGLs are responsible for ensuring that the bus departs on time and as per course requirements and regulations. g. The SCGLs are responsible for ensuring and monitoring discipline on the bus. h. The SCGLs should report to the CI and course coordinator any behavioral, time keeping, driver and other related issues. i. The CI and respective clinical student group should be available to meet at the clinical area at the start and end of clinical day in a designated venue to monitor attendance and punctuality. j. The course coordinator should follow existing college policies and structures to address persistent student behavioral and other issues that occur on the bus. k. CIs can travel on the same bus with students when going to clinical sites after the first week of clinical if they prefer to do so. l. Accompanying students on the bus is not mandatory after the first week of clinical. m. The course coordinator is responsible for receiving feedback from students, SCGLs and CIs about issues related to transportation to clinical sites and should report such issues to the HoD. The HoD will compile a timely report of all transportation related issues for all courses in the department and forward it to the Assistant Dean Training & Community Service, Clinical Training Committee (CTC), and the Director of Administration. 6.
